An uncashed refund or returned envelope is an unresolved item. It should not quietly become rental income because the recipient is hard to reach.
Preserve the payment history
Record the refund basis, amount, payee, issue date, payment reference, delivery method, returned mail, and contact attempts. Keep the statement and supporting account together.
Verify whether the payment remains outstanding before issuing another one. Use the bank or provider's correct process to avoid duplicate refunds.
Check the applicable requirements
Review landlord-tenant obligations and state unclaimed-property reporting instructions with qualified help. Determine which state process applies, required outreach, timing, records, and remittance procedures.
The FDIC's directory links to official state unclaimed-property offices. Use the relevant office's current holder instructions; a consumer search page alone does not explain a holder's duties.
Maintain a controlled follow-up
Assign an owner and review date. Record any corrected address securely and retain the correspondence. Do not post the former tenant's private information publicly to locate them.
If funds must be reported or remitted, preserve confirmation and update the account using the appropriate accounting process.
The objective is a traceable resolution. Missing contact information should trigger a documented follow-up path, not an assumption that the obligation vanished.
