How to follow a rent payment in Rentari

Original illustrated scenes of a rental owner reviewing records and discussing them with a resident.

The short answer

Use Payments to review the charge, payment status and deposit status separately. Record money received outside Rentari against the correct charge after confirming receipt.

On this page

Check collection readiness

Open Settings, then Rent payments, and read the current collection status for the relevant account or entity. Complete any verification requested through the existing payment-provider setup. Returning from a verification form does not itself prove that online collection or payouts are enabled.

Find the right charge

Open Payments and review the appropriate period. The Overview separates Past due, Unpaid, Paid, In transit and Deposited amounts. Open Sent charges, filter by lease or status, and expand the relevant charge. Confirm the tenant, rent period and remaining balance before taking another action.

Read payment and deposit states separately

A payment against a charge and a deposit to your bank are different parts of the process. Review the tracker or Payment details for the transaction. If the status is pending, failed or returned, follow the displayed next step and investigate before asking the renter to submit another payment.

Record outside money once

After confirming money received by check, cash or another outside method, first check for an existing record. Use Record offline payment with the actual amount and date against the correct charge. This updates the record; it does not collect money or complete payment-provider verification.

Review preferences and the first cycle

Collection preferences record the methods selected for the lease. Saving them does not itself change rent billing, tenant payment access or autopay. Read Payment setup details for readiness and follow the specific next step. Reconcile the first cycle with supporting payment and bank records.

Know what an ACH rent payment authorizes

ACH means Automated Clearing House. An ACH rent debit draws from a US bank account under the account holder's authorization. A linked account, an accepted debit instruction and a payment result are separate steps. Stripe's ACH guidance requires both account verification and authorization; it also explains that results are delayed and debits can fail or be disputed. ACH does not promise instant or irreversible payment.

Review the recipient and payment terms in the secure provider flow. Use the renter payment-method guide to compare actual Rentari fees, accepted alternatives and one-time versus recurring authority. An owner's bank connection for receiving funds does not verify the renter's payment account.

Complete both sides of ACH setup before the first due date

  1. Owner readiness: check the collecting account in Settings > Rent payments, its eligible plan and any verification or review still required. Free currently does not provide active online collection. Confirm the lease, renter and first rent charge; saving collection preferences alone does not enable payment access.
  2. Renter connection: direct the renter to Money and Payment methods in their own linked account. They complete the offered secure bank/provider connection and read its result. Do not ask them to email bank credentials or enter routing numbers in messages.
  3. Unresolved verification: follow the actual bank-verification instructions. Use Verify with Stripe only when offered. A requested verification code or small deposit verifies a connection; it is not a rent receipt. If verification is unavailable, agree on another accepted method before the due date rather than assuming the account is usable.
  4. First payment: the renter reviews the charge, eligible method, amount, fee and authorization before confirming. Keep its reference and reconcile its actual payment and bank-deposit records. Finish setup early enough to address a failed connection; no fixed lead time guarantees arrival.

Provider settlement and the subsequent payout to the collecting bank account can follow different schedules. Use the payment's actual status and timing information. An instant bank-verification result does not make the rent transfer instant.

Your next-step checklist

  • Check the correct collecting account
  • Review charge and period
  • Distinguish paid from deposited
  • Record outside receipts once
  • Follow the actual readiness status

A payment is a sequence of states

  1. Scheduled
    An instruction exists.
  2. Processing
    The transfer is underway.
  3. Completed
    Review the payment result.
  4. Deposited
    Reconcile the bank record.

Failed or returned payments need review and may leave rent unpaid. Read the provider’s actual status; timing and labels can differ.

Keep the charge, reminder, payment and receipt distinct

Check the first month's actual charge. Confirm the lease, resident, period, amount, due date and collecting account. Review existing charges before creating another record. Saving collection preferences or connecting a bank does not prove that the right rent bill exists or that online collection is ready.

Review authorization and reminders separately. The renter completes their own available autopay authorization after reviewing its method, amount, schedule and fees. A recurring charge is not that authorization. Use Send reminder when offered after checking the remaining balance and pending or outside payments; a reminder does not collect money or establish that a message was delivered. Follow the current collection walkthrough for the actual controls and status.

Reconcile the evidence after payment. Match the payment reference, amount, date and charge allocation with the available payment details and receipt record. Provide any required receipt through the appropriate process and correct discrepancies before requesting more money. Keep processing, completed payment and bank deposit separate; a receipt or autopay setting is not proof of an irreversible transfer. Review the first cycle and investigate failures or returns rather than assuming future rent will arrive automatically.

Common questions

Does connecting a bank account mean ACH rent was paid?

No. Check bank verification, the renter's authorized payment and its actual payment result separately. An owner's payout account is also separate from the renter's payment account.

Can I use a verification deposit or successful bank login as proof of rent?

No. Those relate to bank connection. Keep the actual rent-payment reference and review its status and deposit record. Follow pending verification through the offered provider action; if it is unavailable, coordinate another accepted method.
