Use this worksheet when comparing platforms. Fill it with current provider evidence and your own observed results, not marketing claims copied as fact.

Define the test

List the task, user role, property scale, required result, and importance. Include common exceptions: partial payments, account access problems, amendments, failed messages, and offline alternatives.

Use an authorized demonstration or test environment. Do not create fake residents in a live production account.

Record the evidence

For each platform, note whether the task worked, where documentation supports it, relevant limitations, support response, and any manual workaround. Label untested claims as unverified.

Record current charges, who pays them, included volumes, add-on requirements, and renewal conditions. Keep the date of the comparison visible.

Check the exit route

Ask how to export documents, ledger history, contacts, and supporting records, and what happens after cancellation. Review security, permissions, and retention with the people responsible for those areas.

Summarize the decision around essential workflows and total effort. A large feature count should not outweigh a missing task your team performs every week.

Review the worksheet after implementation. If the actual process differs from the evaluation, record the gap and decide whether training, configuration, support, or a different tool is needed.

Keep your completed record

Save the worksheet with the supporting records and restrict access to people who need it. This blank organizer does not calculate a legal, tax, insurance, or eligibility decision.
