The short answer
Yes, when reliable local people handle physical work and emergencies while you keep decisions, access, communication and records under review. Digital tools can coordinate a rental from nearby or far away; a saved request, photo or notification does not prove attendance, lawful entry or completed work.

Define who handles local work and decisions
A digital landlord uses software to organize rental work; they may live nearby or manage from a distance. Before relying on remote coordination, identify a primary local contact, a backup and appropriately qualified repair professionals. Agree on attendance, spending authority, estimates, approval limits and what happens when the first person is unavailable.
Keep emergency response, lawful entry, inspections and physical repairs assigned to people who can actually attend. Review any licensing, insurance or permit requirements for the work and jurisdiction. Rentari provides software and written guides; it does not supply licensed property management, tenant placement or guaranteed on-site attendance. Use the full remote rental workflow for the listing-to-move-out handoffs.
Digital management still needs fair-housing review. Check advertising, screening, rental terms and services for discrimination; applying the same automation to everyone does not make a policy lawful. Review disability-related communication and accommodation requests individually. Use HUD's current fair-housing overview, its reasonable-accommodation guidance and Rentari's fair-housing guide alongside the property's state and local rules.
Set an emergency route that reaches a person
Give residents a routine contact route, realistic response expectations, urgent contact and backup. For an emergency requiring immediate police, fire or ambulance assistance, 911.gov directs people to call 911 immediately. Do not wait for a portal message or ask someone to approach a hazard to obtain photos. Record the rental address and unit clearly and follow the emergency responder's instructions.
Rentari's maintenance intake includes urgent-alert paths, but phone details, delivery and someone acting on the alert still matter. A notification is not an emergency-service dispatch or proof help arrived. If an urgent contact does not respond, follow the established backup or appropriate emergency route. See the resident repair request guide.
Confirm lawful access before an occupied-unit visit
Identify the purpose, attending person, proposed time, tenant availability and lawful basis for entry. Check the rental's state and local notice, consent, permitted-purpose and emergency rules. An owner living far away, a work order or an app checkbox does not authorize every entry. A routine repair should not be labeled an emergency simply to avoid an access requirement.
For a jurisdiction-specific example, the California Department of Real Estate's entry guidance describes permitted purposes, advance notice and limited exceptions. It is California guidance, not a national notice period. Begin with the property's state guidance and resolve uncertain local rules before the visit.
In Rentari, review the request's recorded entry permission and any access notes, then confirm the appointment with the tenant and professional. Share keys or codes only through an appropriate protected arrangement with authorized people. See coordinate a maintenance visit; sending a work order alone does not confirm attendance or availability.
Verify the repair, invoice and remaining problem separately
Keep the request reference, correct unit, reported condition, agreed scope, estimate and approval together. Request a dated work description and relevant before-and-after evidence from the people attending. Check the repair outcome with the resident or other appropriate local verification; a photograph cannot establish every hidden condition or technical safety issue.
Review the invoice against approved work and verify any changed payment instructions through a trusted contact route. A resolved ticket does not prove the problem is fixed, the resident accepted the work, or an invoice was paid. Keep repeated faults and unfinished work visible. Use maintenance request activity and repair feedback to follow the existing request before creating another.
Follow communication through acknowledgment and recovery
Name the recipient, next step and next update for each open issue. Check whether you are saving a private note, sending a tenant message or contacting a professional. In Rentari, a private maintenance note stays internal; use the offered tenant-message option deliberately. A sent result, provider acceptance, read indicator and actual acknowledgment are different evidence. Do not infer agreement from silence or a notification.
If sending fails or the outcome is uncertain, check the existing conversation or work-order record before retrying. For a missing reply, use the agreed alternative contact and backup according to urgency, and record what was confirmed. Provide usable communication help without assuming a resident can use every device or online method. See resident Inbox guidance. Formal notices have their own lawful content and delivery requirements; an ordinary message or read receipt does not establish valid service.
Check signed documents and money against actual records
Keep preparation separate from completion. Review the actual agreement, attachments, recipient emails and signing order before the signature handoff, then check the existing request and final signed document. A draft or invitation is not a signature. See send and track a lease.
Compare the lease, rent period, credits, verified outside payments and charge balance. Distinguish authorization, payment activity, in-transit funds, deposited amounts and returns. A reminder, enabled autopay or initiation screen does not prove a completed deposit or reconciliation. Review payment records and current fees and plan access; Free online rent collection is marked coming soon. A contractor assignment or resolved repair also does not confirm a vendor payout.
Limit access and keep records retrievable
Maintain current unit, equipment, lease, communication and repair records with access limited to the task. In Team Roles, review the role and property scope before sending an invitation. Assistant roles can use selected-property access; a pending invitation is not accepted membership. Property visibility and financial permission differ. Review or remove access when responsibilities end; avoid sharing an owner's password or giving a contractor the entire tenant file.
Keep private copies of essential agreements, invoices and relevant records under an appropriate retention process. Rentari's account export is a JSON download; inspect its actual contents and retrieve needed signed documents or reports separately. An export is not a promised complete backup or restore. Review the current privacy policy, protect copies and keep identity numbers, full payment credentials and unnecessary personal information out of ordinary messages.

Common questions
Does submitting a maintenance request arrange an emergency response?
No. Follow emergency-service and urgent-contact instructions when immediate help is needed. A recorded request or alert does not confirm attendance; follow the backup route when nobody responds.
Does a tenant's entry checkbox replace every notice requirement?
No. Review the specific purpose, time, recorded permission and the rental's applicable rules. Resolve uncertain notice or consent requirements before sharing access or arranging a visit.
A ticket says resolved. Should I assume the repair and payment are complete?
Check the actual work and remaining problem with appropriate local evidence and resident feedback. Invoice review and payment are separate; a status change alone does not prove any of them.
Can Rentari provide the local manager or repair attendance?
This guidance covers Rentari software and written resources. Arrange any qualified local professional, physical work or licensed service separately, with clear authority, access, scope and fees.
