The short answer
Self-management works best with a repeatable routine for payments, maintenance, documents and communication, plus local help for work you cannot perform yourself.

Assign an owner to each task
Decide who monitors payments, answers repair requests, arranges access and maintains records. Set realistic response arrangements, including an emergency contact. Software can organize the work, but someone still needs to review exceptions and arrange repairs.
Use a weekly and monthly routine
Check new requests and upcoming appointments regularly. Each month, reconcile rent activity, review unpaid items and save invoices by property. Schedule a separate review of lease dates and any required renewals. Avoid treating a dashboard balance as a substitute for reconciliation.
Know when to bring in help
Use qualified trades for work beyond your skills and local advice for unfamiliar legal questions. Example: a recurring leak may need an inspection, not another reminder. Keep the diagnosis and work record so a different contractor can understand the history.
Your next-step checklist
- Name the person responsible for each task
- Keep one maintenance record per issue
- Reconcile monthly
- Maintain backup local contacts
