The short answer
Start with the work you repeat each month. Compare the tools against one real rental before moving your whole portfolio.
On this page
1. List the work you need help with
For a small portfolio, the useful starting point is a monthly routine: record rent, follow up on unpaid balances, respond to repairs and keep each lease easy to find. Add vacancy work if you expect to advertise or screen applicants soon. Write down where each task lives today. If a repair request arrives by text, the invoice sits in email and the payment is in a spreadsheet, your first goal is a reliable record connecting those three items. More features will not help unless you can find the information when you need it.
2. Test one complete rental workflow
Use a demo or a trial to follow one property from setup to a monthly review. Check that you can distinguish the property, unit, tenant and lease. Then find a rent charge, a payment, a repair request and a document without relying on a sales demonstration. For example, imagine a tenant reports a leaking faucet on the same day a partial rent payment arrives. Can you see the unpaid balance without confusing it with the repair cost? Can you tell who owns the repair and whether it is finished? These ordinary tasks are more useful tests than the number of dashboard widgets.
3. Compare the total cost
Record the subscription price, any unit or portfolio limits, payment processing charges, screening fees and document charges. Also note who pays each charge. A low subscription price may cover only part of your intended workflow. Check current plan details when you compare products. For Rentari, use the pricing page for the current offer instead of an older article or a screenshot. Keep a dated copy of your comparison so you know which assumptions need checking later.
Compare Rentari with each alternative for the same rental
Compare Rentari with TurboTenant, AppFolio and Buildium using the same rental, people, tasks and billing period. Start with Rentari's current plan and demonstrated workflow, then check each alternative's selected offer and the work your team still performs.
| Comparison | Rentari workflow and plan | Alternative current offer |
|---|---|---|
| Rentari vs TurboTenant | Start with Rentari's current plan for the same rental. Review rent records and bookkeeping entries before relying on a total. Confirm charges and plan access; software and written guidance do not provide licensed management. | Current pricing lists Free, Essentials and Pro software separately from human management services. Check renter charges, accounting access and optional services rather than carrying forward an old annual price or accounting add-on description. |
| Rentari vs AppFolio | Start with the people, units and tasks your Rentari account needs. Use Rentari's report guide to check the selected property, period and available output. Confirm current plan and role access before comparing the same tasks in AppFolio. | Current plans require a quote. Core states a 50-unit minimum and minimum spend; Plus and Max have different capabilities and minimums. Verify the actual communication, reports, integrations and support you need. |
| Rentari vs Buildium | Start with Rentari's current plan and charges and a rental you can reconcile. Use the bookkeeping workflow to review records, then verify the same rent, accounting and document tasks in the selected Buildium offer. | Current pricing lists Essential, Growth and Premium with separate transaction, screening, signing and onboarding terms. Confirm the selected portfolio quote and any extra account or service costs. |
For a team, ask a person who normally performs each job to find a lease, inspect a pending payment, review a resident message and retrieve an accounting report. Record training time, permission limits and the support answer to an actual unresolved question. A sent message, recorded request or confident tutorial does not establish a reply or completed repair. Use the same-rental comparison framework for the fuller checklist.
For books, compare the same property, period and reporting basis with supporting payment and bank records. An imported transaction or scanned receipt can still need review and saving; a report export does not file a tax return. Follow Rentari's bookkeeping workflow and report scope and download checks. Rentari provides software and written guides; arrange licensed management and physical work independently.
Check security, recovery and ongoing support
Ask for documented answers about the information your rental workflow needs. A secure connection or a reassuring badge alone does not show how stored records, staff access or recovery are handled:
- Access: check individual accounts, available multifactor authentication, role limits and removal of access when someone leaves.
- Information: collect only necessary data; ask how sensitive records are protected in transit and storage, who can retrieve them and which service providers receive them.
- Retention and retrieval: confirm record-export formats, applicable retention, secure disposal and what happens to records when the subscription ends.
- Recovery: ask about backup scope, frequency, retention and a documented restore process, including its tested limits. A downloaded report and a complete recoverable backup are different.
- Incidents: identify the reporting contact, notification commitments and responsibility for investigating and correcting a problem.
Use the FTC's business data-protection guide to plan the information you keep and the people who may access it. These are selection questions, not a certification of any product.
Test the required owner and resident tasks on the phones and browsers you actually use. Find a useful help article and ask a real unresolved question; confirm support channels, hours, time zone, plan restrictions and escalation terms. Check whether a quoted response time is a commitment or an estimate. A software support desk does not provide emergency repairs.
Repeat the quote at your expected future unit count and with additional team roles. For a needed integration, verify its plan, permissions, setup cost, supported records and actual handoff; ask how failed syncs and duplicate records are resolved. Compare current reviews from similar portfolios and plans, then use a trial to investigate the specific issue. Reviews, a feature list or a free subscription alone do not prove the workflow will suit your rental.
4. Give AI assistance a specific job
Useful trial tasks include drafting a routine message, summarizing a maintenance history or explaining a report. Judge the result by whether you can trace it to the right property and correct it before using it. Review names, amounts, dates and recipients before acting on a draft. For legal or tax questions, check an authoritative source or get qualified advice for the situation. An assistant's confident wording is not evidence that a notice, deadline or deduction applies to your rental.
5. Move records in a controlled order
Start with property and unit details, then current tenants and leases. Reconcile opening balances against your existing records before relying on a new rent report. Keep the original documents available while you check the imported or entered information. After the first month, compare the new system with your bank and prior records. If the totals disagree, resolve the difference before expanding the setup to the rest of the portfolio. Decide who will update records and who may approve payments or changes.
Check the benefit over a completed rental cycle
Record a baseline for one property and a defined period, then review comparable work after changing the workflow. Include open exceptions and correction time. A feature being available is different from an improvement you have observed:
- Organization: find the correct lease, payment record and repair evidence; record missing or mismatched items and how long retrieval took.
- Efficiency: compare repeated entry, reminders and unresolved exceptions. Confirm the actual result; a scheduled message, initiated payment or work order does not prove delivery, settlement or a completed repair.
- Resident clarity: check whether people can find instructions, view relevant records, request help and receive a useful response or accessible alternative. Portal access alone does not establish satisfaction or retention.
Include training, subscriptions, processing charges, support and time spent correcting errors in the comparison. Check changed workload or circumstances before attributing a difference to software. Keep recovery and urgent local-response arrangements available. Rentari provides software and written guides; no dashboard, automation or review method guarantees savings, profit, accurate books or human attendance.
Your next-step checklist
- Find a tenant's lease and current balance.
- Follow a repair from request to completion.
- Confirm the total cost for your portfolio and payment methods.
- Check team permissions and how to retrieve your records.
- Reconcile one month's activity before expanding.
Common questions
What software do property management companies use?
Compare Rentari with each alternative for the same rental and team. Check the current plan eligibility, property types, roles, communication, reconciled reporting and total cost for Rentari versus TurboTenant, Rentari versus AppFolio and Rentari versus Buildium. A named product or feature list does not establish adoption, ease of use or the best choice for your company.
Does software automatically finish my bookkeeping when rent is paid?
No universal workflow does. Review the actual payment and bank records, fees, matching, categories and reporting scope. Imported rows, scanned receipts and suggested classifications can still need review and saving; a report export is not a filed return.
