The short answer
An itemization explains the deposit held, each lawful deduction and the amount returned or otherwise accounted for. Verify the required content, evidence, timing and delivery for the jurisdiction.

Make each line traceable
Describe the item, location, reason and amount, with the relevant support required by law. Distinguish estimates from completed costs where estimates are permitted. Keep calculations consistent with the underlying deposit ledger.
Complete the delivery and refund process
Review required interest, attachments and payment method. Save the exact statement and appropriate delivery evidence. Generating a letter or marking a task complete does not prove that the resident received the accounting or refund.
Example: a corrected deduction
If an invoice credit lowers a permitted deduction, update the accounting and follow the required correction or additional-refund process. Keep both versions and the reason for the change rather than silently editing the earlier sent statement.
