Track rental expenses with records you can reconcile

The short answer

Capture the amount, date, property, business purpose and supporting document. Then reconcile the records regularly so missing items and duplicates are found before reporting time.

Use a consistent record

For each expense, record the supplier, invoice date, payment date, amount, property and unit where relevant, description and receipt reference. Add the payment account and a note when the cost serves more than one property.

A useful description explains the work: “replace broken kitchen tap in Unit 2” is more informative than “maintenance.” Keep the invoice or receipt accessible from the record and preserve the original file.

Separate categories from decisions

An expense category helps organize records; it does not settle every tax or ownership question. Identify loan principal, transfers, refundable deposits and owner contributions separately from ordinary operating expenses.

For an improvement or a shared cost, record the facts and mark the classification for review. Do not force an uncertain transaction into the first category offered just to clear a queue.

Worked example: one invoice, two rentals

A contractor charges $240 for work at two properties: the invoice assigns $90 to one and $150 to the other. Preserve those allocations and the common invoice reference. Do not record the full $240 against both properties.

If the contractor provides no breakdown, obtain or document a reasonable allocation before reporting by property. Keep the total tied to the single actual payment, including any later refund or credit.

Review imports before adding entries

A bank feed can help locate cash movements, but an imported row may still need categorization or matching. Check whether the expense is already recorded. Identical dates and amounts are a reason to compare records, not proof of a duplicate.

In Rentari, follow the current Import feed and accounting workflow. Review the saved result and any coverage message. Use the bank statement as independent evidence when an import or match is uncertain.

Close the month with a short routine

Collect missing support, compare recorded payments with bank activity and resolve unexplained differences. Review unpaid invoices separately from amounts already paid. Export a property report and check its dates before sharing it.

Use the blank worksheet below if you need a starting record. It is a recordkeeping aid, not an automated ledger or tax return. Keep sensitive bank details and tenant documents in an appropriately protected system.

Take the worksheet with you

Download the blank worksheet (CSV). It records your inputs and does not calculate a legal or tax result.

Choose who maintains and reviews the books

A spreadsheet, software or bookkeeper can support the same process. The IRS allows a suitable recordkeeping system that clearly shows income and expenses. Choose a method you can maintain, with usable supporting documents and a named reviewer.

If missing records or unresolved entries keep accumulating, agree on a bounded bookkeeping handoff: properties, opening records, update frequency, who supplies invoices, who reviews exceptions and when the reconciled report is due. Verify actual account permissions and secure record access before sharing; access to documents does not authorize payments. Keep an owner responsible for answering factual questions even when someone else prepares the books.

For costs and available tools, check current Rentari pricing and the same-month software review. A subscription or outside bookkeeper does not establish correct deductions.

Check the exported file before handing it off

Use the available report workflow to select the actual property, period and scope. Open the resulting file and compare totals and a few source references with the reviewed records. Check whether credits, adjustments, payment status and allocation detail are present. Confirm separately how the recipient can access protected invoices: an exported row is not necessarily an exported attachment.

Before a later import, ask the receiving system about required columns, date/amount formats, property identifiers and duplicate handling. Keep the original export and a documented mapping; do not assume every CSV imports correctly into every accounting tool. Agree on the cutoff and review discrepancies before relying on a new report.

Use the Schedule E preparation guide for the separate tax handoff. Publication 527 currently identifies a 2025 edition; check final instructions for the return year. An export organizes records and does not itself complete or file a return.

Common questions

Does outsourcing bookkeeping remove the need to review expenses?

No. Agree who supplies evidence, reconciles records, answers factual questions and reviews unresolved entries. Confirm permissions and the completed handoff; hiring someone does not establish that every charge is supported or deductible.

Can an expense CSV be imported anywhere without review?

No. Confirm required fields, formats, property mapping and duplicate handling in the receiving system. Reconcile totals and source references and check attachment access separately. Preserve the original export and resolve differences before relying on the imported report.
