The short answer
The best maintenance app depends on the work you manage. Rental software can connect a repair to its unit, resident and communication history; a specialist computerized maintenance management system (CMMS) may suit a team managing equipment, recurring inspections and parts. Test one complete repair and an equipment task, including permissions, offline limits and exports. Compare the full plan cost, then confirm that people remain responsible for appointments, physical repairs and applicable deadlines.

Choose by the work, then compare the tools
A rental request and an equipment work order can describe the same leak but need different records. Start with who reports the issue, who reviews it, who performs the repair, and where the resident receives updates. A CMMS organizes maintenance operations; it does not automatically supply leasing, rent accounting or resident communication.
| Need | What to demonstrate | Selection check |
|---|---|---|
| Rental repair coordination | Unit, resident, entry preference, private notes, work order and follow-up | Can the owner trace the repair without exposing another resident's information? |
| Equipment and technician operations | Asset ID, recurring inspection, meter trigger, technician time and parts used | Are the required asset, inventory and scheduling functions included in the quoted tier? |
| Both rental and equipment records | A linked rental request and equipment job, with one responsible reviewer | Test the integration or agreed manual handoff; avoid two conflicting completion records. |
Compare current provider scope and plan limits
Official pages reviewed October 6, 2026 describe different products. These are evaluation starting points, not a universal ranking. Ask each provider to demonstrate your task and confirm the written quote, billing term, taxes and renewal conditions.
- TurboTenant: its maintenance page describes renter intake, AI-assisted detail gathering, statuses and work orders to chosen vendors. It also advertises access to Thumbtack professionals. Check the actual request, recipient, appointment and completed history, and confirm any separate service and payment terms. A software suggestion or sent order does not establish that a repair has been performed.
- MaintainX: its Basic plan is free; Essential is listed at $20 per user per month billed annually or $25 monthly, and Premium at $65 annually billed or $75 monthly. Essential includes unlimited repeating work orders. Premium adds parts inventory, time and cost tracking and other advanced functions. Requester users are free, but full users are priced differently. Compare the current tier table and order and subscription terms, including paid-seat changes and usage limits.
- UpKeep: distinguish Essential and Premium from quote-based Professional and Enterprise. The current pricing page places inventory and preventive maintenance in Premium, and mobile offline work and the external request portal in Professional and Enterprise. Confirm the exact billing basis and seats in a quote rather than carrying forward older plan names or fees. See UpKeep's current plans.
- Propertyware: its rental software describes work orders, vendors, recurring work, assets and warranty records. Confirm which functions your package and any vendor access include. Its pricing page lists per-unit charges, minimums, implementation costs and optional services; obtain a quote for your unit count and add-ons. See the official maintenance scope. An optional contact center and the people performing repairs are separate decisions.
- FMX: its official overview describes work orders, recurring preventive tasks, equipment, parts and reporting. Its quote page bases charges on users performing or closing work and enabled features or workflows; requesters, vendors and partners are described as non-billable. Standard contracts renew annually, with an implementation charge and possible service or monthly-payment fees. Demonstrate the required workflow and confirm these terms in your quote rather than assuming every feature is included.
Check requester access separately from technician seats
List the residents or requesters, reviewing managers, employed technicians and outside trades who need access. Ask which accounts incur a charge, whether a vendor needs a paid seat, and whether an emailed work order grants any ongoing access. A free requester account is not equivalent to a technician workspace.
UpKeep's request-form documentation distinguishes internal requests from its external portal and says an authorized administrator reviews a request before it becomes a work order. In your trial, submit as a requester and verify what that account can see. Test an internal cost note separately from the resident's update. Check removing a former vendor's access, without deleting necessary repair records.
Prove offline work, recurring tasks and inventory
Offline capability usually needs preparation. MaintainX's offline instructions apply to its mobile app for full users and administrators, not requesters; prepare the available work orders while online and check the cache settings. UpKeep's offline documentation limits the feature to Professional and Enterprise, with different cache and draft limits. Do not assume every account or job is available without a connection.
- Load a test task online, disconnect the device, add a note and photo, reconnect and confirm the saved result and any error.
- Create a recurring equipment inspection. Check the asset, interval, responsible person and next due task after completion; a calendar reminder alone may not create a work order.
- Record a replacement part, quantity, stock location, labor time and supplier cost. Confirm who can change inventory and whether replenishment or purchase orders require another tier.
- Inspect reassignment, duplicate submissions and conflicting edits. Ask how failed synchronization is shown and resolved before relying on the tool in a low-signal property.
Run one repair through its exceptions
Use a fictional leaking cabinet for the trial. Submit a clear description and photo, identify the unit, choose urgency and record the entry preference. Have a reviewer prepare the scope, identify the intended trade, obtain acceptance and agree the appointment. Send the resident the relevant update, then record findings, approved changes, completion evidence and an invoice for separate review.
Repeat with a duplicate report, an unavailable vendor, a failed message and a problem that returns after the ticket closes. Confirm who follows up and how the history remains connected. An email sent, a status change or an AI suggestion does not prove attendance, completed work or resident approval. Permission to enter and applicable notice requirements need their own review.
Test exports and retention before depending on the system
Ask for an exit sample containing unit or asset identifiers, request and work-order dates, statuses, notes, assigned parties, costs and recurring schedules. Verify whether original photos, attachments, message history and audit records are included or need a separate download. Keep private records restricted during the test.
MaintainX documents organization exports for several record types, subject to the available export function and plan. UpKeep's analytics export instructions warn that a current-results-table export defaults to 500 rows; choose all results when that is needed and reconcile the count. Neither an analytics chart nor a CSV sample proves that every attachment is preserved.
Distinguish an analytics lookback window from the contract's data-retention period. Confirm retention after cancellation, the export deadline, deleted-user attribution, fees and the process for retrieving files. Store an authorized backup securely under your records policy.
Budget software and physical work separately
Calculate the annual software commitment from paid seats or units, minimum charges, implementation, imports, training, messaging, integrations and required add-ons. Compare a written renewal quote with the actual task you demonstrated. A lower headline fee can become expensive if the necessary offline or inventory function requires an upgrade.
Build the repair budget from the property's equipment age, observed condition, inspection findings, scheduled servicing and qualified estimates. Separate recurring service, expected replacements and a contingency appropriate to that property. Track actual invoices against the estimate and revise it as evidence changes. A percentage of rent or a fixed cost per square foot is not a reliable promise for every building. Rules for resident charges, reimbursements and deductions require separate local and agreement review.
Use Rentari for the supported rental workflow
Rentari's renter form records the issue, location, category, urgency and entry preference. Use the renter repair-request instructions. The photo control accepts up to six JPEG, PNG or WebP images, up to 8 MB each; finish the upload and resolve any retry before submitting, then confirm that the request appears. The landlord reviews the request and available activity, chooses note visibility and prepares a work order when that control is available. Review the recipient and result, and confirm the appointment with the provider. Follow the maintenance-board instructions and triage and vendor handoff guide.
Rentari supplies software and written guidance. The owner or authorized manager chooses and supervises repair professionals; Rentari does not supply contractors or fulfill physical repairs. This guide does not promise a CMMS parts warehouse, technician offline workspace or automatic dispatch. Use emergency services for immediate danger, and confirm the property's repair and notice requirements with official state and local resources; there is no universal three-to-seven-day repair deadline.
Continue with the preventive maintenance planning answer and landlord software evaluation worksheet. Record the demonstrated result and the unresolved question beside each feature before choosing a plan.
Common questions
Do I need a CMMS for a small rental portfolio?
Start with the work you need to track. A rental request history may be sufficient for coordinating outside trades. A CMMS becomes more relevant when you need equipment schedules, technician access, meter readings or parts control. Test those tasks before adding a separate system.
Does a free requester account cover a contractor?
Not necessarily. Requester access commonly lets a person submit a request and see limited information; technician and administrator access can have different permissions and charges. Confirm the exact role and quote for every person who will perform or review work.
Will maintenance software meet the property's repair deadline?
Software can help organize records and follow-up, but people must assess urgency, obtain access, carry out repairs and verify completion. Check the applicable jurisdiction and circumstances rather than assuming one deadline or that a closed ticket proves the obligation was met.
What should I ask for before cancelling?
Confirm the export and cancellation terms, available time to retrieve records, fees, file formats and treatment of attachments and history. Test an authorized export and compare its record count and contents with the system before access ends.
How should I estimate the physical maintenance budget?
List scheduled servicing and likely replacements using the property condition, equipment age, inspection findings and qualified estimates. Keep a suitable contingency and compare actual invoices with the budget. Subscription charges, routine repairs and longer-term improvements are different costs; a percentage of rent or cost per square foot is only an input to review, not a reliable average for every rental.
What maintenance costs should I track?
Keep the task, property or asset, labor, parts, access or call-out charges, approved changes and invoice together. Separate recurring servicing, repairs and improvement projects, and review the appropriate accounting classification with your preparer. Track software seats, setup and add-ons separately so the subscription does not hide the cost of physical work.
