Work through the checklist

Confirm the appointment
Your tour is confirmed for [date, time, time zone] at [full address and unit]. Meet [contact] at [meeting point]. Parking: [instructions]. Contact [channel] if delayed or if you need another arrangement.
Check every field. Keep private access details out of reusable copy. Route accommodation requests through the appropriate process.
Make rescheduling simple
We missed each other for the tour at [time]. If you still want to visit, [option one] and [option two] are available. Let us know which works or whether you no longer need the appointment.
The message makes no assumption about the missed visit. Record a new appointment only after it is confirmed.
Explain the application
Thank you for visiting [property]. The application process is [link], and the applicable cost is [amount and explanation]. Please review the published requirements before applying. What questions can we answer?
Verify the linked process and costs. Describe genuine availability constraints factually without manufactured urgency. Retain the message and response so another team member can continue without repeating questions.
Review templates after a process change. A saved reply with an outdated address, fee, or link can create confusion at scale.
Keep your completed record
