The short answer
Autopay schedules an authorized payment. A late fee is a separate charge governed by the lease and law. Neither an enabled schedule nor a software setting guarantees that the account is correct.

Confirm what the tenant authorized
Review the funding source, schedule and amount or balance rule. Explain the method for future changes and cancellation. The tenant should review fees and the authorization before confirming. Saving a bank account or collection preference alone does not establish an authorized recurring debit.
Follow the payment through its actual states
Distinguish a scheduled instruction, processing transfer, completed payment and deposit to the landlord. A transfer may fail or be returned. Do not assume that a schedule marked on means every future payment will succeed, or that a paid charge has already been deposited.
Assess fees under the actual rules
Before adding a late fee, check the lease, grace period, legal limits and the transaction history. Review outside payments and disputed allocations. A returned-payment charge may have separate rules from a late fee. Keep each valid fee distinct from the original rent charge.
Work a common exception
Suppose a tenant gives you a check while a bank transfer is still processing. Confirm whether the transfer completes or is returned before asking for more money. Record the check once and reconcile any duplicate receipt appropriately. Explain corrections to the tenant rather than silently changing the balance.
Review changes at renewal or move-out
Check whether an existing schedule needs to change when the lease or rent changes. Use the appropriate authorization and notice process, and confirm the final schedule status. Keep historical payments and adjustments accessible after the tenancy ends.
Check the collection workflow for this rental
Use the current collection overview, plans and fees and payment walkthrough before changing instructions. Online collection requires a paid plan, completed setup and eligibility; Free online collection is currently coming soon. Review the offered payment method, exact fee and payer before confirmation.
Tenants authorize eligible fixed-monthly-rent autopay from their own payment account. The selected home, current lease, rent source, amount, funding method and account configuration affect the available path. Custom recurring-charge schedules use a separate preview, saved draft, fee review and authorization process with rollout gates. A saved draft is not an authorized debit or proof that activation is available for this rental. Use the actual availability and returned status.
Reminder timing and channels are configured separately. Late-fee actions use Co-pilot review unless an eligible action is enabled under the owner's Autopilot settings. A reminder, posted fee, submitted payment and bank deposit are different results. Review the lease, current local rules and pending or outside payments before approving a charge. For opening balances, resident communication, the first full cycle, exports and exception ownership, use the rent-record transition checklist and automation worksheet; investigate an uncertain result before retrying.
Review daily late fees as a separate policy
An initial late fee and a fixed daily late fee are distinct assessments; review the actual initial-fee schedule rather than assuming it repeats daily. A fixed daily fee is a separate amount for each eligible assessment day; combining them requires reviewing the total, not just each small charge. A late fee is not a payment authorization, a returned-payment charge or proof that rent has been collected.
Check the property's jurisdiction, applicable housing program, written lease, grace period, required notices and permitted combined amount before choosing a structure. For Texas residential rentals, Property Code 92.019 requires a written-lease fee provision, reasonableness and two full unpaid days after the original due date. Initial and daily fees count together. The 12% threshold for structures of four or fewer dwellings and 10% for larger structures are statutory reasonableness thresholds; higher fees require the statute's damages analysis, not a software override. Section 92.0191 also provides a tenant-requested written fee statement.
The same fee structure cannot be assumed in other jurisdictions or housing programs. Get qualified local review when the rental, lease or applicable rule is uncertain. A software rule or reminder does not establish lawful notice or permission to collect.
Check the daily-fee settings and each result in Rentari
Rentari currently offers daily late-fee controls for supported Texas rentals. Review the selected Lease profile in the charge setup, the initial-fee choice, grace period, daily amount, start timing and offered limit. The start timing is days after rent is due, not a day of the calendar month. Review the current late-fee workflow and existing charges before submitting: Create also creates the charge, so it is not a safe way to explore or change a policy without reviewing the full submission.
| Record | What to verify |
|---|---|
| Written terms and start | Match the actual lease provision and any required notice; record the rent due date, grace period and earliest permitted assessment. A form default does not establish a legal start date. |
| Maximum count and total | The offered maximum-days control limits the number of non-void daily assessments for the linked rent bill. A saved combined dollar limit applies over the lease's lifetime; a percentage limit converts to dollars using the rent when saved. Paid fees still consume that lifetime charge limit; voided fees are excluded. State and platform limits are separate checks. |
| Payment and exception evidence | Review rent still unpaid, processing transfers, outside receipts, allocations, disputes and credits before assessment. Keep rent, fee, receipt and correction records distinct. |
| Approval and completion | Check the actual approval mode and returned result. The late-fee action defaults to Co-pilot, which queues a decision for approval. An eligible action can execute under the owner's configured Autopilot mode. Saving a daily amount alone does not establish either mode, a completed assessment or money collected. |
The current daily path checks supported state, active/executed lease, lease dates, unpaid eligible rent and recorded holds or protections. It waits until both the lease grace period and supported state minimum have passed and the chosen start timing is reached. It combines initial and daily fees against applicable state and Rentari platform budgets, plus the saved lease limit and maximum daily count. It evaluates today's eligible rent and rechecks it when the fee is applied; a stale or duplicate daily request is not a new assessment. It does not backfill missed days or compound fees on fees. Reconcile a paid, waived or corrected rent bill before the next assessment rather than treating an old pending approval as a new entitlement. For arithmetic only, a hypothetical $40 initial assessment plus three $5 daily assessments totals $55; this does not establish that any fee, date or total is lawful for your rental. See outside-payment records and payment, failure and deposit states before asking for another payment.
Distinguish bank bill-pay from an authorized recurring debit
CFPB explains that recurring bank bill-pay directs the bank to send money, while an automatic debit authorizes the company to withdraw it. Both can be scheduled; a payment sent by the resident's bank is not necessarily a fresh manual instruction each month. Confirm the actual route, payee, amount, start date and delivery/processing timing.
Keep a copy of the debit authorization and monitor the amount and timing. A rent amendment does not itself replace payment authorization. Review any required notice when the amount changes and confirm how the selected arrangement is updated or stopped. The CFPB stopping-payment guide distinguishes revoking company permission, notifying the bank and a bank stop-payment order. Stopping a payment method does not cancel the underlying obligation.
Keep a resident review alongside the schedule
Verify the company and recipient through an authentic channel before providing payment information. Review the fee disclosure, funding method, schedule and support route. Check available funds and upcoming withdrawals; insufficient funds can still produce a failed payment and separate bank or provider charges. Read the actual status before attempting a replacement payment, using the guide's existing exception process.
Offer clear instructions and a permitted alternative where required. An incentive does not replace voluntary authorization or remove applicable payment-method protections. Autopay can reduce repeated work, but it does not eliminate reconciliation, fraud risk or disputes. Keep credit reporting separate through the reporting guide and current feature status; Rentari reporting is currently unavailable.

Common questions
Can daily late fees start the day after rent is due everywhere?
No. Review the written lease and current rules for the actual rental. Rentari currently supports daily-fee controls for Texas rentals; a selected start day or saved setting does not establish legal permission in any jurisdiction.
Is the total late-fee limit reset for each rent bill?
The saved combined dollar limit in this workflow applies over the lease lifetime, not independently to each bill. The maximum number of daily fees instead limits non-void daily assessments tied to the rent bill. Applicable state and platform checks remain separate.
Will saving daily fees automatically withdraw them from the tenant?
No. A saved fee policy, a completed fee assessment and an authorized payment are different records. Check the actual approval mode, fee result and payment status. A reminder or approval request is not evidence of a bank withdrawal.
Is recurring bank bill-pay the same as autopay through a company?
No. Bank bill-pay authorizes the bank to send payments; a company debit authorizes that company to withdraw funds. Both may recur. Check the actual authorization, payee, dates and processing route rather than assuming every sent payment was manually initiated.
Does an automatic schedule guarantee a safe, successful rent payment?
No. Verify the company and recipient, protect payment information, review authorization and fees, monitor available funds and check actual outcomes. A schedule can fail or a transfer can be returned; an encryption claim does not replace these checks.
