This checklist helps organize a voucher tenancy. The responsible PHA and applicable law determine the actual requirements.
Work through the checklist
Use the download to keep your record.
Establish the agency record
Record the PHA, landlord contact, tenancy reference, current instructions, and submission channel. Confirm the forms and signatures needed and who provides each item.
Keep household information secure and collect only what your role requires.
Track each stage
Separate documents submitted, inspection scheduled, inspection result, corrections completed, rent approval, lease completion, and contract completion. Use actual agency confirmation for each status.
Do not mark a stage approved because a phone conversation sounded encouraging.
Verify the financial setup
Record approved rent, agency and resident portions, effective dates, payment references, and contact for discrepancies. Confirm how changes are communicated and documented.
Do not improvise side charges or assume a fixed percentage applies to every household. Ask the agency about the specific approved arrangement.
Review outstanding items before the planned handoff. If something is delayed, identify the missing event and responsible person rather than promising an unsupported start date.
Keep the completed process map for the next tenancy, but verify that forms and procedures remain current before reusing it.
Keep your completed record
Save the worksheet with the supporting records and restrict access to people who need it. This blank organizer does not calculate a legal, tax, insurance, or eligibility decision.
