Rent receipts and proof of payment: record the right facts

Archive topic 2025

The short answer

A receipt should identify the payment and how it was applied. Keep payment confirmation, bank settlement, the rent ledger, and an official certificate separate.

On this page

Include a complete payment record

Record the payer, recipient, property and unit, amount, date received, payment method, covered period, and reference number where appropriate. State how the amount was applied and the remaining balance based on the ledger. Give both parties a usable copy.

Check local requirements for receipts, including cash payments and any required signatures or delivery. Do not expose full account numbers or unnecessary resident information. Correct errors with a traceable replacement rather than silently editing a prior receipt.

Distinguish received from settled

A submitted transfer or deposited check can still be pending or later returned. Describe the actual status. Do not claim bank settlement from a screenshot alone or issue a second credit because a payment appeared in both an app and a bank import.

For a proof-of-rent letter, verify the requested period and amounts against the records. Identify the writer's role and confirm authorization before sharing tenancy information. Keep the letter factual rather than making unsupported claims about creditworthiness.

Check the requested document

Some jurisdictions use a particular certificate or form for a renter's tax or benefit claim. An ordinary receipt is not automatically that document. Use the current official instructions, required fields, and filing period.

If a payment is disputed, compare the original reference, bank activity, returned-payment notices, and ledger. Preserve the record and explain the next investigation step without assuming either party is dishonest.

Review one receipt before issuing it

Match the payment to the underlying record, then check the payer and authorized recipient, full property address and unit, received date, rental period, actual amount, method and limited reference. Identify the amount applied to rent, any separate lawful charge and the remaining balance. Keep refundable deposits distinguishable. Check a readable issued copy, locally required signature or title, delivery and retention; a draft or email queue is not proof of delivery.

For an arithmetic example, a period has $1,200 due and no prior credit. An $800 payment applied to that period leaves $400. Record $800 received and $400 remaining; do not mark the period paid in full or post another $800 credit when a bank import arrives. Use a consistent reference across rentals and identify a replacement receipt and corrected field rather than silently editing the issued record.

Check the local receipt duty

There is no universal requirement for both parties to sign every receipt. For a bounded residential example, New York Real Property Law section 235-e requires specified written receipts for cash or an instrument other than the tenant's personal check; a written request triggers receipts for personal checks. The record identifies the date, amount, premises and paid period, and the receiving person's signature and title. Personally transmitted payments require an immediate receipt; indirect payments require one within 15 days of receipt. Cash-receipt records must be retained at least three years. These are New York provisions, not national deadlines.

Check the current property's law and actual payment circumstances before choosing handwriting, a digital record or a required form. Review available authorized payment records and outputs against those requirements. An automated record does not certify a statutory receipt, required signature, bank settlement, tax certificate or successful delivery. Rentari provides software and written guidance; it does not receive an outside cash payment or supply licensed management.

Choose a receipt format the resident can keep

Choose a paper copy, downloadable document or other permitted written format after checking the local content, signature and delivery requirements above. A digital payment method and an electronic receipt are separate choices. Confirm the recipient's correct contact and a practical way to access and retain the record; provide an appropriate alternative when they cannot use the selected channel.

Open the issued copy and check that it remains readable when downloaded or printed. Retain that version with the payment reference and delivery record, including any failed delivery and follow-up. Do not rely solely on a portal view that can change or become inaccessible after move-out. Keep receipt downloads protected and limited to the authorized tenancy.

If a delivered copy needs correction, use the traceable replacement process above and explain which version supersedes it. Sending the replacement does not add a payment or alter the ledger by itself. Keep the original evidence and the verified accounting correction distinct. Compare subscriptions, processing charges, access and retrieval before adopting a digital workflow; convenience alone does not establish who may lawfully pay a fee.

Check receipt rules alongside payment alternatives

For covered Washington residential tenancies, RCW 59.18.063 requires a receipt when cash is accepted and a written receipt for noncash payments on the tenant's request. It also protects specified check/money-order and mail payment routes. Check the correct tenancy chapter; a manufactured-housing provision does not supply every ordinary rental's rule.

Minnesota's 2026 amendment to 504B.118, effective August 1, 2026, keeps the cash-receipt duty: immediately for an in-person payment, or within three business days otherwise. It also requires a fee-free alternative when a required or permitted digital payment platform fails. If both the platform and landlord-provided alternative fail for the tenant, the law prohibits adverse action for the resulting nonpayment, including late fees or eviction.

Record the actual problem, available alternative and follow-up rather than treating a failed payment screen as ordinary lateness. These examples supplement the New York rule above, not a complete national list. Check current state, city, program and property-specific requirements before deciding format, timing, fees or enforcement. An automated receipt or notification does not remove those duties.

Prepare the specific tax certificate requested

Identify the jurisdiction, program, rental year and responsible owner or agent before preparing an annual record. Open the tax authority's current instructions and identify the required official system or form. A useful rent letter and a statutory tax certificate can serve different purposes; do not relabel an ordinary receipt as an approved certificate.

Build a working file from verified tenancy dates, adult occupancy, actual receipts, credits, assistance payments and any ownership change. Reconcile the period and separate categories before entering the required fields. Assign a reviewer for unclear rent definitions, shared occupancy and protected-address handling. Keep the working reconciliation separate from the issued document.

Check required submission and resident delivery independently. Retain the issued copy and delivery record, and follow the authority's correction process if an error is found. Rentari records can support review; this guide does not create or file a state certificate, calculate a renter credit or certify eligibility.

Use Minnesota's CRP instructions as a bounded example

Minnesota Revenue requires covered owners or managing agents to create and submit CRPs through e-Services and provide electronic or paper copies by January 31 following the rental year. Coverage depends on property tax being payable or payments in lieu of tax; special property types require separate review. These are Minnesota requirements.

The current instructions expressly discuss 2026 rent. Issue a separate CRP for each adult renter, including an adult absent from the lease. Follow shared-month allocation rules and the separate-agreement exception. Use the program's definition of rent, not every receipt: late fees and refundable damage deposits are excluded unless the deposit is used for rent. Review assistance categories and special housing separately. Back rent owed does not cancel the duty to document actual qualifying payments. Retain issued copies for four years and use e-Services for corrections.

The renter-credit page explains separate filing eligibility and routes for missing or incorrect CRPs. It currently displays figures tied to 2025; check the actual return year's instructions before using income thresholds or benefit amounts. Providing a CRP does not decide whether the renter qualifies.

Write a proof letter for a defined period and recipient

Ask what the authorized recipient needs: a payment summary, direct verification, specific form or supporting transaction evidence. Confirm the tenancy, recipient, stated purpose, date range and cutoff. Check who may sign or respond and whether sharing is authorized. Do not add a character reference, future-payment prediction or loan recommendation to a factual payment confirmation.

Use this original outline only after verifying the records; it is an unissued drafting aid:

Prepared [date] by [name and role] for [authorized recipient/purpose]. This summary concerns [renter] at [property and unit] for [start–end period], reviewed as of [cutoff]. The attached dated summary identifies actual rent receipts, the periods credited and relevant adjustments. [Describe the verified payment history and any unresolved or pending item precisely.] For an authorized factual clarification, contact [verified business contact]. [Required signature/title, if applicable.]

Check every placeholder, unit, date and payment reference before issuing. A standing statement must match the reviewed cutoff and scope; partial payments, reversals and disputes cannot disappear behind paid-in-full wording. Keep the issued version, authorization and delivery evidence using the guide's existing protected process.

Confirm what the lender or program actually accepts

A requested proof letter can support a mortgage, new tenancy, assistance review or a payment dispute, but each recipient has its own evidence requirements. For a bounded mortgage example, Fannie Mae's nontraditional-credit guidance accepts specified bank/check or other reasonable payment evidence and direct landlord verification. Its housing-history scope uses the most recent consecutive 12 months. This does not mean every lender, loan or program requires that same period or prefers one generic letter.

Confirm the required format and underlying records with the actual reviewer, including any independent verification. A bank debit alone may need context showing the payee, purpose and credited period. Avoid unnecessary account or tenant details. Providing accurate history does not establish income eligibility, satisfy every underwriting condition or guarantee approval.

A letter, receipt and credit-bureau submission are separate. Rentari rent reporting is currently unavailable; see the reporting guide and current feature status. Neither this drafting outline nor a software payment record sends information to a bureau.

For Alabama, document the payment and review acceptance separately

Use the complete receipt fields and partial-payment example above for an Alabama rental. Identify the actual amount received and its allocation, separate rent from deposits and any lawful fee, and preserve a readable issued copy. A money-order purchase stub or a transfer screenshot may need additional evidence that the authorized recipient received and credited that payment.

Deciding whether to accept a payment is a separate legal question. Alabama Code 35-9A-424 provides that accepting rent with knowledge of a default, or accepting performance differing from the agreement, waives termination for that breach unless otherwise agreed after it occurred. Obtain qualified advice about an existing default, proposed partial payment, or later agreement before acting. Recording an amount accurately does not determine whether a termination right survives.

Check the current state and local rules, housing program and agreement for the property's actual receipt duties. Do not infer that cash needs no receipt, that a lease can remove a required duty, or that there is no possible remedy because one selected statute does not address receipts. If a receipt is refused, request written confirmation and preserve the payment reference, recipient, date, communications and available bank or issuer evidence. Resolve a disputed credit before paying it a second time.

For Alabama, retain electronic proof and tax records under their own rules

Alabama Code 8-1A-7 recognizes electronic records and signatures, and 8-1A-13 prevents exclusion solely because evidence is electronic. That does not establish authenticity, evidentiary weight, settlement or every required receipt field. Preserve the issued version and evidence of its origin, payment reference and any correction.

Section 8-1A-5 requires agreement to transact electronically within the Act's application. Section 8-1A-8 addresses recipient retention, specified formats and delivery, and consumer consent and access disclosures where applicable. Check those conditions before replacing a required paper record; an email address or portal account alone is not a compliance determination.

The Department of Revenue's Rule 810-14-1-.07 requires sufficient supporting tax records for as long as assessment authority remains. Its usual period is three years from the return's due date or payment date, whichever is later, with exceptions including nonfiling, fraud, substantial omissions and prolonged disputes. Do not treat three years after filing as a universal deletion date. Review asset, federal-tax and unresolved-claim needs with the appropriate adviser; retain originals, issued receipts and reconciled records securely without deleting evidence of an open issue.

For Alaska, reconcile the payment before considering a remedy

Use the receipt fields and allocation example above for the actual Alaska tenancy. Record what reached the authorized recipient, its date, method, period and remaining balance; identify rent, a deposit and any lawful fee separately. Keep the issued copy, ledger allocation and supporting reference together. Check the agreement, current property rules and any housing program rather than assuming a statewide absence of receipt duties or remedies.

For a partial payment after a nonpayment notice, AS 34.03.220(b) permits the landlord to accept it and extend the eviction date accordingly. AS 34.03.240 separately addresses waiver when rent or differing performance is accepted with knowledge of a default, unless otherwise agreed after the breach. Get qualified advice about the actual default and agreement; a remaining-balance entry does not decide termination rights.

A payment receipt also does not authorize a repair deduction. AS 34.03.100 describes landlord maintenance duties. The separate essential-services remedy in AS 34.03.180 requires written notice and has conditions and limits, including an exclusion for specified tenant-caused conditions. Preserve the defect report, notice/service evidence, correspondence and actual service costs separately from rent paid. Obtain advice before withholding or deducting; do not treat a maintenance expense or unapproved adjustment as a received payment.

For Alaska, keep accessible electronic evidence and a reviewed retention period

Alaska's electronic-transactions provisions recognize electronic form (AS 09.80.040) and prevent evidence being excluded solely on that basis (AS 09.80.100). They do not make a screenshot conclusive proof of receipt or settlement. Sections .020 and .050 address agreement to transact electronically, retainable writing and other required formats and delivery. Section .090 requires accurate information and later accessibility for qualifying retained records, with further agency requirements possible.

Keep a downloadable issued copy and the underlying payment/reference evidence, with traceable corrections and appropriate access. Do not assume a payment email validly serves an eviction or default notice: section .010 contains specific notice exclusions. Check the actual document, applicable consumer requirements and permitted delivery separately.

For federal tax records, the IRS retention guidance uses different periods depending on the return and event: a general three-year rule has exceptions, including six years for specified omitted income and indefinite retention for nonfiling or fraud. Property records may need to remain through the limitations period for the disposal year. Check other tax, insurance, creditor and unresolved-dispute needs before disposal. Do not turn that federal guidance into a universal Alaska three-year deadline.

For Arizona, review partial-payment terms separately from the receipt

Use the complete payment fields and allocation example above for an Arizona tenancy. A receipt records the actual amount, received date, method, credited period and supported balance. Itemize rent, deposits and any lawful fee; retain the issued copy and supporting reference. Check current property, local, program and agreement requirements before deciding receipt format, timing or a remedy for refusal.

The Legislature's published A.R.S. 33-1371 distinguishes accepting a partial payment from preserving termination rights. Subsection A describes a contemporaneous written agreement about continuation of the tenancy that includes a balance-due date. Subsection B treats a housing-assistance payment separately, and subsection C addresses acceptance with knowledge of a default and waiver outside the stated exceptions. Review the actual facts with a qualified adviser before accepting, rejecting or enforcing a proposed arrangement. A receipt signature or balance entry alone is not that legal review.

Confirm the operative version for the date of the transaction: the Legislature's online compilation warns that it reflects law effective the January following its latest session. A proposed bill is not an enacted change. Keep any approved agreement and notice history separate from the issued receipt; record a verified credit without representing that every termination condition has been met.

For Arizona, separate rental-tax changes from electronic payment evidence

The Arizona Department of Revenue's current residential-rental guidance says city transaction privilege tax collection and remittance ended for periods beginning January 1, 2025 for covered residential stays of thirty or more consecutive days. This does not cover commercial use or transient stays under thirty days. Prior tax periods and liabilities remain relevant, and county rental-property registration and other applicable requirements remain separate.

Identify the rental period and supported charge before issuing a receipt or reconciling an older account; do not carry a repealed residential-rental tax into a current covered period or assume the change eliminates every tax obligation. Follow the guide's qualified federal record-retention reference, including property records and exceptions, and check other applicable requirements. Three years is not a universal audit ceiling or disposal date.

For electronic proof, A.R.S. 44-7007 recognizes electronic records and signatures, while 44-7013 prevents exclusion solely because evidence is electronic. 44-7005 addresses agreement to transact electronically, and 44-7009 addresses attribution and context. Review the Act's scope, operative version, and other applicable law. Keep origin, payment references, issued copies and corrections; an email or screenshot does not conclusively establish settlement, credit or required receipt delivery.

For Arkansas, identify the court-stage receipt exception

A possession case can bring a specific receipt duty into play. Arkansas Code 18-17-706 addresses an action in which a landlord seeks possession and the tenant raises defenses or counterclaims under the chapter or rental agreement. For rent becoming due after a written order to vacate or show cause, its receipt clause requires the landlord to give a written receipt for each payment except when payment is by check. Do not turn this into a blanket statement that Arkansas never requires receipts, or that the exception is only about cash.

The common receipt language appears in the Legislature's Act 311 of 2009, section 1 and Act 482 of 2009, section 7. Check the current consolidated Arkansas Code, actual order and applicable court procedure with qualified help; this receipt guide does not determine a hearing deadline, required court payment or possession outcome. The Arkansas law guide retains its specific source and reading limits.

Keep the case number, order, payment period, receiving person, actual amount and issued receipt together where relevant. Distinguish a purchase stub from confirmation that a money order reached the authorized recipient and was credited. Verify the instrument's treatment rather than rewriting the statutory check exception to cover every payment product. Resolve a disputed payment from its original evidence and the court's instructions.

For Arkansas, confirm an alternative and preserve traceable payment evidence

If a receipt is refused, ask for written confirmation through the established contact and keep a dated record of the request. Retain the payer, amount, recipient, covered period, reference, bank or issuer record and communications. Confirm an agreed, legally permitted alternative before changing the payment method; do not assume a unilateral switch or a failed transfer satisfies the rental agreement. Seek qualified help when a payment dispute or required receipt remains unresolved.

For an accepted partial payment, use the guide's allocation example and record the supported remainder, with separate lawful charges and pending or returned status. Review any agreement, default and court order before deciding what accepting a payment does to legal rights. Issuing or replacing a receipt should not create a second ledger credit.

An electronic record can help reconstruct the payment history, but check the applicable receipt format, signature, delivery, retention and court-evidence requirements. Keep a readable issued version and supporting records with traceable corrections; do not treat a screenshot as conclusive proof or assume a generic email satisfies the court-stage written-receipt duty. Review storage access after move-out and keep private account information protected.

The IRS retention guidance has exceptions to its general three-year period and separate property-record considerations. Check applicable tax, insurance, agreement and unresolved-claim needs before disposal. A three- or five-year convenience policy does not establish that every relevant record may be deleted then.

For California, request a written receipt and check city protections

The California Department of Real Estate's 2026 guide, printed pages 41-43, explains the right to a written rent receipt, citing Civil Code 1499. It recommends requesting a signed, dated receipt when handing over cash or a money order. Use the complete payment fields and issued-copy checks above.

Berkeley has a separate local protection. Municipal Code 13.79.060(C)(9), within its prohibition on bad-faith conduct, addresses failure to acknowledge rent, promptly deposit payment or promptly provide a requested receipt. Its refusal exception requires state-law permission after service of a notice to quit and expiration of its performance period. An expired notice alone does not establish permission to refuse.

The section's civil remedies can include an injunction, actual damages and $1,000-$10,000 in civil penalties per violation. These are possible remedies under this local ordinance, not an automatic statewide fine for every missing receipt. Check coverage, facts, available remedies and the operative version with qualified help. The online code states currency through Ordinance 8031-NS, July 28, 2026; the Clerk holds the official version and subsequent ordinances need checking.

If confirmation is refused, preserve the request, actual amount, date, recipient, reference, covered period and bank or issuer evidence. Investigate an unexplained credit before duplicating payment. Keep any notice or court instructions with the record and seek qualified help for an unresolved required receipt or dispute.

For California, review payment choices, fees and the issued record separately

The state guide explains that landlords generally must allow a method other than cash or electronic transfer. A dishonored or stopped check can trigger a limited cash requirement for up to three months, with written notice and other conditions. It also addresses third-party payments with the required written acknowledgment and the prohibition on fees for paying rent or deposits by check beginning in 2025.

A lease clause alone does not establish a lawful late fee. The guide describes difficulty determining actual costs, a reasonable cost estimate and possible local limits; a penalty is invalid. Review the actual rule and agreement before charging.

For an accepted partial payment, record its allocation and supported remainder using the example above. Document any approved extension and remaining amount in writing; obtain advice about notices or legal rights before relying on acceptance.

Choose a receipt channel the resident can access and retain. A date, amount and digital signature alone do not certify every applicable content, consent, delivery or evidence requirement. Keep the readable issued version and traceable corrections with its payment evidence, distinguishing receipt from settlement. Use the existing qualified retention guidance rather than a fixed storage period that ignores unresolved claims or tax exceptions.

This is a selected review of the 2026 state guide and Berkeley provision. Check the current statutes, local rules and relevant decisions for the actual property; this page does not determine a notice deadline, legal remedy or possession outcome.

For Colorado, distinguish immediate receipts from requested records

Colorado's 2026 Title 38, section 38-12-802, requires a contemporaneous receipt showing amount and date for in-person cash or money-order payments. For other deliveries, a request triggers a seven-day deadline and amount, recipient and date fields, unless an existing procedure supplies that record. Electronic receipts are permitted, but a requested paper receipt must be provided. A billing statement may include the receipt.

Use the guide's complete fields and issued-copy checks, keeping the actual request and delivery evidence with the payment. Do not treat every check or online payment as exempt merely because it leaves a bank trail. Confirm that the existing record actually identifies payment received and the required facts.

If confirmation is missing, preserve the request, reference, amount, recipient and communications. Investigate the credit before paying again or changing methods. Obtain qualified help for an unresolved duty or dispute; organizing records does not decide a legal remedy.

For Colorado, keep late charges separate from rent received

Section 38-12-105 generally requires seven calendar days of lateness and lease disclosure; the cap is the greater of $50 or 5% of past-due rent. It prohibits interest on late fees, recouping them from rent payments and possession action for unpaid late fees. Repeated charges for one late payment must stay within the total cap. Other restrictions and notice requirements also apply.

For an accepted partial payment, identify its actual rent allocation and supported remainder. Keep any separate lawful charge distinct. A receipt should not silently divert rent into a late charge or label the whole balance unpaid rent. Check the agreement and current rules before deciding the effects of acceptance, an extension or a notice.

Review the actual duty and remedy separately for a missing receipt and an unlawful fee. Keep readable issued records, supporting references and traceable corrections, using the existing qualified retention guidance. Software output does not prove settlement, statutory delivery or entitlement to a penalty.

The Legislature's 2026 publication page identifies the edition as incorporating that regular session. This selected review covers sections 38-12-802 and 38-12-105, not every local rule, housing program or later decision. Verify the operative rules for the actual property before enforcement.

For Connecticut, issue the cash receipt and provide a requested ledger

Section 47a-3a(c) requires a receipt upon receiving cash from or on behalf of an occupant. Give it to the payer, identifying payment date, amount received and purpose. Subsection (d) separately requires a unit ledger or equivalent accounting on the occupant's request, showing charges, payments and balance or surplus.

Use the complete receipt fields above and reconcile the issued record to the correct unit ledger. A single receipt and a requested account history serve different purposes. Preserve the actual cash handoff, receiving person, request, issued version and delivery record. Do not turn this cash clause into a guarantee that no other payment method, program or agreement has documentation duties.

Section 47a-4c prohibits requiring electronic funds transfer as the exclusive rent or deposit method for residential agreements executed on or after October 1, 2013. Confirm a permitted alternative rather than unilaterally changing methods. If confirmation or a ledger is refused, preserve the request and original evidence and seek qualified help when unresolved.

Choose a readable, retainable receipt format after checking required content and delivery. A portal screenshot or automated message does not certify every legal requirement or prove bank settlement. Keep traceable corrections and use the existing qualified retention guidance.

For Connecticut, apply rent first and check the actual grace period

Section 47a-7d(e) directs rental-agreement payments to rent first, then other fees or charges. For an accepted partial payment, identify the actual rent credit and supported remainder, keeping charges separate and avoiding duplicate credits.

Section 47a-15a uses nine-day grace, or four days for a one-week tenancy. An online system preventing timely payment extends it five days for the affected period. A valid written late-charge agreement is required. After grace, the cap is the lesser of $5 daily, maximum $50, or 5% of delinquent rent, using the tenant's share for covered assistance. Only one late charge applies per delinquent payment.

Keep the due date, accepted payment, system-failure evidence and available alternative with the accounting record. Review the agreement and operative rules before selecting a charge, deadline or notice; documenting a partial payment does not determine its effect on legal rights. A lease clause or automatic calculation alone does not establish compliance.

The 2026 supplement is revised to January 1, 2026 and used with the 2025 base statutes. This selected review does not certify later enactments, every local or housing-program rule, or a court outcome. Check the actual property's coverage and current rules with qualified help, distinguishing receipt disputes from fee or allocation violations.

For Delaware, meet the cash-receipt and record-retention duties

Title 25, section 5501(e), requires a landlord accepting cash rent to give the tenant a receipt within fifteen days and keep a record of cash rent receipts for three years. The clause does not condition issuance on a tenant request.

Use the complete payment fields above, confirm the actual cash recipient and issue a usable copy with its correct rental period and allocation. Preserve the issued version and delivery record, not just a withdrawal slip or draft. Reconcile it to the right unit ledger without duplicating the credit.

The three-year cash-record duty does not establish that every document may be destroyed then. Review the existing qualified tax-retention guidance together with agreement, insurance and unresolved-claim needs before disposal. Keep records readable and accessible after move-out while protecting account details.

If a required receipt is missing, request it through the established contact and preserve the amount, date, recipient and communications. Seek qualified help when unresolved. Check actual local, program and agreement duties for other methods; this selected review does not establish that no additional documentation rule or remedy exists.

For Delaware, review charges and payment acceptance before issuing the balance

Section 5501(d) caps an agreed late charge at 5% of monthly rent and bars it within five days of the agreed payment time. It treats the charge as additional rent for this Code. Lack of the required in-county payment location extends the agreed payment time three days.

Section 5502 addresses payment of all rent due before or after a nonpayment action, acceptance of payments by or for the tenant, and permitted method restrictions at the relevant stage. Obtain qualified advice before relying on acceptance, a judgment or a partial amount to determine legal rights.

For an accepted partial payment, identify the amount received, actual rent allocation, supported remainder and any separate lawful charge. Record an agreed remaining-payment date accurately; an issued receipt does not itself grant an extension or resolve a possession case. Review pending or returned status before describing payment as settled.

Keep the issued copy retainable and its corrections traceable. A portal view, bank debit or automatic email does not certify every content, delivery or legal requirement. Verify the actual record before treating it as proof of the recipient's receipt and ledger credit.

The official code publication states that it includes acts through September 10, 2026, including 85 Delaware Laws, chapter 518. This selected review does not certify later enactments, every locality or a court outcome. Confirm current rules for the actual property before enforcement.

For Florida, check the partial-rent receipt option after a notice

A blanket statement that Florida never requires payment documentation misses a specific residential provision. The 2026 section 83.56(5)(a) addresses partial rent accepted after posting a nonpayment notice. It lists alternatives: a receipt before filing for possession identifying received date and amount plus the agreed remaining date and balance; placing the accepted partial rent in the court registry upon filing; or a new three-day notice showing the revised amount due.

These alternatives require review of the actual case with Florida counsel. Do not assume an ordinary automated receipt fulfills the selected path, that a partial payment automatically cancels a notice, or that receipt preparation decides whether an action may proceed. The subsection also has separate acceptance, waiver and subsidy provisions.

Confirm the tenancy's scope first. Section 83.42 excludes specified arrangements from this residential part, including transient public lodging and certain owner occupancies. A vacation-property label alone does not decide which rules apply. Check the property's agreement, applicable program and operative law rather than certifying that every Florida payment has no receipt duty.

For an accepted payment, preserve its actual amount, recipient, date, rental period and supported allocation. Use the guide's partial-payment example and traceable correction process without adding a duplicate credit. If confirmation is refused, keep the request and original evidence and obtain qualified help for an unresolved duty or dispute.

For Florida, keep electronic payment proof readable and attributable

Florida's 2026 section 668.50 recognizes electronic records and signatures and prevents exclusion of evidence solely because of electronic form. Its selected provisions also address agreement to transact electronically, attribution, a recipient's ability to retain required written information, accurate accessible retention and other applicable content or delivery rules. Its scope has exclusions, including a separate qualification for judicial procedure.

Check the actual parties' agreement and recipient access before selecting a digital receipt. Preserve a readable issued version that can be stored or printed, its origin and payment reference, required facts and delivery evidence. Review any failed delivery or inability to retrieve the record after move-out. A screenshot or sent-email status does not by itself prove settlement, attribution or satisfaction of a court-related receipt option.

Keep tax, insurance, agreement and unresolved-claim retention needs distinct. The existing qualified IRS guidance is not a universal three- or five-year disposal permission. Check any required format, signature and lawful charge separately; a software calculation or saved receipt does not certify compliance.

This is a selected review of the 2026 receipt-related and electronic-record provisions, not a complete residential-code, court-rule or federal e-sign opinion. Seek qualified review for the actual notice, tenancy, payment and disputed legal remedy.

For Georgia, confirm payment terms and document the actual handoff

Use the Georgia Department of Community Affairs publication page for its linked handbook. The English handbook's cover is revised August 29, 2024; its disclaimer calls for independent review of current law and the actual facts. Its lease checklist identifies payment amount, due date, permitted methods and delivery arrangements.

Confirm the authorized recipient and agreed method before payment. For an authorized cash handoff, count the actual amount together and issue a readable record using the complete fields above. For a check or money order, keep the original reference and verify that it reached the recipient and was credited. An issuer purchase stub or bank debit alone does not establish all those facts.

Check the actual agreement, current law and housing-program requirements before deciding receipt format, timing or a remedy. This selected review does not certify that every Georgia property has no documentation duty or that every local requirement is preempted. If confirmation is refused, keep the request and payment evidence and obtain qualified help when unresolved. Confirm a permitted alternative before changing methods.

For Georgia, review partial acceptance and waiver separately from the ledger

The linked DCA handbook, page 27, discusses accepted partial payments and past acceptance of late payments as possible issues in a nonpayment case. Review the current law, lease, payment history, communications and actual case with Georgia counsel before acting. The handbook's revision-date limit remains relevant.

Keep the amount accepted, receiving person, actual date, allocation, supported remaining balance and any approved remaining-payment date together. A receipt is evidence of the recorded transaction; it does not by itself determine debt discharge, waiver, an enforceable late charge or an eviction outcome. Do not infer that every partial payment fully satisfies the rent merely from a balance entry or a general contract citation.

Use the existing arithmetic example for a payment credited to one period without prior credits. Check pending or returned status and preserve traceable corrections. An issued replacement should not post a second credit, and an agreed extension should not be invented from the receipt date.

Keep a readable issued electronic or paper version with its origin, reference and delivery evidence. Verify applicable content, signature, consent, delivery and retention requirements. A portal screenshot or automated message does not certify settlement or every legal duty. Review tax, insurance, agreement and unresolved-claim needs using the existing qualified retention guidance before disposing of records.

For Hawaii, issue the written receipt and honor a check-payment request

HRS 521-43(e) requires a written receipt for rent at the time of payment. A canceled check also fulfills the written-receipt requirement, and a receipt must be furnished for a check payment when the tenant requests it. The published provision says check, without limiting that wording to personal checks.

Confirm the correct recipient, actual payment and rental period, then use the complete fields and issued-copy checks above. Keep the request and delivery evidence with the payment reference. A drafted check or purchase stub alone does not establish the recipient's receipt or the instrument's completed payment status.

For an accepted partial payment, record the actual credit, supported remainder and any approved remaining-payment date. Check the agreement and operative rules before deciding the effect of acceptance, a charge or a notice. An accounting entry or receipt does not by itself establish that all rent was satisfied or decide legal rights.

If a required receipt is refused, preserve the request and original payment evidence and seek qualified help when unresolved. Review the actual duty, breach and remedy for the property and facts. This selected review does not certify a universal fine, the absence of all remedies or every local requirement. The OCP's November 2024 handbook, printed page 15, also describes the receipt rule, with its informational and revision-date limits.

For Hawaii, check electronic consent and a receipt the resident can retain

HRS 489E-7 recognizes electronic records and signatures. Section 489E-5 requires agreement to transact electronically; agreement cannot be inferred solely from using electronic payment. Check the actual consent and transaction rather than treating online rent as permission for every electronic delivery.

Section 489E-8 addresses required written information that the recipient can retain and preserves applicable formatting and delivery rules. Section 489E-12 addresses accurate accessible electronic retention. Open the issued copy and check whether it can be stored or printed, keeping its original reference and traceable corrections.

Section 489E-13 prevents exclusion of evidence solely because of electronic form. That does not certify authenticity, settlement or every legal duty. Section 489E-3 has scope exclusions for specified default, eviction and other notices. Keep receipt delivery separate from deciding how a legal notice must be served.

Maintain access to the issued record after move-out and protect private account details. Apply the existing qualified retention guidance together with current property, tax, insurance and unresolved-claim needs; a three- or five-year convenience policy does not establish universal disposal permission. Verify the operative law for the actual tenancy before relying on the selected published provisions.

For Idaho, check payment terms and lawful charges before confirming the balance

The Attorney General's current manual page links the July 2026 Landlord and Tenant Manual. Its printed page 17 discusses payment-method restrictions, lease due dates and charges. It states that residential fees must be reasonable and cannot exceed the amount agreed in the lease. A lease clause alone is not permission for an unlimited charge.

Check the actual agreement, current law and housing program before choosing the payment route, receipt requirements or a remedy. Confirm the authorized recipient and keep a usable issued record for an authorized cash handoff. For a check or money order, preserve its reference and verify delivery and ledger credit. This selected review does not certify that every Idaho locality or property has no documentation duty.

For an accepted partial payment, identify the amount received, actual date and allocation, supported remainder, any separate lawful charge and an approved remaining-payment date. Use the existing arithmetic example and check pending or returned status. A receipt or ledger entry does not by itself decide whether acceptance changed the agreement, waived a right or permits enforcement.

If payment confirmation is refused, preserve the request and original evidence and seek qualified help when unresolved. Confirm an agreed permitted alternative before changing methods or duplicating a disputed payment. The manual supplies general information, not a legal decision for the actual tenancy.

For Idaho, retain electronic proof under its consent and evidence rules

The published Title 28, chapter 50, has separate provisions for electronic transactions. Section 28-50-105 addresses agreement to transact electronically; 28-50-107 recognizes electronic records and signatures; and 28-50-113 prevents exclusion of evidence solely because of electronic form. Other applicable law and the chapter's scope still matter.

Section 28-50-108 addresses required written information the recipient can retain and preserves applicable formatting or delivery rules. Section 28-50-112 requires accurate accessible electronic retention when its conditions apply. Check the actual parties' agreement, required facts and issued copy, keeping its origin, payment reference and delivery evidence. Confirm that the resident can store or print the record and retrieve it after move-out.

An electronic receipt can support a factual review, but its form alone does not certify settlement, authenticity or every duty. Keep traceable corrections and supporting bank or issuer evidence without posting another credit for the same payment. Check an unresolved delivery or credit before describing the record as complete.

The Legislature's publication statement says the statutes are current through the 2026 legislative session. This selected review does not certify every local, program or later case requirement. Use the existing qualified retention guidance with current tax, agreement, insurance and unresolved-claim needs rather than a universal three- or five-year disposal policy.

For Illinois, distinguish Chicago deposit receipts from rent records

First identify the payment and the property's coverage. Chicago's published section 5-12-080(b) requires a security-deposit receipt at receipt, identifying amount, date, dwelling unit and receiving person; an agent also identifies the landlord. The receiving person signs it. This is a deposit provision, not a general ordinary-rent receipt rule.

For a deposit paid by electronic funds transfer, subsection (b)(2) permits the specified paper receipt or an electronic acknowledgment identifying date, amount, unit and the receiver's electronic or digital signature. Check the operative signature definition and other applicable requirements; payment by transfer does not make every generic email compliant.

Review section 5-12-020 before applying the chapter. Its exclusions include owner-occupied premises with six or fewer units, with exceptions for specified sections, and other arrangements. Do not assume every Chicago property is covered or every other Illinois locality has no documentation duty.

Use the complete payment fields above for an ordinary rent record, keeping rent and deposits separately identified. Confirm the actual agreement, current local and program rules, recipient, issued copy and delivery. If confirmation is refused, preserve the request and original payment evidence and seek qualified help when unresolved. Confirm an agreed permitted alternative before changing methods.

For Illinois, check Chicago charges and the specific receipt remedy

For covered Chicago tenancies, section 5-12-140(h) limits a late-payment charge to $10 monthly for the first $500 of monthly rent plus 5% monthly of the portion above $500. Subsection (a) prohibits agreements waiving chapter rights, remedies or obligations. It does not itself state a cash-rent receipt requirement. Review the actual charge and applicable coverage before relying on a lease clause.

For an accepted partial payment, record the actual amount, date, allocation and supported remainder, with any separate lawful charge and approved remaining-payment date. Use the arithmetic example above. A receipt or balance entry does not decide whether acceptance affects an agreement, notice or legal right.

Chicago's deposit-receipt clause states immediate return of the deposit for noncompliance with subsection (b)(1). Section 5-12-080(f) separately addresses deposit damages and a deficient-interest notice/cure qualification. These provisions do not establish a universal fine for every missing monthly rent receipt. Have the actual duty, breach and remedy reviewed before acting.

Keep a readable issued record, payment reference and delivery evidence with traceable corrections. Verify current content, signature, consent, retainability and delivery requirements before using a digital format. Preserve access after move-out and apply the existing qualified tax and unresolved-claim retention guidance rather than a universal three- or five-year disposal policy.

This selected review covers the published Chicago provisions. The publisher warns that later legislation may not be reflected and directs readers to the official version. Confirm the operative rules for the actual property; this guide does not certify all Illinois localities, electronic-signature law or a court outcome.

For Indiana, keep payment confirmation with its supporting evidence

The Indiana Office of Court Services' 2026 Small Claims Manual, printed page 33, recommends that both parties keep complete rent and deposit records. It advises tenants to request receipts and preserve them with canceled checks or other written payment proof. Printed page 31 also identifies local housing ordinances and public-housing rules as relevant sources of rights and duties.

Use the complete receipt fields and allocation example above for the actual Indiana tenancy. Confirm what reached the authorized recipient, the received date, rental period, amount and supported balance. Distinguish rent, a deposit and any lawful charge. Keep an issued copy with the payment reference and delivery evidence; a cash withdrawal, money-order purchase stub or pending transfer alone does not establish every payment fact.

If confirmation is refused, preserve a dated request and the original evidence, and seek qualified help when unresolved. Confirm an agreed permitted alternative before changing methods or repeating a disputed payment. Check the actual agreement, operative state and local rules and housing program; this selected manual review does not establish that every Indiana payment lacks a documentation duty or remedy.

For an accepted partial payment, record its actual allocation, supported remainder and any approved remaining-payment date. Review acceptance, charges and notice history separately from the receipt. A ledger entry does not decide waiver, an enforceable lease change or a possession outcome.

For an electronic record, use the existing readability, issued-copy, delivery and traceable-correction checks. Verify applicable signature, consent, retention and evidence requirements before treating it as legally sufficient. An email showing date, amount and period is not a universal compliance test. Apply the guide's qualified tax and unresolved-claim retention guidance rather than a fixed three- or five-year disposal policy.

The manual is updated December 23, 2025. Its application section excludes specific Marion County Small Claims Court procedure and directs readers to current rules and local practice. The Legislature's current code and the actual court's requirements need separate review. This receipt guide supplies selected recordkeeping guidance, not a complete code, electronic-signature or court-procedure opinion.

For Iowa, check the exact late-fee tier and payment agreement

The Legislature's 2026 section 562A.9(4) sets two late-fee limits. Monthly rent of $700 or less has a $12 daily and $60 monthly cap; rent greater than $700 has a $20 daily and $100 monthly cap. Thus $700 falls in the lower tier and $700.01 in the upper tier. These caps do not themselves authorize a charge.

Subsections (1) and (3) address lawful agreement terms and the agreed payment time and place. This cited section does not state a right to pay every rental in cash. Check the actual tenancy, agreement, current state/local rules and housing program before choosing a payment method, fee or receipt duty. This selected review does not certify that every Iowa locality lacks documentation requirements.

For an accepted partial payment, use the existing arithmetic example and identify the actual amount, date, recipient, rent allocation and supported remainder. Show any separate lawful charge and approved remaining-payment date accurately. Keep deposit and rent records distinct. A receipt or ledger entry does not determine whether acceptance changed a notice, agreement or legal right.

If confirmation is refused, preserve a dated request and original payment evidence and seek qualified help when unresolved. Confirm an agreed permitted alternative before changing methods or repeating a disputed payment. A cash withdrawal or money-order purchase stub alone does not prove that the authorized recipient received and credited the payment.

For Iowa, provide an electronic record the recipient can keep

The published 2026 section 554D.110 addresses required written information when parties agree to transact electronically. The electronic record must be retainable when received; a system that inhibits printing or storage does not meet that test. Other applicable display, format and delivery rules remain relevant, subject to the section's stated exceptions.

Check the actual receipt's required facts, signature, consent and delivery before using a portal or email. Open the issued version and confirm the resident can store or print it, retaining its original reference and delivery evidence. Investigate failed delivery or an inaccessible record. An online document is not automatically conclusive court evidence or proof of settlement.

Keep corrections traceable and avoid a second ledger credit for the same payment. Maintain appropriate access after move-out and protect account details. Apply the existing qualified IRS retention guidance together with tax, property, agreement, insurance and unresolved-claim needs. Six years is not a universal audit ceiling or permission to destroy every receipt then.

Both cited documents identify the Iowa Code 2026 edition and December 12, 2025 compilation timestamps. This selected review does not certify later enactments, the entire electronic-transactions chapter, all local rules or a court outcome. Confirm operative requirements for the actual property before enforcement.

For Kansas, review accepted rent separately from the receipt

The published 2026 K.S.A. 58-2566 addresses acceptance of late rent without reservation and acceptance of differing non-rent performance. It treats the stated conduct as waiver of termination for that breach unless otherwise agreed after the breach. Have the actual default, payment and agreement reviewed before relying on acceptance or a notice; a receipt or balance entry does not decide that legal effect.

For an accepted partial payment, use the existing arithmetic example and record the actual amount, receiving person, date, allocation, supported remainder and any approved remaining-payment date. Identify deposits and separate lawful charges clearly. Check pending or returned status and keep the issued copy with its original payment reference without adding a second ledger credit.

Check the actual agreement, operative state/local law and housing program before deciding payment methods, a late charge or receipt duties. A lease clause alone does not establish an unlimited lawful charge or permission to remove a required duty. This selected review does not certify that every Kansas property lacks documentation requirements or remedies.

If confirmation is refused, preserve the dated request, payment evidence and communications and seek qualified help when unresolved. Confirm an agreed permitted alternative before changing methods or repeating a disputed payment. A receipt helps establish recorded facts; it does not guarantee settlement or prevent every dispute.

For Kansas, check electronic agreement and retained evidence

K.S.A. 16-1605 applies the Act to parties who agree to conduct a transaction electronically; agreement is assessed from context and conduct. Agreement to one electronic transaction does not waive the right to refuse another. Section 16-1607 recognizes electronic records and signatures, while 16-1613 prevents evidence being excluded solely because of electronic form.

Section 16-1608 addresses required written information the recipient can retain when received and other required display, format and delivery conditions. Section 16-1612 addresses accurate accessible electronic retention and possible further agency requirements. Open the actual issued copy and check whether the resident can store or print it, keeping its origin, payment reference, delivery evidence and traceable corrections.

Those provisions do not make every portal entry legally sufficient or conclusive proof of receipt or settlement. Check required facts, signatures and delivery, preserve access after move-out and protect private account information. Apply the existing qualified retention guidance with current tax, property, agreement, insurance and unresolved-claim needs rather than a universal three- or six-year disposal policy.

The Legislature labels these published provisions as 2026 Kansas Statutes. Section 16-1603 limits the Act's scope and preserves other applicable substantive law. This selected review does not certify every local, program, later enactment or court requirement. Verify operative rules for the actual tenancy before enforcement.

For Kentucky, distinguish a rent receipt from Louisville program reporting

Louisville's Compliance in Rental Housing page addresses projects within their contractual affordability period. It states annual documentation is due July 31 and lists a current rent roll for all units among the supporting documents for its published 2025-2026 reporting cycle. This program-specific page does not establish that every Louisville rental must file that package.

Identify the actual project agreement, program, reporting cycle and responsible reviewer before preparing a rent roll or unit compliance report. A receipt documents one payment; the requested rent roll and compliance package serve different purposes. Use the city's current documents and instructions for a covered project, reconciling the underlying records and obtaining authorized review. An ordinary receipt or software report does not certify the whole submission.

For an ordinary payment, use the complete fields and allocation example above. Confirm the authorized recipient, actual date, method, rental period, amount, rent credit and supported remainder. Keep deposits and any lawful charge distinct. A purchased money order, pending transfer or bank debit may need further evidence of receipt and credit.

Check the actual agreement, current state/local law and housing program before deciding format, timing or a remedy. This selected review does not establish a universal absence of Kentucky documentation duties. If confirmation is refused, keep the dated request and original evidence, seek qualified help when unresolved and confirm an agreed permitted alternative before changing methods.

For Kentucky, check URLTA coverage before relying on accepted rent

KRS 383.500 authorizes local adoption of the Uniform Residential Landlord and Tenant Act in its entirety without amendment. KRS 383.535 identifies excluded arrangements. Determine adoption, coverage and the operative rules for the actual property before applying a URLTA provision; do not treat every Kentucky tenancy as identical.

For a covered tenancy, KRS 383.675 addresses accepting rent with knowledge of a default or accepting performance that differs from the agreement. It provides waiver of termination for that breach unless otherwise agreed after the breach. Obtain qualified review of the actual payment, default, agreement and notice history before acting. A partial-payment receipt or balance entry does not decide the legal effect of acceptance.

Record any accepted partial amount, allocation, supported remainder and approved remaining-payment date accurately. Keep any separate lawful charge clear and avoid duplicate credits. A receipt records payment facts; it does not automatically amend the agreement, validate a charge or determine a possession outcome.

Keep a readable issued paper or electronic copy with its origin, reference and delivery evidence. Check applicable content, signature, consent, retainability and evidence requirements rather than treating every online confirmation as legally sufficient. Preserve traceable corrections and access after move-out, using the existing qualified tax and unresolved-claim retention guidance instead of a universal three-year disposal policy.

The published chapter 383 index states that it includes enactments through the 2026 Regular Session. This selected review does not certify all local adoption, the full code, electronic-signature rules, later enactments or a court result. Verify current requirements for the actual tenancy.

For Louisiana, review the payment allocation before accepting the receipt

Louisiana Civil Code article 1864 addresses a payer owing several debts to one recipient: the payer may identify the intended debt, expressly at payment or through circumstances known to the recipient. Article 1867 limits a payer's ability to demand a different allocation after accepting a receipt that allocates payment, unless the recipient acted in bad faith. Check an unclear or disputed allocation promptly with qualified help rather than silently changing the ledger.

Article 1861 generally permits refusal of partial performance, but has a disputed-money exception. If the payer is willing to pay the undisputed portion, the recipient cannot refuse that part; if the recipient is willing to accept it, the payer must pay it. The recipient preserves the claim to the disputed portion. Review applicability to the actual tenancy, amount, agreement and dispute before accepting, refusing or enforcing a payment.

For an accepted amount, use the complete fields and arithmetic example above. Identify the actual recipient, received date, method, covered period, allocation and supported remainder, with any approved remaining-payment date. Keep deposits and separate lawful charges distinct. A receipt, cash withdrawal or pending-transfer screenshot does not automatically prove settlement, discharge every debt or decide a notice's effect.

Check current local, program and agreement requirements before deciding receipt format, timing or a remedy. This selected review does not certify that every Louisiana property lacks a documentation duty. If confirmation is refused, preserve a dated request and original evidence, obtain qualified help when unresolved and confirm an agreed permitted alternative before changing methods or repeating payment.

For Louisiana, keep the agreed electronic record readable and retainable

R.S. 9:2605 applies the chapter to parties agreeing to transact electronically, assessed from context and conduct; agreement to one electronic transaction does not waive the right to refuse another. R.S. 9:2607 recognizes electronic records and signatures. Check the chapter's scope and other applicable law before relying on those provisions.

R.S. 9:2608 addresses required written information that the recipient can retain when received. A system that inhibits printing or storage does not meet that test. Other required display, format and delivery conditions remain relevant, with the section's stated exceptions. Open the issued copy, verify required content and signatures, and keep its origin, payment reference and delivery evidence.

Electronic form alone does not certify authenticity, receipt, bank settlement, ledger credit or every evidentiary requirement. Keep corrections traceable without creating another payment credit. Preserve appropriate access after move-out and apply the existing qualified tax, property and unresolved-claim retention guidance. A general three-to-seven-year storage habit is not a universal audit ceiling or disposal rule.

The Legislature's law-search page has a general 2025 currency notice and a separate update list. That list, dated September 15, 2026, identifies the Civil Code and Title 9 as updated through the 2026 Regular Session. Its disclaimer calls the online text informational. Confirm operative provisions and later changes for the actual tenancy; this is a selected review, not a complete code, court-rule or legal-notice opinion.

For Maine, check coverage and issue separate cash receipts

Title 14, section 6022 requires a written receipt when covered rent or deposit payments are received partly or wholly in cash, delivered at acceptance. Each installment needs its own receipt. Simultaneous rent and deposit payments require separate, identified receipts. Subsection 3 exempts a tenancy in a structure with no more than five dwelling units, one occupied by the landlord.

The required facts include payment date and amount, the party for whom it is made, covered period, rent-versus-deposit purpose, and the receiver's signature and legibly printed name. A tenant-retained rent card containing the required information is permitted. Check the actual receiving person and paid-for party instead of assuming the payer, tenant and landlord are always the same person.

Use the complete fields and allocation example above, adding any necessary property/unit and limited reference. Keep the issued record and delivery evidence with the correct ledger entry. For an accepted partial amount, show the actual allocation and supported remainder, with separate lawful charges and any approved remaining-payment date. A receipt does not decide the effect of acceptance on legal rights.

Check current local, program and agreement duties for the actual property, including other methods or an exempt tenancy. If a required receipt is refused, preserve a dated request and original payment evidence and obtain qualified help when unresolved. Confirm a permitted alternative before changing methods or repeating payment; this selected review does not establish a universal fine or absence of remedies.

For Maine, check electronic agreement and a retainable issued copy

Title 10, section 9405 addresses agreement to transact electronically, determined from context and conduct. Agreement to one electronic transaction does not waive the right to refuse another. Section 9407 recognizes electronic records and signatures; section 9403 limits scope and preserves other applicable substantive law.

Section 9408 addresses required written information that can be retained when received. Inhibiting printing or storage does not meet that test. Other applicable display, format and delivery rules remain relevant, with the stated exceptions. Check a covered cash receipt's required signature, printed receiver name and other facts, as well as timely delivery; a generic automated message is not a compliance determination.

Open the issued version and confirm practical storage or printing, keeping its origin, payment reference and delivery evidence. Preserve traceable corrections without adding another payment credit, and maintain appropriate access after move-out. Electronic form alone does not prove authenticity, settlement or every evidence requirement. Use the existing qualified tax, property, insurance and unresolved-claim retention guidance rather than a universal three- or five-year disposal policy.

The Legislature's publication statement says the text reflects the Second Regular Session of the 132nd Legislature and is current through October 1, 2026. It identifies the online text as uncertified and directs readers to certified sources. This selected review does not certify later changes, the full code, all local requirements or a court result. Confirm operative requirements for the actual tenancy.

For Maryland, check requested receipts and the county rule

Real Property section 8-205(b), subject to subsection (a), requires a receipt for cash payment or when the tenant requests one. A noncash payment is not automatically outside the duty merely because it leaves a bank trail.

Subsection (a) addresses Anne Arundel County and definite-term or at-will leases, requiring a receipt identifying payment and its covered period. It has exceptions for check payments and commercial or business use. Read the actual county provision alongside subsection (b) rather than treating the county rule as unconditional for every method or property.

Subsection (c) makes the landlord liable to the tenant for $25 for failure to provide a required written receipt, in addition to other penalties. Subsection (a)(2) ties forfeiture of the period's rent to conviction. Obtain qualified advice about the actual duty, breach and remedy; a missing receipt does not itself authorize a ledger deduction or decide a court outcome.

Use the complete fields and allocation example above, confirming the actual recipient, received date, rental period, amount, method, supported remainder and separate lawful charges. Keep an issued copy and request/delivery evidence with the correct ledger entry. A partial-payment receipt does not determine the legal effect of acceptance.

If confirmation is refused, preserve a dated request and original payment evidence and seek qualified help when unresolved. Check current local, program and agreement duties, and confirm a permitted alternative before changing methods or repeating payment. This selected provision does not establish a universal receipt-storage period or every accounting requirement.

For Maryland, verify electronic consent and receipt access

Commercial Law section 21-104 addresses agreement to transact electronically. Paying online alone does not establish that agreement. Standard-form electronic provisions require conspicuous display and separate consent, subject to the section's separate optional-agreement exception. Agreement to one electronic transaction does not waive the right to refuse another; review the actual transaction and statutory conditions.

Section 21-107 addresses required written information retainable when received. A system that inhibits printing or storage does not meet that test. Other applicable display, content-format and delivery requirements remain relevant, with the stated exceptions. Check scope, required facts, signature and delivery before replacing a required receipt with a portal entry.

Open the issued version and check practical storage or printing. Preserve its origin, payment reference, delivery evidence and traceable corrections, keeping access after move-out and avoiding a duplicate credit. Electronic form alone does not establish receipt, settlement or every evidence requirement. Use the existing qualified tax, property, insurance and unresolved-claim retention guidance rather than a universal six-year disposal policy.

The MGA's statutes page distinguishes January 1 from October 1 enactment views; this selected review uses the October 1, 2026 view. Its publication explanation identifies the Department of Legislative Services compilation and says session laws prevail in a conflict. Confirm operative rules for the actual tenancy; this is not a full code, local-rule, electronic-notice or court-outcome opinion.

For Massachusetts, distinguish advance rent and deposit receipts

General Laws chapter 186, section 15B distinguishes last-month advance rent from a security deposit. Subsections (2)(a)-(b) require a receipt at payment with amount, date, premises and recipient identity, identifying the lessor when an agent receives it. The deposit receipt requires the recipient's signature. The advance-rent receipt includes interest-entitlement and forwarding-address statements.

Subsection (3)(a) separately requires a deposit bank receipt within 30 days identifying bank name/location, amount and account number. Deliver required financial details privately to the authorized recipient; protect the tenancy copy. Subsection (9) excludes vacation or recreational tenancies lasting 100 days or less.

Use the complete payment fields and reconciliation example above, keeping rent, advance rent and deposits separately identified. Check all applicable requirements and the actual tenancy before issuing a document. These selected provisions do not establish that every ordinary rent payment is exempt from local, program or contractual receipt duties. Preserve a dated request and payment evidence if confirmation is refused, and confirm an appropriate alternative before duplicating a payment.

Section 15B(1)(c) bars lease or rental-agreement interest or penalties for late rent until 30 days after it is due. A lease clause or receipt does not itself authorize a charge. Have the actual charge and the effect of accepting partial payment reviewed before action.

For Massachusetts, keep deposit and tax retention rules distinct

Section 15B(2)(d) specifies deposit records and request-based inspection, with a two-year retention period after the relevant tenancy or occupancy ends. Keep the required receipt copies with the related deposit records. A signed receipt does not replace the remaining deposit obligations or resolve a dispute.

For applicable Massachusetts tax records, 830 CMR 62C.25.1(8) requires preservation while their contents remain material to tax administration. Its usual minimum runs through the assessment limitation, generally three years from the later of the return's due date or actual filing date, unless the Commissioner authorizes earlier destruction in writing.

The regulation identifies exceptions for fraud or nonfiling, specified estate omissions, agreed assessment extensions, records supporting future taxable events such as property basis, and unresolved refund, credit or abatement claims. Read the applicable provisions before scheduling disposal. The publisher lists a December 23, 2022 new promulgation in its regulatory history; this review covers the selected purpose and retention text, not every tax or electronic-storage requirement.

Keep applicable tax, property, insurance and unresolved-claim needs alongside the deposit-record rule. Verify the retention schedule with a qualified adviser. Preserve the readable issued version, delivery record and traceable corrections, including access after move-out. An online payment or a date and amount in a portal does not establish every content, signature, delivery, settlement or evidence requirement.

For Michigan, identify what the cited deposit law covers

MCL 554.616 addresses the security-deposit act's applicability to deposits under leases entered into, renewed or renegotiated after April 1, 1973. That provision does not establish the absence of every ordinary-rent receipt duty.

MCL 554.601(d) includes specified required advance rent within its security-deposit definition, excluding the first full rental period and providing other stated exclusions. Classify the actual payment under the definition before labeling all advance money as ordinary rent. Review the resulting obligations with qualified help; a receipt label does not determine the classification.

Use the complete fields and reconciliation example above for each property and payment. Keep the received date, covered period, amount, method, recipient, allocation and supported balance clear. Document concessions or corrections against the correct tenancy, reconcile the issued copy to the bank and ledger, and keep charges separate. A receipt for partial rent records the amount received; it does not establish that acceptance preserves a particular collection or termination right.

Check the property's current local, program and agreement requirements. If a promised or required receipt is refused, retain a dated request and original payment evidence and seek qualified help when unresolved. Confirm an authorized alternative before switching payment methods or paying twice. The Legislature's selected pages state compilation through PA 103 of 2026 and warn that the website does not replace official versions; confirm operative rules for the actual payment.

For Michigan, verify electronic agreement and retained receipt access

MCL 450.835 addresses agreement to transact electronically, determined from context and conduct. Agreement to one transaction does not waive refusal of another. Check the actual agreement and applicable law before choosing an electronic receipt.

MCL 450.838 addresses required written information retainable when received. Inhibiting printing or storage fails that test. Required display, format and delivery methods remain relevant, with the specified variation rules. A portal entry containing a date and amount does not alone establish the complete requirements.

MCL 450.842 addresses accurate, later-accessible electronic retention and preserves additional agency requirements. It does not set a universal three-year disposal date. Apply the existing qualified tax, property, insurance and unresolved-claim retention guidance.

Open the issued copy and confirm practical saving or printing and continued authorized access after move-out. Preserve origin, payment reference, delivery evidence and traceable replacements without adding another ledger credit. Review actual payment status separately: software output alone does not prove bank settlement, receipt by a person or a court outcome.

For Minnesota, issue cash receipts within the required time

Section 504B.118 requires a written receipt for rent or other tenant payments received in cash: immediately for an in-person payment, otherwise within three business days. The Revisor's 2025 compilation flags a 2026 amendment; read the enacted update below as well.

Use the complete fields and allocation example above. Identify the actual recipient, received date, property/unit, amount, covered period, method, separate deposit or lawful charges and supported remainder. Keep an issued copy and delivery evidence with the correct ledger entry; a draft or payment notification is not proof of required delivery.

Check the actual tenancy, current local, program and agreement duties before assuming a noncash payment needs no receipt. If a receipt is refused, preserve a dated request and original payment evidence and seek qualified help when unresolved. Confirm the permitted alternative before changing methods or repeating payment.

For Minnesota, check the August 2026 payment-platform protections

2026 chapter 81, section 2 amended section 504B.118 effective August 1, 2026. For a covered digital platform that fails, it requires a fee-free payment alternative; a landlord aware of failure must restore access or offer an alternative as soon as practicable. It prohibits adverse action when nonpayment results from both methods failing for the tenant.

The amendment provides an eviction defense for a violation, with dismissal, reasonable attorney fees and appropriate equitable relief upon the required showing. That subdivision applies to actions filed August 1, 2026 onward. Obtain qualified review of the facts and remedy; a portal error or receipt does not itself decide a case.

Preserve dated failure messages, attempted payment and alternative-method communications with the ledger. Confirm the authorized route and actual payment status before retrying, charging or taking action. Distinguish an outage record from an issued receipt and a completed payment. Keep the electronic copy readable, retainable and privately accessible after move-out, checking applicable content, signature and delivery requirements separately.

For Minnesota, review partial-payment agreements and payment evidence

Section 504B.291, subdivision 1(c) addresses a written agreement for accepted partial arrears before the restitution order, allowing application to the balance without waiving the nonpayment possession action. Have the agreement, timing and actual effect reviewed before acceptance or enforcement. A receipt alone does not supply that agreement.

Subdivision 1(d) specifies allocation to prior-period rent claimed in the complaint before current-period rent, subject to the court's waiver finding. Subdivision 1(a) also provides a rebuttable payment presumption for specified money-order evidence meeting its amount, date and payee conditions, with contrary business records or other rebuttal evidence permitted.

Preserve original money-order records and the verified payment trail. Reconcile the actual received amount, allocation, remainder and any separately supported arrangement without duplicate credits. Do not treat a money-order purchase stub, receipt or ledger entry as an automatic court outcome.

Retain the issued version, agreement and delivery or correction trail under applicable tax, property, insurance and unresolved-claim needs. The existing qualified tax guidance is not a universal three-year disposal instruction. This selected statutory review does not certify every local duty, electronic notice, remedy or eviction procedure.

For Mississippi, reconcile and back up the issued payment record

Use the complete receipt fields, partial-payment example and issued-copy checks above. Add a practical monthly review for each tenancy: compare the receipt, ledger allocation and bank activity, explaining verified concessions, prorations, reversals or pending items. Keep rent, deposits and separately lawful charges distinguishable. An amount entered in software is not proof of bank settlement or a second credit.

Keep supporting payment evidence beside the corresponding entry with a consistent property/unit, period and payment reference. Preserve the original issued version and a traceable replacement when a correction is needed. At year-end, move completed periods into a clearly labeled archive while keeping unresolved items identifiable and accessible.

Keep a protected backup separate from the working copy and check that an authorized user can retrieve and read an archived receipt. Limit access to the actual tenancy, avoid unnecessary resident or account details, and keep the delivery record. A cloud folder or automation setting alone does not establish backup recovery, successful delivery or legal compliance.

The source-cited IRS audit guidance distinguishes its usual three-year audit window from longer reviews for substantial errors and assessment-period extensions. It also describes required supporting records. Apply the guide's qualified tax, property, insurance and unresolved-claim retention review; annual archiving is not permission to delete everything after three years.

Check current Mississippi, local, program and agreement duties for the actual payment and delivery method. Preserve a dated receipt request and payment evidence if confirmation is refused, and confirm a permitted alternative before changing methods or paying again. This practical routine does not certify the absence of a Mississippi receipt duty or penalty, digital-document validity, or the legal effect of accepting partial rent.

For Missouri, review electronic agreement and receipt delivery

Section 432.220 addresses agreement to transact electronically, assessed from context and conduct. Agreement to one electronic transaction does not waive refusal of others. Review scope and other applicable law before replacing a required written record.

Section 432.235 addresses required written information retainable when received. Inhibiting printing or storage fails that condition. Other required display, format and delivery methods remain relevant. Subsection 4 limits variation by agreement, with specified exceptions tied to what the other law permits; an agreement is not an unrestricted waiver.

Section 432.255 addresses accurate, later-accessible electronic retention and permits additional agency requirements. It does not make three years a universal disposal date. Use the qualified retention and backup-retrieval review above.

Choose a permitted paper, electronic or combined workflow the resident can use. Keep paper copies protected from loss or damage, and link any scan to the correct issued version and tenancy. Open an electronic copy and check practical saving or printing and access after move-out. Preserve the original evidence, delivery record and traceable correction without adding a duplicate ledger credit.

Use the complete receipt fields and partial-payment example above, recording actual amount, date, recipient, allocation, supported remainder and separately lawful charges. Keep any approved remaining-payment arrangement distinguishable from the receipt. Acceptance, bank settlement, compliance and a court outcome require their own review.

Check current Missouri, local, program and agreement duties for the actual tenancy. If confirmation is refused, preserve a dated request and original payment evidence, seek qualified help when unresolved, and confirm an authorized alternative before changing methods or paying twice. These selected electronic provisions do not establish a statewide exemption or a universal requested-receipt duty. The Revisor states that enacted sections are updated on their effective dates; verify the operative text for the transaction.

For Montana, check the rental-purchase receipt rule's scope

MCA 30-19-113 requires a requested written receipt for cash or money-order payments within the Montana Rental-Purchase Agreement Act. It should be read with that Act's definitions and exemptions before applying it to housing rent.

Section 30-19-103 defines the covered consumer and rental-purchase agreement around personal property, including an initial period of four months or less, automatic renewal, no required continued rental and an ownership option. Section 30-19-104 lists exclusions, including specified personal-property rentals incidental to real-property leases without a purchase option. Those provisions do not establish a general residential-rent receipt duty.

For the actual tenancy, check current Montana housing law, local rules, program requirements and the agreement. Use the complete receipt fields and reconciliation example above, identifying actual payer and recipient, property/unit, received date, amount, period, method, allocation and supported remainder. Keep deposits and separately lawful charges distinguishable. A partial-payment receipt records money received; it does not decide whether acceptance changes a notice, agreement or legal right.

If confirmation is refused, retain a dated request and original payment evidence and seek qualified help when unresolved. Confirm the permitted alternative before changing methods or paying again. Choose an appropriate paper or electronic format, checking required content, signature, delivery and a readable issued copy that remains accessible after move-out. Digital form alone does not establish validity or settlement.

Use the qualified retention, monthly reconciliation and protected-backup routine above. Do not treat a usual tax review period as a universal disposal date. The selected MCA pages identify the 2025 edition and describe the internet text as a research tool, with the printed version prevailing on inconsistencies. This scoped review does not certify every subsequent change, local duty, penalty, electronic notice or court outcome.

For Nebraska, review rent acceptance separately from the receipt

Section 76-1433 addresses acceptance with knowledge of a tenant default, or acceptance of performance that varies from the agreement or later rules. It constitutes waiver of termination for that breach unless otherwise agreed after the breach. Have the actual acceptance, knowledge, breach and any later agreement reviewed before relying on a partial payment or taking action.

The Act's section 76-1408 lists excluded arrangements, subject to its anti-evasion qualification. Check the actual property's coverage rather than applying the same rule to every occupancy. The source-cited opening and closing provisions identify the Act and address older transactions; those endpoints alone do not determine every receipt duty.

Use the complete fields and partial-payment arithmetic example above: actual payer and recipient, property/unit, received date, amount, method, credited period, allocation and supported remainder. Identify separately lawful charges and any verified remaining-payment arrangement. Keep the issued receipt, agreement and ledger distinct, and reconcile pending or returned payments without duplicate credits. A receipt documents money received; it does not independently preserve termination rights.

If confirmation is refused, preserve a dated request and original payment evidence, seek qualified help when unresolved, and confirm a permitted alternative before changing methods or repeating payment. Check current state, local, program and agreement requirements for content, signature, timing and delivery. An electronic timestamp or filled template does not establish every legal requirement or bank settlement.

Keep a readable issued copy, delivery evidence and traceable corrections, with authorized access after move-out. Use the existing monthly review, protected backup and qualified tax/property/insurance/open-claim retention guidance rather than a universal three-year deletion rule. The Legislature's publication disclaimer directs readers to the appropriate printed official publication for matters affecting rights or confirming content. This selected review does not certify every local duty, penalty, electronic notice or court outcome.

For Nevada, request a signed receipt and check payment choices

NRS 118A.250 requires delivery of a signed written receipt on the tenant's request for rent and other payments, deposits or fees received, including a security deposit or surety bond. It also states that the tenant may refuse rent payments until the requested receipt is tendered. Obtain qualified review of the actual duty, request, payment and remedy before changing payment or taking action.

NRS 118A.303 requires at least one payment method without a usage fee or required tenant bank-account information, with its check qualification. It caps landlord-imposed portal fees at the operator's fee and requires separate identification in the written rental agreement. A lease or software setting does not independently authorize a charge.

Check chapter coverage and exclusions for the actual occupancy, including separately governed rentals. Review current local, program and agreement duties rather than assuming every Nevada property follows the same rule. The selected official chapter carries an April 15, 2026 revision stamp for the 2025 NRS; this review covers the selected provisions, not every later enactment or local rule.

Use the complete fields and reconciliation example above. Confirm actual payer and recipient, property/unit, received date, amount, method, covered period, allocation and supported remainder, with deposits and separately lawful charges distinguishable. Check the required signature and keep the issued copy, dated request and delivery evidence. A portal timestamp or payment confirmation alone does not establish all receipt requirements or bank settlement.

For a partial payment, preserve any separately reviewed arrangement and the accurate remaining balance. The receipt does not determine the legal effect of acceptance or a court outcome. If confirmation is refused, preserve the payment trail and seek qualified help; check the receipt provision's stated right rather than assuming the only option is a different payment method. Confirm an authorized alternative before repeating a payment.

Keep electronic copies readable and retainable with continued authorized access after move-out. Preserve origin and traceable corrections without duplicate credits. Apply the existing monthly reconciliation, protected-backup and qualified tax/property/insurance/open-claim retention review. An automated receipt or usual tax audit window does not certify compliance or supply a universal disposal date.

For New Hampshire, distinguish deposit receipts and condition notices

RSA 540-A:6, I(b) generally requires a deposit receipt delivered forthwith, signed and identifying the amount and holding place. It includes notice to record needed repairs or corrections on the receipt or provide them in writing within five days of occupancy.

Subparagraph (c) exempts deposits furnished by personal check, bank check, or a government/nonprofit agency check on the tenant's behalf from the receipt requirement. Written condition-list notice remains required. Check the subdivision's definitions, including owner exceptions and their older-occupant qualification, before applying these provisions to a property.

Keep deposit records distinguishable from ordinary rent and other lawful charges. Use the complete fields and reconciliation example above, preserving the issued copy, actual payment reference and delivery evidence. If a required notice or receipt is missing, preserve the dated request and original payment evidence and obtain qualified help about the actual duty and remedy. Confirm a permitted alternative before repeating payment.

A digital payment confirmation is not automatically the required signed receipt or condition notice. Check content, signature, format and delivery; keep a readable issued copy accessible to the authorized recipient after move-out. Preserve traceable corrections without a duplicate ledger credit. Use the existing qualified retention and protected-backup routine rather than treating three to six years as a universal disposal schedule.

For New Hampshire, check court-stage receipts and the fee citation's scope

RSA 540:9 addresses a possession action based solely on nonpayment: qualifying payment before the merits hearing and a landlord-filed receipt with written confirmation of a tenant copy support dismissal under its conditions. It also addresses a missing court receipt and tenant proof, and limits use to three times in twelve months. Have the actual payment, amounts, timing and court steps reviewed; an ordinary receipt does not establish automatic dismissal.

RSA 540:9-a addresses specified government or funded-organization payment promises and municipal applications. It does not itself require acceptance of partial rent, and provides stated nonpayment defenses concerning timely tender or requested rental verification. Review the actual tender and agency request before rejecting payment or relying on an enforcement right.

The source-cited RSA 451-C:7 belongs to self-service storage facility liens. Its five-day condition and deemed-reasonable $20-or-20% amount are not a residential-rent late-fee cap or grace period. Verify the actual housing rules and lawful agreement before charging a fee; this comparison does not authorize a different amount.

For an accepted partial payment, record the amount, received date, rent allocation and supported remainder, with separately lawful charges and any reviewed remaining-payment arrangement. Keep any required court or agency record distinct from the receipt and ledger. Check current local, program and agreement requirements; this selected statutory review does not certify every housing duty, electronic notice, remedy or court outcome.

For New Jersey, check cash-receipt coverage and payment choice

Section 46:8-49.2 requires a printed or emailed receipt for each covered cash payment of an amount due under a residential lease, renewal or extension. It identifies amount, purpose, received date, landlord and tenant names, and the receiving person. This selected section does not state a three-day delivery deadline.

Check section 46:8-44: its landlord definition covers terms of at least one month and excludes specified small premises, owner-occupied premises and transient or seasonal lodging. Under section 46:8-49.1, covered landlords cannot require electronic funds transfer for amounts due under the agreement. A preferred method and a mandatory electronic route are different.

Section 49.2 links penalties to section 46:8-47, with specified increases for repeat receipt violations within five years, and provides a defense in a nonpayment possession proceeding for the affected months. Obtain qualified review of coverage, facts and remedy before charging, deducting or taking action; a missing receipt does not itself decide a case.

Use the complete fields and reconciliation example above, keeping the actual rent allocation, separately lawful charges and supported remainder clear. Preserve the issued copy, original payment reference, request and delivery evidence. Check current local, program and agreement requirements. An automated payment notification or portal entry is not automatically the required printed or emailed receipt.

For New Jersey, distinguish grace periods and court-stage receipts

Section 2A:42-6.1 addresses five business days of grace for rent due on the first, excluding Saturdays, Sundays and state or federal holidays. Read it with section 2A:42-6.3, which limits coverage to specified senior pension recipients and recipients of designated disability, SSI or Work First New Jersey benefits. It is not a universal five-day rule for every tenancy.

Section 46:8-49.3 separately requires a dated receipt for each payment within the three-business-day period referenced in section 2A:42-10.16a. That period concerns a nonpayment eviction after a warrant is posted or lockout executed, with separate acceptance, court-notice, tenant-copy and dismissal conditions. Review the actual stage, amounts, timing and court requirements with qualified help. This is not a general three-day cash-receipt delivery deadline.

For an accepted partial payment, record the actual received amount, date, allocation and supported remainder and keep any reviewed remaining-payment arrangement separate. Check the lawful charge and applicable grace rule before adding a late fee. A lease clause or receipt does not independently validate a fee, preserve enforcement rights or establish bank settlement.

If confirmation is refused, preserve a dated request and payment evidence and seek qualified help about the actual duty and remedy. Confirm a permitted alternative before switching methods or paying twice. Keep a readable issued version, delivery evidence, traceable corrections and authorized access after move-out under the qualified retention and backup routine above.

The Legislature's selected unannotated compilation identifies updates through P.L.2026, chapter 30 and J.R.1. This review covers the selected provisions, not every later enactment, local duty, electronic notice or court outcome. Check enacted text rather than treating a bill-text link as operative law.

For New Mexico, verify rent allocation and the current late-fee rule

The official New Mexico property-law compilation, section 47-8-15(D), states a five-percent limit on rent for each rental period in default when the rental agreement provides for a late fee. Calculate it only on rent, excluding deposits, additional fees and utilities. The owner must provide notice of the fee charged no later than the last day of the next rental period immediately following the default period. The selected section records a 2025 amendment; do not use an older ten-percent figure or a bill page as the current rule.

Section 47-8-15(G) separately says a resident's rent payment cannot be allocated to deposits or damages unless the owner and resident agree in writing. Review the actual permitted allocation before issuing a receipt or asserting an unpaid balance. Identify rent received, the period credited, any separately lawful charge and the supported remainder using the complete fields and reconciliation example above. A receipt does not independently authorize a charge or change the payment's legal effect.

Section 47-8-33(D) addresses unpaid rent, written notice and timely full tender in the specified manner; subsection H extends a remedy deadline that ends on a weekend or federal holiday. These are notice and remedy provisions, not a general receipt-delivery deadline. Have actual timing, service, tender, acceptance and court requirements reviewed with qualified help before action. Keep an accepted partial payment and any remaining-payment arrangement distinct.

Check the Act's definitions in section 47-8-3 and exemptions in section 47-8-9, including specified institutional, purchase-contract, organizational, transient, employment-linked and agricultural arrangements. Review current local, program and agreement requirements for the actual tenancy. This selected review does not certify a statewide or local absence of receipt duties, penalties or electronic-record requirements.

Give and retain a usable issued payment record. Preserve a dated request, payment reference and delivery evidence if confirmation is refused, and investigate an unexplained credit before paying twice. Follow the guide's protected correction, backup and qualified retention process; an IRS audit lookback is not a universal permission to delete records after six years. A portal view or automated message alone does not prove receipt delivery, settlement or a court outcome.

For New York, keep receipt delivery, payment choice and notices distinct

The New York receipt fields, written personal-check request, delivery timing and cash-record minimum are covered above. A personal-check receipt request under Real Property Law section 235-e(b) ordinarily remains effective for the tenancy unless the tenant specifies otherwise. Preserve the request and issued copies; do not treat personal checks as an unconditional receipt exemption.

Section 235-g prohibits making electronic billing or payment the only rent-payment method and prohibits charging a tenant for choosing not to use it. A dwelling tenant's agreement waiving or changing those rights is void under that section. Confirm a permitted practical alternative; choosing how rent is paid and delivering the required receipt are separate steps.

Under section 238-a(2), the ordinary residential late-rent limit is the smaller of $50 or five percent of monthly rent, and a late charge cannot be demanded unless payment has not been made within five days after it was due. The section contains a distinct conditional rule for specified cooperative owner/shareholder maintenance fees. Review the actual tenancy, lawful agreement and other applicable protections before charging; the ordinary limit is not a universal rule for every cooperative arrangement.

Section 235-e(d) separately addresses a written nonpayment notice when rent has not been received within five days of the lease date. It specifies certified mail, an affirmative-defense provision and a conditional mailing alternative for specified cooperative owner/shareholder arrangements. A late fee, ordinary reminder, automated receipt or portal message does not by itself establish that this separate notice requirement was met. Obtain qualified review of the actual facts, notice and proceeding before enforcement.

For accepted partial rent, identify the received amount, period credited, separately lawful charges and supported remainder without marking the account paid in full. Preserve any reviewed remaining-payment arrangement separately. If a required receipt is refused, keep the dated request and original payment evidence and seek qualified help; do not infer a fixed fine or repeat payment solely from a missing receipt. Check rent-regulation, local and program requirements and qualified retention needs rather than treating three or six years as a universal deletion date. Keep a readable issued copy, delivery evidence and authorized access after move-out; electronic form alone does not prove settlement or every receipt requirement.

For North Carolina, separate late fees from later rent

G.S. 42-46(a) permits an agreed residential late fee where a definite rent-payment time is fixed, subject to its limits. Payment must be five calendar days or more late, counting the day after the due date as day one. For monthly installments the ceiling is the greater of $15 or five percent of monthly rent; for weekly installments it is the greater of $4 or five percent of weekly rent. Check the actual installment schedule, agreement and current applicable protections before calculating.

Subsection (b) permits the late fee only once for each late rental payment. It also prohibits deducting a fee for a particular late payment from a subsequent rent payment so as to put that subsequent payment into default. Subsection (d) prohibits a subsection (a) late fee because of failure to pay the water or sewer services specified in G.S. 62-110(g). A ledger label or lease clause does not override these limits.

Under subsection (h)(5), where rent receives one of the specified federal, state, public-housing-authority or local-government subsidies, fees under this section are calculated on the tenant's share of contract rent, excluding the subsidy. Verify the actual assistance arrangement and tenant share with the appropriate reviewer. Do not calculate automatically on the property's full contract rent.

Use the complete receipt fields and reconciliation example above to show the actual amount received, credited rental period, separately lawful charge and supported remainder. Keep any reviewed remaining-payment arrangement separate from the receipt and do not mark partial rent paid in full. Review acceptance and enforcement rights independently; issuing a receipt does not settle those questions.

This selected fee review does not certify a statewide or local absence of receipt duties, unrestricted payment-method clauses, a fixed receipt penalty or universal electronic validity. Check the actual tenancy's current law, program and agreement requirements. Preserve the issued copy, dated requests, payment reference, delivery evidence and traceable corrections. Seek qualified help if confirmation is refused, and investigate an unexplained credit before paying twice. Use qualified retention and backup routines rather than an automatic three-to-six-year deletion rule; a portal entry alone does not prove delivery or settlement.

For North Dakota, review written receipt requests and payment allocation

The official Century Code section 9-12-22 gives a debtor the right to require a written receipt from the creditor for property delivered in performance of the obligation. This is a general obligations provision, not a rent-specific form or delivery timetable. Have its application to the actual payment and tenancy reviewed; do not infer that a missing rent-specific receipt provision means no receipt right can exist.

Section 9-12-07 addresses performance equally applicable to multiple obligations. It first recognizes the debtor's allocation intention manifested to the creditor at the time, then specifies creditor application and fallback rules when the stated conditions apply. Keep contemporaneous payment instructions and the reviewed allocation with the receipt. Do not assume a software default can always apply rent to an older charge.

The same chapter distinguishes partial performance voluntarily retained under section 9-12-05 from an offer of partial performance under section 9-12-08. Review the actual obligation, acceptance, agreement and housing rules with qualified help before asserting waiver, a paid-in-full balance or enforcement rights. The receipt records the actual received amount and supported application; it does not decide those legal questions.

Use the complete fields and reconciliation example above, identifying payer, authorized recipient, property/unit, received date, rental period, actual amount, method/reference and supported remainder. List separately lawful charges distinctly and keep any reviewed remaining-payment arrangement separate. If confirmation is refused, preserve a dated written request, payment instructions, original bank or issuer evidence and communications, then seek qualified help about the actual duty and remedy. Confirm a permitted alternative before changing methods or duplicating a disputed payment.

Check current state, local, program and agreement requirements rather than assuming every property has no duty or penalty. Keep a readable issued copy, delivery evidence, traceable corrections, protected backups and access after move-out under the qualified retention process above. Limited internet access calls for a usable permitted paper or downloadable copy; a timestamp or portal screenshot alone does not certify settlement, electronic compliance or a court outcome. A three-to-five-year recommendation is not a universal disposal date.

For Ohio, check Columbus receipt timing and rent allocation

Columbus section 4551.05 addresses written receipts for security deposits and rental payments at receipt, with a four-business-day rule for cash or another method that does not generate a written receipt automatically. It excludes operators of permanent supportive housing properties. Where the operator offers a third-party payment portal or service, the tenant's ability to obtain a written receipt through that service constitutes evidence of receipt provision under subsection (c). Verify actual coverage, access and timing rather than assuming any portal screen is enough.

Section 4551.071(C) addresses payment terms in specified written rental agreements or renewals after January 31, 2025. For monthly or periodic tender under the agreement, it directs the operator to apply payment to rent due before other payments due. Check the agreement and current applicability before allocating a received amount to late fees or another charge. Keep the receipt, contemporaneous instructions and reconciled balance consistent.

The same chapter separately addresses third-party tender in section 4551.06, including default exceptions, and specified full past-due tender defenses at different court stages in section 4551.07. Have the actual payer, amount, fees, timing, default and proceeding reviewed with qualified help. These provisions do not make a partial-payment receipt an automatic resolution of enforcement rights.

The city-linked compilation reviewed identifies an October 14, 2026 online update, codified through ordinance 2063-2026, and lists uncodified enactments. Confirm the operative provisions before action. Section 4551.05 includes offense provisions; an ordinary receipt workflow does not decide a violation, penalty or case outcome.

For Ohio, distinguish Cleveland and East Cleveland receipt requests

The posted Cleveland section 375.04 and separate East Cleveland section 1350.07 each specify a signed receipt at payment for a covered security deposit or rental payment upon the tenant's written request, except the tenant's personal-check payments. One written request may cover the deposit and/or all rental payments. Preserve that request and check the receiving person's signature and actual delivery.

Both selected provisions permit an action for mandatory or injunctive relief to secure compliance. Review the property's municipal boundary, covered residential premises, actual request and remedy with qualified help. Cleveland's section number is not East Cleveland's citation. The posted editions identify Cleveland 2026 S-28 and East Cleveland 2020 S-3; the publisher cautions that later legislation may be missing and directs readers to the official copy before action. This selected review does not certify every Ohio city's current rules.

Use the complete receipt and reconciliation process above for actual cash, check, electronic and accepted partial payments, keeping separately lawful charges and supported remainders clear. If confirmation is refused, retain the dated request, original payment and delivery evidence and seek qualified help before switching methods or paying twice. Preserve a readable issued copy, traceable corrections and protected access under the qualified retention routine; a digital timestamp alone does not establish receipt delivery, settlement or every legal requirement.

For Oregon, distinguish requested payment writings and deposit receipts

ORS 90.140(2) entitles a tenant requesting written evidence of payment to receive it as a condition for making the payment. The writing may be a receipt, account statement or other acknowledgment. It must identify the amount, payment date and landlord or rental property. For a requested writing after payment by mail, deposit or another nonpersonal method, the landlord must provide it within a reasonable time using a manner consistent with ORS 90.150. Check actual delivery and preserve the request and issued copy.

ORS 90.300(2)(a) separately requires a receipt for a security deposit paid; subsection (3) requires a written rental agreement, if any, to list a deposit paid or required. The selected deposit receipt clause does not state a four-day delivery period. Do not substitute a generic four-day rule for the actual duty or confuse this receipt with the separate end-of-tenancy accounting and refund process.

Use the complete fields and reconciliation example above, separating rent, deposits and separately lawful charges. Check chapter coverage and exclusions, including ORS 90.110 and 90.120 and any different provisions for a tenant-owned dwelling or rented space. A filled template, portal entry or electronic payment alone does not certify required content, permitted delivery, settlement or every applicable rule.

For Oregon, review payment order, partial acceptance and electronic alternatives

ORS 90.220(9) requires the covered payment allocation order despite a contrary lease term: outstanding rent from prior periods, current rent, utility or service charges, late-rent charges, then specified other fees or claims. That subsection excludes agreements subject to ORS 90.505 to 90.850. Verify the actual tenancy and application before issuing a receipt or asserting an unpaid balance; software defaults do not override the applicable order.

ORS 90.417 distinguishes a full timely tender, accepted partial rent and agreed regular installments. Partial acceptance can waive the specified nonpayment termination right unless the statutory conditions are met. It distinguishes acceptance before a notice, with the stated balance agreement and notice/payment conditions, from acceptance after a notice with a written nonwaiver agreement. Obtain qualified review of the actual stage and full provision before acting. Merely writing a remaining balance on a receipt does not establish that those conditions were met.

Oregon Laws 2026, chapter 23, section 3, effective June 5, 2026, requires landlords to allow checks or other commercially reasonable payment methods and prohibits requiring electronic payment. It also prohibits a late fee or nonpayment termination based on refusing the payment offered under that provision. Section 7 applies these payment protections to rental agreements entered before, on or after the effective date. Confirm an authorized route before changing methods, retrying a disputed payment or charging; payment choice and receipt delivery remain separate.

For Oregon, prepare Portland history records for the correct trigger

Portland City Code 30.01.087(F) requires a written accounting covering up to the prior two years of tenancy and a fully completed rental history form within five business days of a tenant request or the landlord delivering an intent-to-terminate notice. The Housing Bureau instructions and current form also list receiving the tenant's intent-to-terminate notice. Check the actual city boundary, covered tenancy and trigger; do not wait solely for a request when termination documentation is involved.

Use the Bureau's current Rental History Form. The reviewed three-page version identifies tenant, landlord/contact, unit, move-in and known move-out dates, landlord signature/date, and the previous two-year payment history. Its history page permits a ledger detailing the same information for that part of the form. A generic single-payment receipt does not replace the completed form and accounting. Reconcile partial payments, corrections and actual status before issuing, and retain the issued version and delivery evidence.

The city code separately addresses security-deposit accounting and, for an interest-bearing deposit account, a requested account/interest receipt no more than once per year. Review that actual duty separately from the rent history. For disclosure of confidential tenant information to another party, also check Oregon Laws 2026, chapter 61, effective June 5, 2026: review separate written consent or an applicable stated exception. Limit disclosure to the proper purpose and recipient. This guide does not complete, issue or transmit the official form or determine a legal remedy.

For Rhode Island, separate the payment record from acceptance and fee rules

For a tenancy covered by the Residential Landlord and Tenant Act, R.I. Gen. Laws 34-18-41 distinguishes acceptance of rent with knowledge of a default, or acceptance of performance varying from the agreement, from the unpaid balance. It provides a termination-right waiver rule unless written notice is given within ten days. It separately states that accepting partial rent does not waive the balance and that acceptance does not waive remedies for the default. Have the actual payment, knowledge, notice and proceeding reviewed before acting; a receipt showing a balance alone does not resolve those legal questions.

Section 34-18-61, effective January 1, 2025, prohibits a convenience fee on a rental payment, with an exception for a landlord accepting a rent-payment method without such a fee. Verify the actual available method and lawful charge before issuing or reconciling a receipt. An electronic receipt or processor charge does not by itself establish that a tenant may be charged.

Section 34-18-15(a) also requires disclosure of applicable fees beside the lease's rent disclosure, subject to its subsidy-format exception. Without a written lease, the landlord must provide a written fee list; changes require written disclosure at least thirty days before taking effect. Required utility and insurance disclosures and a remedy for fees paid without the required disclosure are also addressed there. Itemize the actual payment and separately lawful charges without treating disclosure as permission to impose a prohibited fee. Check chapter application and exclusions under sections 34-18-7 and 34-18-8 and any applicable local or program rules; this is not a certification that no receipt duty or penalty exists.

For South Carolina, recognize the proceeding-specific receipt duty

S.C. Code 27-40-790(a) addresses a possession action in which the tenant raises defenses or counterclaims under the chapter or agreement. After issuance of a written rule to vacate or show cause, it requires the landlord to give a written receipt for each payment of rent becoming due, except payment by check. Confirm the actual proceeding and payment; this is a specific duty, not a conclusion that every ordinary monthly payment has the same rule.

Subsection (b) separately addresses allegedly unpaid rent preceding the rule and permits the court to allow a receipt, canceled check or both as evidence of payment instead. Preserve the payment reference, issued receipt, ledger and court documents. Have disputed amounts, payment timing and the actual court requirements reviewed before paying again or acting on an asserted default. Check chapter coverage and exclusions; a generic template or portal entry alone does not resolve those questions.

For South Dakota, review the general receipt and allocation provisions

SDCL 20-5-14 gives a debtor a right to require a written receipt from the creditor for property delivered in performing an obligation. This general provision should be reviewed alongside the actual rental, local and program requirements. It does not itself prescribe a rent-specific form, delivery deadline or electronic signature standard. Preserve the request, payment reference and issued copy rather than assuming the absence of a receipt right.

The general allocation provisions in 20-4-6 through 20-4-9 distinguish the debtor's direction at payment, the creditor's permitted later selection and the fallback order when neither selects. Preserve any contemporaneous direction before applying a payment among several obligations. Section 20-4-5 separately addresses voluntarily retained partial performance, while 20-5-2 concerns an offer of partial performance. Obtain review of their application and any rental-specific rule; an accurate partial-payment receipt alone does not determine acceptance, satisfaction or termination rights.

For Texas, keep both the cash receipt and payment record

For covered residential rentals, Property Code 92.011 requires acceptance of a timely cash rent payment unless the written lease requires payment by check, money order or another traceable or negotiable instrument. When a landlord receives cash rent, the landlord must give a written receipt and enter the payment date and amount in a maintained record book. Verify both steps; a receipt draft alone is not the separate payment record.

Subsection (c) provides for an injunction suit and recovery of court costs and reasonable attorney fees by a prevailing party. A tenant prevailing under that subsection may additionally recover the greater of one month's rent or $500 per violation. Those are conditional remedies, not an automatic software assessment. Preserve payment and delivery evidence and obtain qualified review before asserting a claim.

The selected provision does not state a separate on-request receipt rule for money orders or cashier's checks. Review other applicable law, program and agreement requirements for those methods. Use the complete fields and reconciliation routine above without claiming that one template establishes every Texas or local duty.

For Texas, distinguish a requested late-fee statement from a payment receipt

Property Code 92.0191 lets a tenant request a written statement of whether a late fee is owed and its amount. The landlord must provide it through an established method regularly used for written communication between the parties. The section states that a missing response does not change liability for a fee actually owed. Preserve the request, reconciled statement and delivery record; an ordinary receipt may not answer the request.

Before including a fee, review section 92.019: written-lease notice, reasonableness and rent remaining unpaid for two full days after its original due date are conditions. The reasonableness test depends on building size and includes a separate damages-based alternative; initial and daily charges are combined for that test. Itemization, a lease entry or an automated fee setting alone does not establish a lawful amount. The fee rule also distinguishes fee timing from termination rights; obtain review of the actual tenancy and circumstances.

For Utah, verify the charges before itemizing a receipt

Utah Code 57-22-4(5)(a) limits a late fee to the greater of $75 or 10% of the rent agreed to in the rental agreement. That ceiling is not permission to charge a fee absent an applicable basis. Check the actual agreement and payment before recording rent, a separately lawful fee and the remaining balance.

Subsection (5)(b) also limits a fee, fine, assessment, interest or other cost to the amount agreed to. It addresses a charge absent from the agreement separately, with an exception requiring both a month-to-month agreement and fifteen-day notice. Preserve the controlling agreement, any applicable notice, the actual payment and allocation; an automated fee setting or itemized receipt does not independently authorize the charge.

Review the whole provision and applicable property or program rules before asserting a remedy. Subsection (9) restricts using noncompliance with the listed duties to excuse rental-agreement compliance or bring a cause of action. This guide records the payment and directs the legal review; it does not decide a claim, partial-payment waiver or the absence of every receipt duty.

For Vermont, distinguish partial rent from the full tender addressed by law

9 V.S.A. 4467(a) states that accepting partial rent does not waive the landlord's nonpayment remedies or settle the nonpayment obligation in full. It separately provides that the rental agreement will not terminate when the tenant pays or tenders rent due through the end of the rental period in which that payment or tender occurs. Record the actual amount, covered period, allocation and remaining balance without treating these different circumstances as interchangeable.

Preserve the payment or tender evidence, issued receipt, agreement and any actual notice or court documents. Have the applicable chapter coverage, current special-housing rules, payment timing and proceeding reviewed before acting on a default or paying again. Other grounds for termination and acceptance after termination have separate provisions in section 4467; a receipt alone does not determine their application. The complete fields, delivery and reconciliation routine above remain useful without certifying that no state, city or program receipt duty exists.

For Virginia, distinguish automatic receipts from requested account statements

For covered tenancies, the current version of Virginia Code 55.1-1204(J) requires a written receipt whenever rent is paid in cash or by money order. It does not condition that receipt on a tenant request. It also requires acceptance of checks and money orders for periodic rent and security deposits. Check applicable coverage and the actual payment method before choosing the receipt routine.

Subsection D separately requires a written statement of all debits and credits for the shorter of the tenancy or preceding twelve months, within ten business days after receiving the tenant's written request. Reconcile payments, lawful charges, credits and reversals for that period and retain the request, issued statement and delivery evidence. A single-payment receipt does not replace the requested account history.

Subsection E requires a written-agreement basis for a late charge and caps it at the smaller of 10% of periodic rent or 10% of the unpaid balance. The first-of-month/fifth-day terms in subsection C concern the tenancy created when no written agreement is offered; they are not a universal five-day rule for every written lease. Subsection J also requires a payment method without additional fees before a collection or processing fee may be charged, and limits the specified electronic processing fee to the landlord's actual third-party out-of-pocket expense. Verify the actual agreement, due date, payment and lawful charge before itemizing; this does not determine partial-payment acceptance or termination rights.

For Virginia, separate record access from third-party disclosure

The current version of Virginia Code 55.1-1209(E) allows a tenant to request records in paper or electronic form. If the agreement permits, actual preparation costs may be charged for more than one copy. When records are made available to each tenant through an electronic portal, access to that portal must be free. Preserve readable issued copies and an appropriate delivery route; a receipt-download setting alone does not answer every records request.

Subsection A limits third-party disclosure to prior written consent or a listed exception, including a summary of the rent-payment record. Subsection B gives records received under section 55.1-1203 a separate subpoena-only restriction. Check the actual information, purpose and recipient rather than treating every tenancy document as freely shareable. Subsection D permits an agreement for a third party to maintain records electronically or in another medium and addresses breach liability with a gross-negligence or intentional-act exception. It does not certify a provider, successful delivery or evidentiary authenticity. Retain the qualified tax, property and unresolved-claim retention review above; neither section supplies a universal six-year disposal date.

For Washington, apply received money to rent before fees

For covered Washington residential tenancies, RCW 59.18.283 requires tenant payments to go toward rent before late charges, damages, legal costs or other fees. Reconcile that order before issuing the receipt; an itemized fee does not make it rent.

For example, if $1,500 of rent is unpaid and an account separately lists a $50 fee, a $900 payment applied to rent leaves $600 of rent unpaid. If the separate fee is lawful and still due, show it separately rather than claiming $650 of unpaid rent or marking the period paid in full. Check the agreement and applicable state, city or program rules before charging a fee. A receipt records what arrived and how it was applied; it does not decide whether accepting a payment changes an existing notice, settlement or court case.

For Washington DC, check the receipt fields and personal-check exception

14 DCMR 306 requires written receipts for tenant payments of rent, security or other amounts, subject to its personal-check exception. The receipt identifies the exact amount received, received date and payment purpose. It also identifies any amount still due for late charges, court costs or similar charges beyond rent. Use the full payment record above and distinguish those charges from unpaid rent.

Under subsection 306.4, a personal-check payment still requires a receipt stating the nature and amount of charges when a balance attributable to late charges, court costs or similar charges beyond rent remains due. That condition is not simply any remaining partial-rent balance. Subsection 306.5 makes the rule independent of the subtitle's notice requirement. Preserve the actual payment, charge breakdown and issued copy, and check the permitted format and delivery; a generic electronic confirmation does not establish compliance or bank settlement.

For Washington DC, keep late fees separate from later rent

D.C. Code 42-3505.31 limits a late fee to 5% of the full rent due and requires the written lease to state its maximum. The full rent must remain unpaid beyond five days after the due date, or a longer lease grace period. Verify the actual payment and lawful fee before itemizing the receipt.

The section prohibits interest on the fee, deducting it from a later rent payment, charging more than once for the same late payment, eviction based on its nonpayment, and a fee for the portion a subsidy provider is responsible for paying. Reconcile tenant and subsidy-provider amounts separately; do not turn a provider's delay or a fee allocation into tenant rent arrears.

Subsection (d) separately permits an invoice after the grace period, payable within thirty days, and addresses lawful unpaid fees and end-of-tenancy deposit deductions after that period. An itemized receipt does not itself authorize a deduction or remedy. Review the actual agreement, applicable protections and proceeding before acting; this guide does not establish a right to reject a partial payment or impose a fine.

For West Virginia, distinguish deposit deduction records from rent receipts

West Virginia Code 37-6A-3 requires itemized records for each tenant of covered security-deposit deductions made for noncompliance with the rental agreement, maintained for one year after the tenancy ends. It also requires normal-business-hours inspection by the tenant or an authorized agent or attorney within seventy-two hours of a written request, or, at the landlord's option, a copy of the deduction records within that same period during normal business hours.

Preserve the written request, itemized deductions and the inspection or copy response separately from ordinary payment receipts. Keep the actual tenancy, authority to receive records and delivery evidence clear. This specific deposit-record duty does not make one year a universal deletion date for rent, tax, property or unresolved-claim evidence. Apply the qualified retention review and protected archive routine above, and check the actual agreement, current local or program duties and payment circumstances before asserting a fee or the effect of a partial payment.

For Wisconsin, match receipt triggers and current-rent allocation

The Wisconsin DATCP Landlord Tenant Guide, revised March 2026, explains ATCP 134.03(2): written receipts are required for earnest-money deposits, security deposits and cash rent; check payments require a receipt when requested. Identify the actual transaction, payment method and request, then use the complete fields and retainable issued-copy checks above. A single rent receipt should not blur a separate deposit payment.

The guide's ATCP 134.09(8) discussion says a late fee must be specifically provided for in the agreement. A current rent payment must go to rent currently due before an earlier late fee, and nonpayment of a late fee cannot produce another fee or penalty. Reconcile that allocation before stating a balance. Review the current rule and actual tenancy for any additional condition, required delivery or legal remedy; automation and an itemized receipt do not determine those matters.

Common questions

What should a useful rent receipt identify?

Identify the actual payer and recipient, property and unit, amount and date received, covered period, method/reference, allocation and status. Check the local format, signature, delivery and retention requirements.

Are receipts legally required for every payment?

Requirements vary by location and payment circumstances. The New York example in this guide has specific cash, other-instrument and written-request provisions; it does not establish a nationwide rule.

Can a receipt be handwritten?

Check the required format and fields first. A readable written record still needs any required signature and delivery, an issued copy and traceable correction. Do not assume both parties must sign everywhere.

Does automation prove settlement or compliance?

No. Review the actual payment status and ledger separately from a receipt or software output. Check required fields, signature and delivery; a saved record or queued email does not establish bank settlement or statutory compliance.

How should receipts be organized across units?

Keep an identifiable record for each actual payment and its allocation, property/unit, payer and covered period. Reconcile it to the correct tenancy ledger. A portfolio total or duplicate bank import should not replace or double-credit that payment.

Does a standardized receipt prove state documentation requirements were met?

No. Check the actual jurisdiction, payment type, required fields, receiving person signature/title, timing, delivery and retention. A portfolio report, saved digital record or automated receipt is supporting evidence; it does not certify that every local duty was fulfilled.

Does paying digitally mean a receipt can only be delivered through a portal?

No. Payment method and receipt delivery are separate. Check local requirements, correct recipient, readability, signature and a retainable issued copy. Provide an appropriate permitted alternative when the resident cannot use the selected channel.

Does a failed payment platform justify an automatic late fee?

Check the facts and applicable law before acting. Minnesota's 2026 rule requires a fee-free alternative when a required/permitted digital platform fails and prohibits adverse action for resulting nonpayment when both offered methods fail. Other jurisdictions need their own review.

Can an ordinary rent receipt replace a tax certificate?

Only if the relevant authority's instructions allow it. Verify the program, rental year, required fields and official filing route; do not assume a generic proof-of-payment letter or software report is an approved tax document.

Is January 31 a certificate deadline for every rental?

No. The Minnesota example has that owner delivery deadline for covered CRPs. Other jurisdictions and programs require their own current instructions; an ordinary receipt can have different timing duties.

What can a Minnesota renter do about a missing or incorrect CRP?

First request it or a correction from the owner or managing agent. Minnesota Revenue describes requesting its Rent Paid Affidavit beginning February 1 when the problem remains unresolved. Follow the agency's required proof and return instructions; do not invent a substitute form or assume the credit is automatic.

Will a lender accept a bank statement instead of a landlord letter?

Ask the actual lender about the loan and evidence requirements. Fannie Mae's nontraditional-credit housing-history guidance allows several documentation routes; it does not establish a universal preference or make an unexplained bank debit a statutory rent receipt.

Can I charge the renter for preparing payment confirmation?

Check applicable law, the agreement and any program's rules before proposing a charge. A required receipt or certificate has its own duties. Do not condition a legally required document on an unauthorized fee or treat an uncommon practice as a universal fee prohibition.

Does a proof letter certify that all future rent will be paid?

No. State only the supported historical facts for the defined period and cutoff, with relevant pending or unresolved items. The letter does not predict future performance, certify benefit or mortgage eligibility, or automatically report rent to credit bureaus.

For Alabama, are receipt duties different for cash?

Check current state, local, program and agreement requirements for the actual payment. This guide does not certify that every Alabama property has no receipt duty. Give and retain a useful payment record, especially for an authorized cash handoff.

What if an Alabama housing provider refuses a receipt?

Request written payment confirmation and keep the amount, date, recipient, reference and communications with bank or issuer evidence. Use qualified help for an unresolved dispute; a missing receipt does not by itself prove nonpayment or require a second payment.

Does this guide establish an Alabama penalty for withholding a receipt?

No. First identify the duty and remedy that actually apply under current law, the agreement and any housing program. Neither a universal penalty nor a universal absence of remedies is established here.

Can electronic evidence support an Alabama rent payment?

Yes, electronic form alone is not a reason to deny legal effect or exclude evidence under the cited provisions. Authenticity, attribution, weight, required content, consent and delivery still matter. A receipt or screenshot does not by itself prove bank settlement.

For Alaska, does cash alone determine a receipt duty?

Check the current law, agreement and housing program for the actual property and payment. Give both parties a useful record of an authorized cash handoff. This guide does not establish that every Alaska tenancy has no receipt obligation.

What if an Alaska housing provider refuses payment confirmation?

Request a written record and preserve the date, amount, recipient, payment reference, communications and available bank or issuer evidence. Investigate an unresolved credit before paying it again; seek qualified help for a continuing dispute.

Does this guide determine a penalty for an Alaska receipt dispute?

No. Identify the actual duty, breach and available remedy under the current property rules and agreement. A missing receipt alone does not establish a universal penalty or the absence of every remedy.

Can an electronic record support an Alaska payment dispute?

Electronic form alone is not a reason to exclude evidence under AS 09.80.100. Preserve accurate accessible records and supporting references; authenticity, payment status and applicable content or delivery requirements still need review.

For Arizona, is a receipt duty determined only by cash?

Check the actual property, current law, housing program and agreement. Keep a usable issued record for an authorized cash payment and verify required timing, format and delivery. This guide does not certify the absence of duties in every Arizona locality.

What if an Arizona housing provider will not confirm a payment?

Request written confirmation and preserve the actual date, amount, recipient, reference, communications and bank or issuer evidence. Investigate an unresolved credit before duplicating payment; seek qualified help when the dispute continues.

Does this guide establish an Arizona penalty for a missing receipt?

No. First identify the actual duty, breach and remedy under the applicable property rules and agreement. A missing receipt alone does not prove a universal penalty or that no remedy can exist.

Can electronic evidence support an Arizona rent payment?

The cited provisions recognize electronic form and prevent evidence being excluded solely for that reason. Attribution, context, actual payment status, operative law and required receipt content or delivery still need review.

For Arkansas, are receipts required only for cash?

No simple cash-only rule follows from the cited court-stage provision. Section 18-17-706 requires written receipts in its specified possession-case circumstances, with an exception for payment by check. Check other applicable property and agreement duties separately.

What if an Arkansas housing provider refuses a receipt?

Request written confirmation and preserve the original payment and communication evidence. Confirm an agreed, permitted alternative before changing methods. If a case or required receipt is involved, follow the actual court instructions and seek qualified help.

Does a missing Arkansas receipt establish a universal penalty?

No. Identify the applicable duty, actual breach and available remedy. The specific court-stage receipt clause does not establish a universal penalty, and it does not justify assuming no receipt duty or remedy can exist.

Can a digital record help resolve an Arkansas payment dispute?

It can support a factual review with its origin, reference, date, amount and credited period. Check required receipt form, delivery and evidence rules separately; a screenshot or automated email does not automatically prove settlement or satisfy the court-stage duty.

For California, may a housing provider require only cash?

The state guide describes a limited cash requirement after a dishonored or stopped check, with notice and other conditions. Review those conditions rather than treating cash as the only permitted method for every tenancy.

What if a California housing provider refuses a requested receipt?

Preserve the written request and original payment evidence, then seek qualified help when unresolved. Berkeley has a specific bad-faith protection; an expired notice alone does not establish its state-law refusal exception.

Is there an automatic California fine for every missing receipt?

This guide does not establish a universal fine. Identify the actual duty, breach and remedy. Berkeley provides possible local civil remedies under its ordinance; they do not apply automatically to every California property.

Does a digital California receipt automatically satisfy the law?

No. Check the required content, signature, consent, delivery and retainability for the actual property and record. A screenshot, email or automated receipt does not by itself prove settlement or certify every legal duty.

For Colorado, is a receipt duty limited to cash?

No. In-person money orders and requested records for other deliveries are also covered; check the existing-record exception described above.

What if a Colorado housing provider refuses a required receipt?

Keep the request and original payment evidence, seek written confirmation and obtain qualified help when unresolved. Investigate the credit before duplicating payment or unilaterally changing methods.

Does a Colorado receipt dispute automatically establish a penalty?

No. Identify the applicable receipt duty, actual breach and remedy. Keep missing-document issues distinct from late-fee violations; this guide does not determine the outcome of a claim.

May a Colorado resident request a paper receipt?

Yes. An electronic option does not remove the paper-on-request duty. Verify required fields and delivery separately from bank settlement.

For Connecticut, is a cash receipt the only payment record to check?

No. The cash-receipt clause and requested unit-accounting duty are distinct. Review the actual method, agreement and other applicable requirements.

What if a Connecticut housing provider refuses a required receipt or ledger?

Keep the request, amount, recipient, date and original payment evidence. Ask for written confirmation or the required account history and obtain qualified help if the issue remains unresolved.

Does a missing Connecticut receipt automatically determine a penalty?

No. Identify the actual duty, breach and remedy for the property and facts. A missing receipt, unlawful charge and incorrect allocation require their own review; this guide does not determine a claim.

Does a digital Connecticut payment record automatically satisfy a receipt duty?

No. Verify the required content, signature if applicable, delivery and retainable issued copy. A portal record can support review but does not automatically prove settlement or every legal requirement.

For Delaware, must a tenant request the cash-rent receipt?

The cited cash clause does not require a request. Check the fifteen-day issuance and three-year cash-record duties described above.

What if a Delaware housing provider refuses a required receipt?

Preserve the payment facts and communications, request written confirmation through the established contact and seek qualified help if unresolved. Investigate an unexplained credit before paying again.

Does this guide establish that a Delaware receipt dispute has no remedy?

No. Identify the actual duty, breach and available remedy for the property and facts. A selected receipt clause does not establish a universal penalty or the absence of every remedy.

Does a digital Delaware receipt automatically prove compliance?

No. Verify required content, applicable signature, delivery, retainability and the actual payment status. A portal screenshot or automated message does not by itself prove settlement or every legal requirement.

For Florida, does paying cash alone determine every receipt duty?

No. Review the actual tenancy and circumstances. The partial-rent provision after a posted nonpayment notice includes a receipt option with specific fields alongside other statutory alternatives; this guide does not certify a universal absence of duties.

What if a Florida housing provider will not confirm a payment?

Keep the original payment and request evidence, ask for written confirmation through the established contact and obtain qualified help if unresolved. Confirm an agreed permitted alternative before changing payment methods.

Does a Florida receipt dispute automatically establish a penalty?

No. Identify the duty, facts and available remedy for the actual tenancy. A missing record does not establish a universal fine or the absence of all remedies, and this guide does not decide a claim.

Can an electronic Florida receipt support a payment dispute?

Electronic form alone does not bar legal recognition or evidence under the cited provisions. Agreement, attribution, required content, retainability, delivery and actual payment status still need review, especially when judicial procedure is involved.

For Georgia, does cash alone determine every receipt duty?

Check the actual agreement, current law and housing program. Keep a usable record of an authorized cash handoff. This selected guide does not certify that every Georgia property has no documentation duty.

What if a Georgia housing provider will not confirm a payment?

Preserve the original payment facts and request evidence, seek written confirmation through the established contact and obtain qualified help when unresolved. Confirm an agreed permitted alternative before changing methods.

Does a missing Georgia receipt automatically establish a penalty or no remedy?

No. Identify the actual duty, breach and available remedy for the property and facts. A selected handbook or a missing record does not decide a claim or establish a universal absence of remedies.

Does a digital Georgia receipt automatically satisfy every requirement?

No. Review required content, applicable signature, consent, delivery, retainability and actual payment status. A screenshot, portal view or automated email can support review but does not by itself certify settlement or every legal duty.

For Hawaii, is the receipt rule limited to cash?

No. The cited provision addresses rent paid and recognizes canceled checks, while requiring a receipt for check payments on request. Review the actual payment and tenancy circumstances.

What if a Hawaii housing provider refuses a required receipt?

Preserve the request and original payment facts, seek written confirmation through the established contact and obtain qualified help when unresolved. Investigate an unexplained credit before duplicating payment.

Does a missing Hawaii receipt automatically establish a penalty?

No. Identify the applicable duty, facts and available remedy under current rules. This selected review does not determine a universal fine, the absence of all remedies or the outcome of a claim.

No. Electronic payment alone does not establish the agreement described in section 489E-5. Review required content, retainability, delivery and actual payment status separately.

For Idaho, does cash alone determine every receipt duty?

Check the actual agreement, current law and housing program. Keep a usable record of an authorized cash handoff. This selected guide does not certify the absence of documentation duties in every Idaho locality or property.

What if an Idaho housing provider will not confirm a payment?

Preserve the payment facts and request evidence, seek written confirmation through the established contact and obtain qualified help when unresolved. Confirm an agreed permitted alternative before changing methods.

Does a missing Idaho receipt automatically establish a penalty or no remedy?

No. Identify the actual duty, breach and available remedy for the tenancy and facts. A selected manual or missing record does not decide a claim or establish a universal absence of remedies.

Can electronic Idaho records support payment evidence?

The cited provisions recognize electronic form and prevent exclusion solely for that reason. Agreement, required content, retainability, delivery, authenticity and actual payment status still need review.

For Illinois, does Chicago section 5-12-140(a) require a cash-rent receipt?

That subsection prohibits agreements waiving chapter rights, remedies or obligations. Section 5-12-080(b) addresses security-deposit receipts. Identify the payment and check the actual property, local rules, program and agreement before deciding an ordinary-rent receipt duty.

What if an Illinois housing provider will not confirm a payment?

Preserve the request, actual amount, date, recipient, rental period and bank or issuer evidence. Seek written confirmation through the established contact and qualified help when unresolved. Confirm an agreed permitted alternative before changing methods or duplicating a disputed payment.

Does every missing Illinois rent receipt carry the Chicago deposit remedy?

No. The cited Chicago provisions concern specific deposit duties and remedies, subject to chapter coverage and conditions. Identify the actual duty and breach for the tenancy; this guide does not determine a universal monthly-rent penalty or absence of remedies.

Does a generic digital receipt satisfy Chicago deposit requirements?

Check chapter coverage and the applicable receipt path. The electronic-transfer deposit acknowledgment in section 5-12-080(b)(2) specifies date, amount, dwelling unit and the receiving person’s electronic or digital signature. Verify operative requirements and delivery; an email alone is not a compliance determination.

For Indiana, does cash alone determine every receipt duty?

Check the actual agreement, operative state and local rules and housing program. The cited courts manual recommends requesting receipts and preserving payment evidence; that selected guidance does not establish a universal absence of documentation duties.

What if an Indiana housing provider will not confirm a payment?

Keep the dated request and actual amount, date, recipient, period and supporting bank or issuer evidence. Seek confirmation through the established contact and qualified help when unresolved. Confirm an agreed permitted alternative before changing methods.

Does a missing Indiana receipt automatically establish a penalty or no remedy?

No. Review the actual duty, breach, agreement and available remedy for the tenancy. Recordkeeping guidance and a missing receipt do not by themselves determine a legal claim or establish that every remedy is unavailable.

Do date, amount and period alone make an Indiana digital receipt legally sufficient?

Those facts help identify the payment, but check required content, signature, consent, retainability, delivery and evidence rules. Keep the readable issued record and its underlying payment reference. Electronic form alone does not prove receipt, settlement or compliance.

For Iowa, does section 562A.9 require every rental to accept cash?

The cited 2026 section addresses lawful agreement terms, payment timing/place and late-fee caps; it does not state that blanket cash-method rule. Check the actual agreement, current law and housing program before changing methods or deciding receipt duties.

What if an Iowa housing provider will not confirm a payment?

Preserve a dated request and actual amount, date, recipient, period and supporting bank or issuer evidence. Seek written confirmation and qualified help when unresolved. Confirm an agreed permitted alternative before changing methods or duplicating payment.

Does a missing Kansas receipt automatically establish a penalty or no remedy?

No. Review the actual duty, breach and available remedy for the tenancy. A missing record does not determine every claim; acceptance of rent and its possible legal effect also need separate review.

Does electronic form alone prove a Kansas rent payment?

The cited provisions recognize electronic form and prevent exclusion solely on that basis. Check agreement, applicable content/signature, retainability, origin, delivery and actual payment status. A portal entry is not conclusive proof of settlement or every legal duty.

For Kentucky, is Louisville rent-roll reporting a universal receipt duty?

The cited city page concerns projects within their contractual affordability period and a specific annual compliance package. Check the actual project and reporting cycle. A rent roll and a receipt for one payment serve different purposes.

Preserve a dated request and actual amount, date, recipient, period and supporting bank or issuer evidence. Seek written confirmation and qualified help when unresolved. Confirm an agreed permitted alternative before changing methods or duplicating payment.

Does a missing Kentucky receipt establish a universal penalty or no remedy?

No. Review the actual agreement, applicable property/program duty, breach and available remedy. Check URLTA adoption and coverage where relevant; this selected guide does not determine every claim or establish that no remedy exists.

Does an online Kentucky confirmation automatically prove payment and compliance?

It can help document the transaction, but verify receipt, settlement and ledger credit separately. Check required facts, signature, consent, retainable issued copy and delivery. Electronic form alone does not determine every legal duty or evidentiary issue.

Keep the dated request, actual amount, date, recipient, period and bank or issuer evidence. Seek confirmation and qualified help when unresolved. Confirm an agreed permitted alternative before changing methods or duplicating a disputed payment.

Does a missing Louisiana receipt automatically establish no penalty or remedy?

No. Identify the actual duty, breach and remedy for the tenancy and facts. Review disputed payment allocation and acceptance separately; an accounting record or missing receipt does not determine every legal claim.

Does electronic form alone make a Louisiana rent confirmation sufficient?

The cited provisions recognize electronic form, with agreement, scope, retainability and other-law conditions. Check required content, signature and delivery, and actual receipt and settlement. A portal entry alone is not a compliance or court-evidence determination.

For Maine, does every cash payment have the same receipt rule?

Section 6022 covers rent or deposit payments partly or wholly in cash, with an exemption for a landlord-occupied structure containing no more than five dwelling units. Check coverage and any other property, local, program or agreement duty.

Does a printable Maine digital message automatically satisfy the receipt duty?

Retainability is one condition. Check agreement, scope, required facts and receiver signature/printed name, plus delivery timing and other applicable rules. Keep the issued version and payment reference; electronic form alone does not certify compliance or settlement.

For Maryland, are receipt duties limited to cash?

Section 8-205(b), subject to subsection (a), also requires a receipt when the tenant requests one. Review the Anne Arundel County provision and its check/commercial-use exceptions, plus other applicable property rules.

Preserve the dated request, amount, date, recipient, covered period and original payment evidence. Seek the record through the established contact and qualified help when unresolved. Confirm a permitted alternative before changing methods or duplicating payment.

What remedy does Maryland section 8-205 specify for a missing required receipt?

Subsection (c) specifies $25 liability to the tenant in addition to other penalties. The rent-forfeiture provision in subsection (a)(2) requires conviction. Have the actual duty, facts and available remedy reviewed before taking action.

Does paying Maryland rent online establish consent to every electronic receipt?

No. Section 21-104 says electronic payment alone does not establish agreement to transact electronically. Check actual consent, scope, required content and delivery, plus a retainable issued copy. A portal entry alone does not prove compliance or settlement.

Are Massachusetts advance-rent and deposit receipts interchangeable?

Use the separate section 15B requirements for each payment type. Include the required identity, premises and payment facts, signature or statements, and check the additional deposit bank receipt. Keep the ledger allocations separate.

Does a Massachusetts lease clause alone authorize an immediate late-rent penalty?

Check section 15B(1)(c), the actual due date and other applicable rules before charging. A receipt or lease clause does not independently validate the charge or determine the effect of accepting partial payment.

Can Massachusetts receipt records always be deleted after three years?

Apply the relevant deposit and tax retention rules separately. The tax period depends on due and filing dates, materiality and exceptions. Preserve records needed for unresolved claims and other applicable obligations.
