The short answer
Confirm the return with the payment provider, reconcile the ledger and contact the tenant with the facts. Check the lease and local rules before adding a fee or retrying a debit.

Confirm what was returned
Review the payment identifier, amount, return status and provider message. A pending transfer is different from a returned one. Do not change a balance based only on a screenshot or an assumption that settlement should have finished.
Correct the record without duplicating it
Retain the original transaction and the return or reversal record. Check that the outstanding amount reflects the actual result. Example: a returned $1,000 payment should not create a second $1,000 rent charge on top of the original unpaid charge.
Agree the next step
Explain the status to the tenant and confirm an authorized replacement method. Follow provider retry restrictions and applicable authorization rules. A returned-payment or late fee must be supported by the lease and law; it is not automatically justified by a failed transfer.
Your next-step checklist
- Confirm the return status
- Keep the original and reversal records
- Avoid duplicate charges
- Check fees and retry authorization
