Record and review

Capture the tenancy reference, requested date, exact request, current agreement, and relevant communications. Identify the qualified reviewer for legal questions and any special circumstances requiring a separate process.

Record applicable deadlines only after verification. Preserve the difference between a proposal and an accepted arrangement.

Plan the property handoff

Coordinate lawful access, keys, inspection, condition evidence, utility arrangements, and the property's actual availability. Assign each task to a person and date.

Do not advertise a firm possession date that has not been established.

Prepare the account

Review any authorized proration, payments, credits, charges, deposit process, and supporting records. Keep the calculation basis with each adjustment.

Track required notices and delivery separately from routine scheduling messages. Retain signed amendments or settlement documents through the approved process.

Close with a factual record of what occurred: possession event, inspection, keys, statement, refund, and remaining issue. A single moved-out checkbox cannot capture all of those events or determine their legal effect.

Keep your completed record

Save the worksheet with the supporting records and restrict access to people who need it. This blank organizer does not calculate a legal, tax, insurance, or eligibility decision.
