The short answer
Decide your policy within the limits of the law and current agreement. Clarify the proposed occupant, duration, consent process and continuing responsibilities before approving or refusing a request.

Distinguish the arrangement
A guest, roommate addition, assignment and sublease can have different consequences. Obtain enough information to identify what is proposed without requesting unnecessary personal details. Check whether the tenancy or housing program has additional requirements.
In a sublease, the original tenant rents some or all of the home to another occupant while the original lease continues. An assignment transfers a lease interest; a new direct lease is a separate agreement. Check the documents for any express release instead of relying on the label.
Document approval and boundaries
If permitted, record the parties, dates, lawful criteria, payment arrangement and responsibility for the original lease. Review any required amendment or separate document. An informal message should not be treated as a complete transfer of obligations.
Example: a summer absence
A resident asks someone to occupy the rental for two months while they are away. Review the actual proposal and applicable rules before accepting a new payment or changing access. Confirm who remains responsible and what happens when the original resident returns.
Confirm consent and the obligations that continue
Describe who will occupy the rental, the dates, whether the original resident returns and whether the original lease stays in place. Subletting and subleasing labels are often used interchangeably. An assignment, replacement lease and temporary arrangement can have different consequences; use the actual documents and law to establish the obligations.
New York Real Property Law 226-b illustrates a qualified local process: a resident with an existing lease in a building with at least four residential units may sublease with advance written consent that cannot be unreasonably withheld. Review the prescribed request and response process, excluded housing and additional regulated-housing rules. The original tenant remains liable under an approved sublet. This is a New York example, not a nationwide permission, refusal or release rule.
A permitted arrangement may reduce vacancy and maintain payments, while adding risks around collection, property condition and access. Compare a temporary sublease, an approved replacement and a reviewed early-end agreement before choosing a route. Resolve the responsibilities and the resident's return plan rather than assuming fewer tasks for the owner.
Plan the payment, access and return handoff
When permitted, have the appropriate parties review the consent and occupancy agreement before the move. Record approved occupants and dates, who pays whom, continuing original lease duties, keys and access, repair contacts, permitted use and the return or departure arrangements. A new payment, account invitation or software record does not release the original resident or replace a required agreement.
Use lawful, consistent screening criteria and check report-provider requirements and applicable fee rules for the proposed occupant. The FTC's landlord guidance explains permissible purpose, housing-use certification and notices when report information contributes to an unfavorable decision. Check actual insurance and any housing-program or association requirements. Permission to sublet does not automatically permit short-term bookings or satisfy local restrictions and licensing. For unauthorized occupancy, follow the required notice and lawful possession process with qualified local guidance rather than changing locks.
Rentari supplies software and written guides, not legal approval or replacement-tenant placement. Follow lease preparation for the reviewed document and actual attachments, and screening instructions for the permitted report process. Generation, sending and completed signatures remain separate steps.

Common questions
Can I refuse every request to sublease?
There is no nationwide answer. Check the actual lease, location, building, housing program and required request and response process. Some rules restrict unreasonable refusal; a private policy cannot settle every arrangement.
Who pays if the subtenant misses rent?
Identify the actual lease and occupancy agreement, governing rules and any express release. A sublease does not automatically release the original tenant. The payment route and continuing legal responsibility are separate questions.
Who needs to sign a sublease or consent?
Identify the parties to the occupancy agreement and any required landlord, co-tenant or guarantor consent under the actual arrangement and law. Review the documents and needed signatures before occupancy; no universal signer list is established here.
Does approved subletting permit Airbnb or other short-term bookings?
Not automatically. Review the exact consent, lease, local restrictions and licensing, insurance, housing-program and association rules before offering bookings. A landlord approval alone does not establish every required permission.
