A changed payment date can affect more than a reminder. Use this checklist to coordinate an approved change without losing the original agreement.

Record the request and review

Capture the current schedule, requested dates and amounts, proposed effective date, and reason only to the extent necessary. Identify whether legal review, an amendment, consent, or another process is required.

Do not promise fee waivers, proration, or a new due date before confirming the applicable terms.

Update the right systems

After approval, check charge generation, autopay instructions, reminders, allocation, statements, and any reviewed fee rules. Confirm which settings the resident controls and which the landlord controls.

An internal note may not alter a scheduled debit. Use the provider's documented process and avoid changes that could cause duplicate withdrawals.

Verify the first cycle

Compare the approved arrangement with actual charges and payments. Record discrepancies and corrections promptly. Send a factual account summary through the agreed route.

Retain the original and amended records with effective dates. If the arrangement ends, review how settings return to the next applicable schedule.

The final check is whether the resident, lease record, and payment system all describe the same arrangement. If one differs, the change is not operationally complete.
