The short answer
Choose useful channels to reach rental owners, record contact preferences and acquisition costs, and turn a qualified inquiry into a clear proposal and operating handoff.

Define the owner and service you can support
Start with the rental properties, service area and work your business is authorized and equipped to handle. An owner seeking help with one long-term rental has different needs from a multifamily operator or short-term rental host. Record property type and size, current tenancy, requested tasks, response arrangements, decision authority and actual capacity.
Verify licensing, registration, supervision, insurance and local service requirements before advertising regulated work for another owner. The business-responsibilities guide helps organize those questions. A professional introduction or software subscription does not authorize management, brokerage, legal representation or handling client money.
Describe what you deliver and where you operate, with a way to request an initial conversation. Separate an owner seeking management from a renter asking about a listing and an investor seeking purchase representation. Rentari supplies software and original written guides; it does not operate a licensed management business or supply owner-client leads.
Choose a small, measurable set of channels
Choose one or two channels you can maintain before expanding. Give each a useful owner-facing resource and one next step: request a conversation about a specific property. Record audience, permitted contact source, dates, spending, staff time and resulting inquiries.
| Channel | Useful material | Check before continuing |
|---|---|---|
| Website and search | Accurate local scope, qualifications, fees process and property-intake checklist. | Answer real questions; test inquiry links on a phone; count qualified inquiries rather than ranking alone. |
| Social posts | An original repair, turnover or reporting explanation and permitted photographs. | Protect private details, disclose relevant endorsements and track supported service inquiries. |
| Client introductions | A brief explanation a willing client can share, with a direct contact path. | Permission to share details; qualified review of any compensation before offering it. |
| Email follow-up | A requested checklist or factual update with one relevant next step. | Preferences, applicable email duties, suppression records and replies; a subscriber is not a client. |
| Paid ads and direct mail | A specific service offer with accurate scope and a working contact destination. | Production, distribution and staff costs; distinct inquiries, signed engagements and a spending limit. |
| Professional networking | A concise account of owner problems you can handle and a written resource. | Event rules, genuine introductions and permission for later contact; attendance is not a partnership. |
| Video or audio education | Your own explanation with permissions, captions or a written alternative. | Production time, claims, contact links and qualified inquiries; protect occupied homes. |
You can publish an original written checklist before investing in a YouTube channel or podcast. Rentari's written resources do not imply that Rentari has recordings, events or customer case studies. Followers, downloads and views can explain a campaign but do not establish an accepted client or guaranteed return.
Keep claims truthful and contact preferences clear
Show actual services and property facts. Obtain permission before using client photographs, identifying details, quotations or operating records. Keep fictional scenarios separate from customer results. Do not invent experience, endorsements, client counts, rankings or savings. FTC review guidance addresses fake reviews, selective positive-review requests and deceptive paid rankings; check the publishing platform's rules too.
For connected endorsements, FTC disclosure guidance calls for making the material connection clear with the recommendation. A hidden profile statement may be missed. Discuss only experience the speaker actually has.
Ask how the prospective owner wants contact and for what purpose; record the source, date and preference. Respond to a requested conversation without automatically enrolling the person in ongoing promotions. Public details, an attendee list or a resident contact record do not establish permission for every use. Verify phone, text, privacy, jurisdiction and platform requirements before proposing those channels.
Review housing-related content, images, audience settings and follow-up under HUD's fair-housing guidance and local rules. Ask objective questions about property needs and authorized activities; never promise discriminatory tenant selection as an owner benefit.
Check commercial email and referral terms separately
FTC's CAN-SPAM guide covers commercial email, including business-to-business messages. Use accurate sender information and subjects, required advertisement identification and a valid postal address, and a usable opt-out. The guide requires honoring opt-outs within 10 business days and keeping the mechanism available for at least 30 days after sending. Maintain suppression records and monitor anyone sending on your behalf. A requested checklist does not make every later sales message transactional. Permission-based contact is a useful operating choice, not a claim that CAN-SPAM universally requires prior opt-in.
Let an existing client ask the new owner to contact you rather than transferring private records without permission. Before offering gift cards, fee discounts or paid referrals, review the recipient, work, transaction, jurisdiction and compensation with qualified counsel or the responsible broker. Record who pays, what qualifies and required disclosures; disclosure alone does not authorize a prohibited payment.
CFPB's RESPA Section 8 FAQs concern covered settlement-service referrals involving federally related mortgage loans. Gifts can be things of value; a small amount is not an automatic exception. Coverage, exclusions and permitted arrangements depend on the facts. Do not turn mortgage-settlement rules into a universal ban on rental-business introductions.
Rentari's partnership page accepts an inquiry for review. Reward amounts, qualifying referrals and payout terms are agreed before referrals begin; no commission rate is published. An inquiry does not create a partnership, deliver a management client or authorize an integration.
Qualify the owner before drafting a proposal
Understand the work, then obtain only records needed for the next decision through an appropriate protected channel. Confirm the person's authority to engage you before relying on instructions. Keep tenant identity, financial and application records out of marketing forms and mailing lists.
| Intake question | Evidence and next step |
|---|---|
| Who can engage and approve? | Owner or authorized representative, decision-makers and required signatures; verify authority. |
| What property and service? | Exact address/unit count, use, tenancy and duties; compare with jurisdiction and capacity. |
| What needs attention now? | Vacancy, repairs, balances, notices or deadlines; assign qualified review without promising a cure. |
| What budget and decisions? | Fees, owner-funded reserves, repair approvals and reporting; no universal percentage. |
| What start and handoff? | Existing agreement exit, opening balances, documents, access and resident communication; flag missing items. |
| What intake outcome? | Proceed to a scoped proposal, seek evidence, defer or decline unsupported work; retain reasons and contact preferences. |
The proposal should state included and excluded duties, service area, approval limits, fees and when earned, reporting, emergency arrangements, records, start conditions and exit. Use the management agreement checklist. A friendly conversation, download or saved inquiry is not an executed engagement.
Measure acquisition costs against accepted work
Track distinct inquiries, qualified conversations, proposals, signed engagements and properties actually onboarded separately in your authorized business record. Retain channel, last contact, next agreed action, responsible person and date. Rentari's rental inquiry and application records are not a complete owner-business sales pipeline.
For a defined period, divide attributable advertising, content, event, mailing and staff costs by signed new engagements from that campaign. If none were signed, report spending and zero engagements; do not invent a cost per client. Note delayed responses, duplicates, several introduction sources and attribution uncertainty. Compare collected fees with labor and operating costs, not guaranteed lifetime value.
Set a review date and spending limit first. Continue, adjust or stop based on qualified fit, actual costs and capacity. There is no universal email, direct-mail or social conversion rate that establishes your results. Protect service quality instead of accepting work beyond your authority or backup arrangements.
Handoff the accepted property into real operations
After the reviewed agreement and start conditions are satisfied, reconcile leases, deposits, rent balances, owner reserves, repairs, contacts and access with the responsible parties. Identify actual funds and liabilities, missing records and who resolves them. Agree on lawful resident communications, payment instructions and the first owner report before calling the handoff complete.
Use investor-client handoff guidance when purchase representation is involved and the agent toolkit for introductions. Those engagements and qualified services remain separately authorized.
Rentari software organizes rental work once the account, plan, permissions and records are ready. Review maintenance records, messaging and accounting against actual duties. Rentari provides rental software and written guides; it does not obtain owner clients, provide licensed management or tenant placement, or perform physical repairs. Eligible assignment and vendor-coordination workflows depend on account permissions, approval settings and rollout controls; an assignment, notification or status is not evidence that the work is complete. Advertised 25+ listing destinations depend on actual property and destination availability; rental listing distribution does not distribute an owner-service campaign.

Common questions
Which channel guarantees new management clients?
None. Choose a manageable channel and useful resource, record actual inquiries and fit, and compare acquisition costs with signed engagements and capacity. Views and followers are not accepted clients.
May I offer a gift for every referral?
Do not assume a gift or discount is automatically permitted. Check the recipient, service, transaction, applicable rules and terms with qualified advisers first. A small amount or disclosure alone does not cure a prohibited arrangement.
Is a downloaded checklist permission for ongoing sales email?
Record what the person requested and their preference. Review commercial-email duties and other applicable rules, provide required opt-outs and honor them. Keep requested follow-up separate from enrollment in continuing promotions.
Will Rentari find clients or manage properties for my business?
Rentari supplies software and written guides. Your business verifies authority, obtains clients, executes agreements, handles funds appropriately and arranges property work. A partnership inquiry has separate negotiated terms and does not create a management engagement.
