How do I document property condition at move-in?

The short answer

Create a dated, room-by-room condition record before or at handover, with useful photos, specific descriptions and a way for the resident to report missing or disputed items.

Capture evidence that can be compared

Identify the rental, room, surface or fixture and observed condition. Photograph context as well as close-ups. Record existing marks, missing items and unresolved maintenance; do not mark an uninspected item as undamaged.

Keep the resident response

Provide the record through an appropriate process and retain comments or corrections. Check any local inspection requirements. Keep original images and dates securely rather than relying only on a compressed document.

Example: a scratched floor

Record the scratch location and a photo showing the surrounding floor. At move-out, compare the same area and consider ordinary wear and applicable rules. A generic note saying good condition gives much weaker evidence than a specific record.

Use a room-by-room coverage map

Record the property, room, date, reviewer and version. Use factual descriptions and label photos so another person can locate the item. Keep uninspected or unavailable evidence explicit; do not mark it undamaged. Photograph only what the record needs, with lawful access and appropriate privacy.

Record an observation for each applicable area
AreaEvidence or next check
Floors and carpetsLocation, marks, moisture, wear and wide/close photographs.
Walls and ceilingsMarks, openings, stains and any unresolved concern; do not diagnose a concealed leak.
DoorsObserved condition and safe operation; note locks, handles and entry problems.
WindowsGlass, frame, screen, latch and safe operation without blocking an emergency route.
CountertopsLocation of chips, burns, stains or visible water effects.
Lights and fixturesObserved covers, switches and operation; refer exposed wires or faults for qualified assessment.
AppliancesIdentify the supplied item and observed state; use only safe manufacturer-approved normal operation.
PlumbingVisible leaks or stains, fixtures and reported function; leave concealed or hazardous work to qualified help.
Electrical and alarmsRecord visible damage and the applicable safety-check record; a phone charger does not certify wiring safety.
Exterior and accessEntrances, patios, balconies and shared areas within the agreed inspection scope.

Close the record with shared review and tracked follow-up

  1. Arrange a joint walkthrough or an appropriate resident-review route under the actual access and deadline rules.
  2. Compare observations, retain corrections and unresolved differences, and request proportionate supporting evidence.
  3. Address urgent hazards through the appropriate help route; assign other repairs and preserve their completed-work records.
  4. Follow any required signature, dating and copy process, then verify the saved report and recipient's access.
  5. At move-out, compare the same items and review age, ordinary wear and lawful charging rules separately.

Washington RCW 59.18.260 provides a specific example: its deposit provisions require a written agreement and commencement checklist, signatures/dates and a tenant copy, and address ordinary wear. Read the full law and applicable coverage. A general 48–72-hour practice is not a nationwide legal deadline.

Use official state resources for the actual address, deposit condition, timing and municipal rules.

Read Rentari's condition-report guide and the resident move-in guide. A sent request, selected photo, closed form or signed document does not by itself prove completed inspection, legal compliance or responsibility for a later charge.

Common questions

What is the purpose of a move-in checklist?

Preserve a specific starting-condition record both parties can review. It supports a later comparison but does not automatically establish responsibility or an allowable charge.

How do I complete the move-in inspection process?

Identify the rental and version, record each area, review evidence and corrections, follow required signatures and copies, and track urgent or unresolved repairs separately.

What should move-in ready mean for this home?

Verify the actual condition, supplied equipment, safety and applicable housing requirements. A clean appearance, checklist or software status does not establish readiness.

Must every checklist be returned within 48 to 72 hours?

No universal deadline applies. Check the actual law, commencement requirements and agreement; a platform entry window does not decide every reporting right.

Does a signed checklist prove who caused later damage?

No. Compare the same item with earlier records and later evidence, consider ordinary wear and applicable rules, and keep disputed facts visible before deciding any charge.

Can software replace the actual inspection and follow-up?

No. Verify the property and saved evidence, review required copies and signatures, and confirm repairs were completed. A report request is only one stage.
