The short answer
Compare Rentari with TurboTenant, monday CRM, Entrata and Buildium using the same rental inquiries, follow-up, permissions, handoffs and export checks.

Define the relationship and the rental record
A customer relationship management system can organize contacts and follow-ups, but a rental inquiry needs property and unit context. An agent's buyer deal, a manager's prospective owner-client and a household's rental application are different records. Decide which relationships you need to manage before comparing a generic sales CRM with rental software.
List the required links: person, household or co-applicant, requested unit, inquiry source, conversation, showing, application, reviewed decision, agreement and resident. Preserve identifiers and dates through each handoff. A deal marked won is not evidence of a completed rental application, signed lease or settled payment.
This Rentari comparison checks four alternatives against current public primary sources reviewed October 8, 2026. Compare each alternative with Rentari using the same rental records and selected-plan questions; the guide does not claim a paid hands-on review. Use fictional records in an authorized demonstration; do not upload another person's screening or financial information.
Compare Rentari with each alternative
| Comparison | Rentari | Alternative and checks to resolve |
|---|---|---|
| Rentari vs TurboTenant | Rental inquiry context and editable AI drafts on eligible plans, plus Active/Archived leads, applications, screening, signing and resident workflows. Advertised 25+ listing destinations depend on actual property and destination availability. | TurboTenant publishes lead contact/source, messaging, showing and application tools. Current plans are Free, Essentials and Pro. Compare selected-plan team access, screening payer, signing and accounting with Rentari; management services have separate responsibilities. |
| Rentari vs monday CRM | Rental application and screening handoffs stay separate from a lead inquiry. The paid rental workspace connects leasing, resident, repair and accounting work; demonstrate the required saved records and exact role permissions. | monday CRM publishes contacts/deals, plan-limited automation and communication. Yearly display: Basic $12, Standard $17, Pro $28 per seat/month; Ultimate is quoted and paid CRM starts from three seats. Compare rental-unit/household links and the separate application, signing and payment systems needed with Rentari. |
| Rentari vs Entrata | Configured rental intake and reviewed reply drafts, plus a leads list and applicant review. Confirm intake channels, staff roles, task ownership and actual onboarding scope for your Rentari portfolio. | Entrata LeadManager describes prospect stages, call/source tracking, follow-ups and application/lease reporting. The page gives no public subscription amount. Compare the quoted portfolio/products, included channels, staff/property roles, retention and exact exports with Rentari. |
| Rentari vs Buildium | Prime costs $120/year for up to 10 units; each additional Scale unit adds $24/year. Paid plans include leasing, accounting, reports and online payments. Current separate payment fees are $6 ACH and 3.49% card, with the available payer choice confirmed before payment; screening is charged separately. Free rent collection is coming soon. | Buildium Essential, Growth and Premium start at $62, $192 and $400/month. The matrix names prospect/application management, grouping and communication. Compare the actual tier, portfolio quote, pipeline/tours, custom roles, communication charges, onboarding and complete export scope with Rentari. A text-only matrix does not establish every tier's inclusion. |
monday CRM's current FAQ offers a 14-day trial, then paid CRM plans; do not apply an older two-user free work-management offering to CRM. Basic/Standard/Pro also have different active contact/deal and automation limits. Count archived records, required seats and expected activity against the selected allowance.
Ask every provider for the same first-year and renewal budget: subscription, units or seats, minimum commitment, setup, training, communication usage, integrations, screening, signing, payment processing and exports. Identify owner versus applicant/resident charges. A free contact record does not mean a report, transaction or external service is free. Save the actual selected agreement and cancellation/data-retrieval terms.
Follow one inquiry without confusing its stages
Start with a fictional inquiry for a specific unit, then submit a second inquiry from the same person for another unit. Check whether the system retains both property requests and their sources without creating duplicate outreach. Add a co-applicant with a separate email: a household link should not erase each person's application and report status.
Assign a responsible person, next action and due date. Review stale inquiries, unanswered replies, canceled tours and incomplete applications separately. Count unique people, property requests, submitted applications and signed leases with clear definitions; marketing-source totals do not prove occupancy or a return on spending.
Record what actually happened. An invitation sent is different from delivery, reading, application submission, returned screening information, human acceptance and all required signatures. Review template recipients and rental details before sending. A reminder, AI summary or score does not establish eligibility or replace the owner's lawful, consistent decision process.
Check email visibility and outreach permissions
monday Emails & Activities is documented for Standard, Pro and Ultimate CRM. Gmail/Outlook setup requires account permission; phone use first requires a desktop email connection. Check the authorized sender and required administrator approval before connecting a work mailbox.
Its sharing controls affect emails across boards, with plan-qualified read/write access. Inspect a second staff user's view of the same thread and unrelated private messages. Removing a person, disconnecting a mailbox and retaining a communication record are separate checks; do not assume a board permission alone protects every email.
Entrata describes bulk outreach and audience segmentation. Confirm the client's approved purpose, audience, permissions and opt-out handling before enabling such functions. Its U.S. privacy notice explicitly separates client/staff/visitor data from resident and prospect data governed by client agreements and notices. Review the actual property's notice and selected agreement.
Separate a requested rental reply or necessary resident message from a promotional campaign. The FTC's commercial-email guidance addresses accurate sender/subject information, advertising identification, a postal address, working opt-out and prompt handling of opt-outs; mixed messages require a primary-purpose analysis. Check applicable text/call rules and consent before using those channels. An inquiry address is not blanket permission for unrelated campaigns.
Use a matched demonstration checklist
| Task | Inspect the saved result | Resolve before adoption |
|---|---|---|
| Intake and identity | Two unit inquiries, source, contact correction and a separate co-applicant. | Duplicates, household links and the exact configured intake channels. |
| Follow-up task | Assigned worker, due date, completed contact and an unanswered reply. | Who sees overdue work, reassignment, absence coverage and failed-send recovery. |
| Application handoff | Invitation, completed application and each person's screening status. | Actual package/payer, consent, missing documents and human decision/notice steps. |
| Lease and resident | Reviewed agreement, all signatures and correctly linked resident/unit. | Selected forms, charges, final-file access and unresolved earlier inquiries. |
| Roles and outreach | Leasing, owner, bookkeeper and departed-worker views. | Minimum necessary access, approved sender, purpose and suppression/opt-out handling. |
| Export and transition | Open contact, property-request, status and activity files outside the system. | Identifiers, timestamps, attachments, exclusions and retrieval after cancellation. |
| Phone and support | Find the correct unit/thread, review a draft and recover an incomplete step. | Actual device functions, accessible alternatives, selected support and escalation. |
Mark each required result confirmed, not demonstrated or unsuitable. A vendor's public description is a research lead; it does not prove a workflow was configured or tested for your portfolio. Ask for the exact selected-tier feature where product pages list broader capabilities. Save unanswered questions instead of inferring that a missing public explanation means a feature is absent.
Open exports and plan retention before cutover
monday's current board export instructions describe table-view Excel exports, with optional updates and subitems. Board views are excluded; subitem updates are excluded even when item updates are included. An exported board alone therefore does not establish a complete mailbox, attachment or rental-record archive.
For every tool, obtain a sample of the exact required output. Confirm IDs, property/unit links, date/time zone, stage definitions, owners, task due dates, contact preferences and message history. Retain required documents separately where necessary. A marketplace logo or an API does not establish a native integration, full historical transfer or continued access after cancellation.
The FTC's data-protection guide supports collecting only needed information, limiting access and defining retention/disposal. Keep sensitive identity and financial records out of general CRM notes and ordinary shared spreadsheets. Agree required retention with qualified advisers, protect the necessary archive and remove obsolete access without discarding records you must keep.
Before switching, compare imported counts and links against the source, account for pending invitations and open tasks, and assign a cutover owner and fallback contact. Keep unresolved leases, payments and repair requests in their actual rental systems until the accepted handoff is documented.
Use Rentari's actual leasing steps
Rentari's Leasing Inbox organizes rental inquiry context and editable drafts on eligible plans. Review actual rental details, recipient and message before sending. Configured listing/intake channels and notification preferences control availability; a draft or notification record does not prove delivery or reading.
The current Leads help guide describes an Active/Archived list. Open the lead profile for contact details, inquiry and activity; use the available Message, Invite to Apply or Invite to Showing action, then review its result. Keep archived inquiries available for appropriate follow-up rather than treating the list as a draggable sales pipeline.
The applicant review guide distinguishes a submitted application from returned screening information for each co-applicant. Review the actual application, report and notice steps before deciding. Acceptance alone does not prepare, sign or activate a lease. See applications, screening and signing for those separate workflows.
Current Rentari plans list Prime at $120/year for up to 10 units; Scale adds $24/year per additional unit, with applicable separate charges. Paid online payments currently cost $6 per ACH payment or 3.49% per card payment, with available payer choices confirmed before payment; screening is separate. Free online rent collection is currently coming soon. Advertised 25+ listing destinations depend on actual property and destination availability.
Rentari provides software and original written guidance. Owners retain eligibility decisions, approved communication purposes, professional services and physical work. This guide does not claim a native monday, Entrata or Buildium integration, a general brokerage CRM, outsourced outreach or guaranteed lead conversion.

Common questions
Is a sales CRM a rental-management system?
Its contacts, deals and tasks may support follow-up, but verify actual unit/household links and separate application, screening, agreement, payment and resident records. A deal status alone does not prove a completed rental step.
Does monday CRM have the older two-user free plan?
The current CRM pricing FAQ describes a 14-day trial followed by paid plans starting from three users. Confirm the selected CRM offering, billing country, tax and seat commitment rather than applying another product's free terms.
Can I send promotions to every inquiry contact?
Do not treat an inquiry as blanket permission for unrelated outreach. Review the permitted purpose, actual sender, applicable channel rules, notices and opt-out handling before using campaigns or bulk messaging.
Does exporting contacts preserve every rental record?
No. Open sample files and verify property requests, IDs, activity, preferences, attachments and required history. Confirm exclusions and retrieval terms before cancellation; a board or contact file alone is not a complete rental archive.
