The short answer
Compare Rentari with each provider using the same apartment building and household. Trace applicants, agreements, repairs and financial exceptions back to the correct unit and underlying record.
On this page
Model the property accurately
Confirm the building address, unit identifiers, occupancy records and shared facilities. A building expense and a unit repair should remain distinguishable. Decide how common costs will be allocated in reporting. Test an apartment with more than one named tenant and a unit with no current resident; do not invent a tenant to record a common-area issue.
Use a small demonstration set: one occupied household with two adult signers, one vacancy with two applicants, one expiring lease and one shared repair. Record the actual result beside each requirement. This guide evaluates software; it does not replace the people who manage the building.
Review applicants without losing the household context
Check which unit each applicant selected, the application version, report package and payer, authorization and current request status. Keep household members distinct so one person's missing report is not hidden by another person's completed application. Restrict screening records to authorized reviewers and use consistent lawful criteria with human review.
| Stage | Record to inspect | Exception to demonstrate |
|---|---|---|
| Application | Unit, household members, submission and reviewer | Two applicants for one unit; a household member with an incomplete application |
| Screening | Package, fee, returned sections, identity and coverage | A pending or unavailable section, a disputed record and a changed applicant unit |
| Decision | Authorized human decision and the required follow-up | A report-based unfavorable decision that needs an adverse-action notice |
| Lease preparation | Correct unit, parties, dates, amounts and actual included files | A co-signer, an attachment name without an uploaded file and a corrected draft |
A report score or recommendation is not the decision. Read the underlying information and its limitations. The FTC's landlord consumer-report guidance covers permissible purpose, housing-use certification and adverse-action requirements when report information contributes to an unfavorable decision, including some changed terms. Review applicable federal, state and local requirements. Follow Rentari's screening request and review steps and the report-context guide.
Separate stored files, prepared packages and signed agreements
Upload a sample document under the intended rental and verify its title, version and privacy setting. Then demonstrate the signature workflow separately. A file in storage is not necessarily an attachment in the package, and a prepared request is not a signed agreement.
- Review the unit, every intended signer and role, contact details, dates, rent, deposits and required provisions.
- Open the actual prepared package. Check that disclosures and addenda are included as files, not only named in the text.
- Inspect the document sent to each signer and the recorded status. Test a declined or expired request and a correction before assuming that editing a draft changes an already sent version.
- Retrieve the completed document and available signature evidence. Confirm all required signatures and the appropriate retention and access policy.
Rentari's agreement builder saves sections and generates a draft for signer preparation; generation, sending and signing are separate steps. Its document workflow also separates storage from signature preparation. Read the signature instructions and review the agreement for the particular property. Software generation or signing does not certify legal sufficiency.
Test renewals as a reviewed plan
Use the expiring lease to check the recorded term, renewal intention, responsible reviewer and next action. Consider a household that wants to stay, one that plans to leave, and one that has not responded. A reminder or renewal draft does not establish agreement to new terms, service of a notice or completion of a new signature request.
Before changing rent or ending a tenancy, review the current agreement and applicable jurisdiction's rules, notice periods, delivery methods and any program restrictions. Prepare and review the intended document, track the actual communication or delivery evidence, then reconcile the old and new terms without deleting the original record. Follow the renewal planning guide and official state and local resources; avoid one automatic rule for every building.
Keep resident channels and privacy clear
Test who receives a message: an individual resident, all intended household members or a building audience. A direct conversation with one resident is not automatically a group conversation. Separate a private owner note from a resident-visible update, and test access after a move-out or staff change.
Ask which email, SMS, app and notification channels the selected plan actually supports, what permissions or consent they require, their costs and how failed sends appear. Preserve the conversation and follow-up record. An app notification is not proof that a resident read a message, and ordinary messaging is not automatically the legally required way to serve a notice.
Rentari's renter Inbox instructions ask the sender to select the intended person, check any attachment and confirm the sent result. Use the channels and controls available to the selected account; confirm the intended audience and review replies before sending. Establish an emergency contact process apart from routine portal messaging.
Rentari's messaging workflow keeps tenant conversations and reviewable AI reply drafts together; AI drafting is available on paid plans. Landlord building updates can be delivered by email to selected tenants and recorded in their portal threads. Check recipients and the saved or sent result in the renter Inbox instructions. An individual conversation does not establish that every household member received a message, and routine messaging does not prove delivery of a legally required notice. Arrange emergency response separately.
Follow a shared maintenance problem
Worked example: residents in three units report low water pressure. Keep each report and resident communication, but identify the possible common cause for inspection. Three messages do not necessarily require three unrelated contractor visits. After the work, confirm which units were checked, what was found and what remains unresolved.
A building work order should not erase evidence that one unit still has a problem. Keep access arrangements and notification records for each affected household. Check a vendor who does not accept the work and a reopened issue. The owner or authorized manager chooses and supervises repair professionals; a status change does not fulfill a physical repair. Use the triage and vendor handoff guide.
Review collections at the building and lease level
Use a building overview to locate exceptions, then open the individual charge and payment. Distinguish unpaid, processing, returned and deposited amounts. A portfolio total can hide a misapplied payment or a credit recorded on the wrong lease. Check which person and lease each receipt belongs to and reconcile the underlying statement.
Staff permissions should fit the responsibility. A maintenance coordinator may need repair details without needing every financial or screening record. Demonstrate a restricted role before assuming a dashboard hides sensitive data. Confirm the selected plan's current payment availability and separate processing fees; Rentari's Free-plan online collection remains coming soon. See current Rentari plans.
Compare Rentari with each provider using the same building
Start each paired comparison with the people, records and tasks your Rentari account needs. Official offers reviewed October 9, 2026 identify plan and service questions; a published feature does not demonstrate an outcome for your building. Quote the same units, billing term, functions, onboarding and transactions, then record which tasks each selected plan actually completes.
Check Rentari's current plans and fees. Free includes unlimited property and unit records and maintenance requests, with one active lease; online collection is marked coming soon. Prime is $120 billed annually for up to ten units. Above ten units, Scale is $120 plus $24 per additional unit per year. Screening and payment charges are separate. Confirm the actual plan, account readiness and workflow before committing the building.

Use Rentari's named comparison guides and multifamily workflow overview for further checks. Record incomplete tasks and workaround costs. Rentari provides software and written guides; arrange licensed management, tenant placement and physical work independently. A listed feature, subscription or confident AI draft does not establish legal compliance, occupancy or a completed repair.
Check vacancy marketing for the actual apartment
Prepare one accurate listing for the available unit, including the unit identifier, actual rent, availability, features, current photographs and application path. Inspect each destination as a renter would, then follow an inquiry and application back to the same unit. A building address or an advertised site count alone does not establish which apartment is available or whether an inquiry reached the right record.
Rentari advertises 25+ listing sites, with availability varying by destination and property. Verify live channels and the displayed information before relying on reach, and update or remove destination copies when terms or availability change. Compare this same vacancy in Rentari versus each chosen provider; include any advertising, refresh or destination charges in the dated quote.
Inspect exports and complete the acceptance checklist
Run the same reporting period for the building and its units. Compare totals, shared-cost allocations and missing data. Inspect an export containing unit and lease identifiers, original and current dates, charges, receipts and unresolved items before using it for an owner or accountant handoff. Check whether documents, attachments, messages and signature evidence require separate retrieval, and confirm retention and cancellation terms.
- Trace both applicants to the correct unit and inspect incomplete report handling.
- Verify each household party and the actual agreement package, then inspect the signature states.
- Record the renewal reviewer and the next action without assuming consent or notice delivery.
- Test private notes, individual resident messages and failed-send follow-up.
- Resolve the shared repair while retaining each affected unit's unresolved issue.
- Reconcile the building and lease totals and test a usable, authorized export.
Record workarounds and open questions before committing the building. Continue with the report-building guide and software evaluation worksheet. Repeat the same test after material changes to plans, workflows or your portfolio.
Common questions
What does apartment management software help organize?
It connects rental records such as units, applicants, household members, agreements, rent activity and maintenance requests. Test how Rentari and each alternative preserve the correct unit, underlying record and unresolved exception; software records do not establish that a person completed on-site management or repairs.
How should I choose software for an apartment building?
Compare Rentari with each named alternative using the same building, household and difficult month. Review functions, ease of use, customization, roles, integrations, exports, selected plan and total cost. Demonstrate an incomplete application, a corrected agreement, a returned payment and a shared repair, then record unresolved work instead of relying on a ranking.
Can a free plan cover every apartment workflow?
Check the actual plan limits and the owner, applicant and resident charges. Rentari Free has unlimited property and unit records and maintenance requests, with one active lease; online rent collection is currently marked coming soon. Signing, accounting and other paid workflows need the relevant access. Compare Rentari versus each alternative using current terms and the tasks your building needs.
