How do I track rental property expenses?

The short answer

Record each expense with its date, payee, property, amount, purpose and supporting document. Reconcile those records to completed payments, keeping uncertain tax classifications separate for review.

Capture the evidence

Save an itemized invoice or receipt plus payment evidence. Split mixed-property and personal amounts using a documented method. Record refunds against the original transaction so reports do not overstate spending.

Check imported transactions

An imported bank item may duplicate an existing entry or represent a transfer, loan payment or owner draw. Review matches and categories rather than assuming the bank description gives the full accounting treatment.

Example: receipt plus bank import

You enter a plumbing bill from its receipt, then import the matching payment. Link or reconcile the existing record using the supported workflow; do not create a second expense merely because the bank feed supplied another row.
