The short answer
Plan a documented handover: review the management agreement, obtain complete records, reconcile money held and give tenants clear instructions with an agreed effective date.

Review the exit terms
Check notice requirements, termination charges and outstanding work in the management agreement. Agree who remains responsible for emergencies and tenant communication during the transition. Do not cancel access before the handover is complete.
Collect records and reconcile balances
Request signed leases, amendments, tenant contacts, ledgers, deposit records, invoices, keys and open maintenance files. Compare balances with supporting records and applicable deposit-transfer requirements. Resolve discrepancies instead of importing an unexplained opening balance.
Change the tenant experience carefully
Communicate the verified contact and payment instructions, effective date and repair process. Coordinate the end of old payment schedules with the new setup to avoid duplicate collection. Review the first month's payments against both sets of records.
