The short answer
Start with the signed agreement and applicable law. Do not treat an owner preference or a software edit as an effective lease amendment; determine what authority, agreement and notice the particular change requires.

Identify the exact change
Separate a rent change, an added occupant, a utility arrangement and a correction of an error. Read the existing clause and any permitted adjustment mechanism. A contractual provision can itself be limited by law, so its presence is not the end of the review.
Document the accepted version
For an agreed amendment, identify the parties, original agreement, changed text and effective date. Obtain the required signatures and give the parties the completed version. Preserve the original lease and check other attachments for conflicting language.
Example: adding parking
A tenant asks to add a parking space. Confirm availability, permitted charges and the terms before preparing the amendment. Update the billing record only after the arrangement is effective; changing a field in an app does not establish consent.
