Write the summary

Following our call on [date], we discussed [specific issue]. The next step is [action], handled by [person or team]. We expect to update you by [date or event]. The following remains unresolved: [item]. Please let us know if this summary misses a factual point.

Replace every bracket and keep the message short. Do not describe a proposed arrangement as accepted.

Attach the right reference

Link the relevant work order, account summary, or instructions through a secure route. Avoid sending full screening, medical, or banking records with a routine note.

If formal documents are needed, identify that separate step without implying the summary itself changes the agreement.

Preserve corrections

Record the sent message and any reply in the appropriate file. If a fact changes, add a correction with a date instead of rewriting the original record.

Track the promised update. A summary that names an action but has no owner simply moves the uncertainty into writing.

Before sending, ask whether the recipient can identify exactly what happens next. Remove background that does not help answer that question.

Keep your completed record
