What is a rent roll?

The short answer

A rent roll is a dated summary of units, occupants, lease terms and scheduled rental charges. It helps describe a property's income arrangements, but it does not prove that every listed charge was collected.

Include useful fields

Record unit, occupancy status, lease dates, scheduled base rent, permitted recurring charges and applicable concessions. Keep confidential resident information limited to what the report's purpose requires.

Reconcile to other records

Compare the rent roll with signed agreements, vacancy status and the ledger. Use a separate collections or delinquency view for receipts and outstanding balances rather than hiding those differences in scheduled rent.

Example: occupied but unpaid

A unit shows $1,500 monthly rent on the roll while the payment remains outstanding. The scheduled-income view is correct only if it is labeled as scheduled; it must not be presented as $1,500 collected.
