Move rent records to management software without losing the history

The short answer

Check starting balances, explain payment terms, reconcile the first collection cycle and connect rent records with the rest of the rental workflow before expanding.

Distinguish tracking, collecting and operating a rental

A paper ledger or spreadsheet can track rent without moving money. An online payment tool can process a payment without replacing the lease, accounting records or repair workflow. A wider rental-management system brings those tasks together, but a saved entry, submitted transfer and completed bank deposit remain different events.

Write down the problem you are solving: fewer duplicate entries, clearer balances, online payments, accessible receipts or a reliable handoff to a colleague. Use the rent-app evaluation checklist to compare the complete task and its cost. Choose a change you can verify with the actual property's records.

Reconcile the starting point before inviting a resident

Choose a dated cutoff. Keep the original ledger, lease, receipts, provider history and bank statements available. For each tenancy, match the full property address, unit, residents, lease dates, rent amount, charge periods and valid credits. Separate rent, deposits, prepaid amounts and other charges; an incoming payment is not automatically rent income.

Explain the opening balance with dated charges, completed payments and adjustments. List pending transfers, returns, disputed items and outside payments separately so they are investigated rather than hidden in a single total. Do not create a second charge for a period already included in the opening balance.

Use the ledger guide and its blank CSV worksheet to organize evidence. A worksheet is not an automatic import or proof that the balance is correct. Resolve differences before sending a payment request.

Validate a small migration before the full switch

If the chosen tool has an import, inspect its actual accepted format and fields; otherwise enter a small reviewed set manually. Map tenancy identifiers, dates, amounts, charge types, references and adjustment history. Verify date and decimal formats, duplicate handling, missing fields and whether attachments transfer. Keep the original files and record the cutoff and mapping.

Check one tenancy with a normal payment, one adjustment and one unresolved item before extending the migration. Compare row counts, per-tenancy balances and aggregate totals with the old records. Open the resulting statement and an export outside the tool. If the information is incomplete, stop and reconcile before activating collection. Rentari's public guides do not promise a universal spreadsheet importer, attachment transfer or connection to every previous provider.

Decide which system is authoritative after the cutoff and who reviews late-arriving transactions. Archive prior records with controlled access; importing a balance does not replace the supporting history.

Complete setup and explain methods, fees and authorization

Verify the receiving party, account and provider requirements through the official workflow. Give the resident the correct portal, charge period, amount, due date, available methods, disclosed fees and a support contact. Check the lease and applicable rules for payment alternatives and charges before changing instructions. A bank-detail change should be verified independently of an unexpected message.

Rentari's current collection overview supports ACH and card payments, tenant opt-in autopay, payment/payout tracking and offline payment records. Online collection requires a paid plan, completed setup and eligibility; the Free plan currently marks collection as coming soon. Check current fees and who pays them in the payment summary. A free account is not a promise of free payment processing.

The CFPB automatic-payment guide, reviewed August 28, 2026, distinguishes company-initiated automatic debits from bank bill-pay. Recurring debits require authorization, understandable terms and a copy of those terms. Explain the agreed amount or rule, timing and funding source; monitor upcoming debits and insufficient-funds costs. Saving bank details is not consent to every future charge. Confirm actual eligibility and amount-change handling rather than assuming every charge fits fixed-rent autopay.

Follow the first payment through the complete cycle

Review the resident's request, provider transaction, ledger and bank activity as connected records. Preserve the reference and status for each: scheduled, submitted/pending, completed, failed or returned, and payout in transit or deposited. Read the provider's actual meanings instead of treating a reassuring badge as proof of final settlement.

A payment and a payout can differ in timing and grouping. A bank deposit may combine several payments or reflect fees, returns or adjustments. Reconcile the gross receipts and deductions to the actual net deposit without crediting the same payment again from the bank import. Use payment-versus-bank status, payout reconciliation and the payment investigation worksheet.

For a simple record check, a $1,800 charge with a confirmed $1,200 payment leaves $600 before other valid entries. If another $600 transfer is pending, review its status before requesting more money. If it later returns, retain the original transaction and reversal. Confirm any correction, retry or fee against the actual evidence and authorization.

Keep outside payments and recurring changes visible

For cash, check or another allowed outside method, record the actual amount, date, property/unit, period, channel and supporting receipt once. Rentari can record outside payments; it does not receive or deposit cash or checks. Compare the record with bank evidence and an online payment still in progress before making a second request. Follow the outside-payment process.

At a lease change, move-out, payment dispute or bank change, review future schedules and existing transactions separately. The CFPB stopping-payments guide, reviewed August 28, 2026, explains revoking authorization with the company and notifying the bank or credit union, preserving request records and monitoring activity. Stopping automatic debits does not cancel an underlying obligation. Explain how to contact the payment provider and bank promptly about unauthorized activity; do not assume deleting a reminder, account connection or software user cancels an in-flight payment.

Connect rent to the wider rental lifecycle

Follow one property through accurate advertising, an application, reviewed screening, an appropriate lease and signature, rent, resident communication, maintenance and turnover. At each handoff, confirm the address/unit, responsible person, permission to act and saved result. A signature is not a payment, and a closed repair request is not evidence that an invoice was paid.

Review Rentari's listing workflow, applications and screening, signing, maintenance and accounting records. Advertised 25+ listing-site coverage carries an availability caveat: confirm the actual live destinations for your property. Software does not physically inspect or repair the home or supply a licensed management team.

Keep a dated condition record and verify deposit handling, deductions, required notices and return timing separately. This guide does not claim automatic deposit refunds, legal compliance from a template, universal integrations or predictive certainty about residents or rent.

Test exports, permissions and recovery before expanding

Give each colleague their own permitted access and inspect which records and actions that role can reach. Check the actual account-security and access-recovery settings. The FTC business privacy guide recommends collecting only needed information, limiting access, protecting retained data and planning for incidents. A cloud label or feature list is not a guarantee of perfect security.

Open the available exports outside the product. Verify reporting period, identifiers, dates, amounts, statuses and supporting references; check which documents or attachments require a separate download. Ask how to retrieve records on cancellation and remove access when a colleague leaves. Test the actual integration, sync direction, errors and duplicate prevention rather than relying on a logo.

Assign a person to failed payments, import differences, resident questions and provider outages. Keep a verified support route and a documented allowed alternative when collection is unavailable. Use the Rentari collection walkthrough and automation guide to separate preparation, review, action and confirmation. A timeout needs investigation before a retry; a reminder is not a collected payment.

After one reconciled cycle, expand gradually and recheck after a lease, fee, account or integration change. Record unresolved items and review dates. Evaluate current demonstrated capabilities separately from forecasts about future AI, automation or market trends.

Common questions

Does moving a ledger into software collect the old balance?

No. A saved balance tracks records. Reconcile its source charges, payments, credits and unresolved transactions before requesting payment, and avoid creating a duplicate charge for an already included period.

Does a paid label mean the money reached the bank?

Check the actual transaction and payout statuses and bank evidence. Payments can be pending, returned or grouped into a later payout; reconcile each event without recording a duplicate receipt.

Is online collection available on Rentari's Free plan?

It is currently marked coming soon on Free. Online collection requires a paid plan, completed setup and eligibility. Check current processing fees and who pays them before choosing a method.

Does turning off autopay cancel rent owed?

No. Review authorization, future schedules and existing transactions separately. Stopping automatic debits changes a payment method; it does not cancel an underlying obligation.
