Set up the timeline

Record tenancy reference, property and unit, relevant end or surrender events, jurisdiction, verified deadline, source checked, and responsible reviewer. Do not assume all deadlines start from the same event.

Include any required inspection or notice steps and their completion evidence.

Build the itemized record

Record deposit held, proposed adjustments, supporting evidence, and review status. Link each condition-related item to the relevant photographs, prior condition, invoice, or other permitted documentation.

Separate an estimate from a final invoice and identify unresolved questions. The worksheet does not decide what is deductible.

Track statement and payment

Record approved statement, delivery method, sent date, refund amount, payment reference, and any failed delivery or unclaimed payment. Assign follow-up rather than deleting the open item.

Use secure references instead of unnecessary banking or identity details. Retain the completed record according to applicable requirements.

Before closure, check whether the statement, refund, and supporting documentation meet the verified process. Printing a document or initiating a payment is only one event in that process.

Keep your completed record

Save the worksheet with the supporting records and restrict access to people who need it. This blank organizer does not calculate a legal, tax, insurance, or eligibility decision.
