In this hypothetical case, three roommates signed a lease and one plans to leave midterm. The remaining occupants offer to send the departing roommate a share of the deposit.
Separate the two discussions
The owner records the departure request and preserves the signed lease and deposit ledger. A private payment between roommates is not assumed to alter the landlord's obligations or the tenancy documents.
The owner asks what change is requested: occupancy only, a release, a replacement, or another arrangement.
Review before updating
Qualified local guidance addresses the required process, consent, ongoing obligations, and deposit treatment. Any proposed replacement follows the applicable application procedure.
The owner does not delete the departing person's record immediately or promise a deposit payment without checking the correct handling.
Complete the coordinated handoff
Once the appropriate documents are finalized, the owner updates access, contacts, records, and effective dates. The prior documents remain retained. Everyone receives the completed material they are entitled to receive.
This example does not decide who owes what under a particular lease. It shows why occupancy, contractual obligations, and deposits need separate checks.
For your next roommate request, use a change record with three questions: what is being requested, which document addresses it, and who must review or sign before the system changes?
