Team roles: add and manage users in Rentari

Review portfolio access, send an invitation, and check its acceptance separately from the email outcome.

Sign in as the account owner outside Simulation. Have the invited person's email and intended role ready.

Choose a role that matches the person's responsibilities. Admin, Manager and Co-owner use portfolio access; both Assistant roles support property-specific access.

Each team member should sign in with their own account. Do not share the owner's password to delegate rental work; use an invitation and review the assigned role and property access instead.

Open Team Roles

Open Settings, then Account. Review existing members and Invited as entries before choosing Add user. Read How it works, then choose Next to enter the invitation details.

Landlord settings workspace with profile and account options.
Choose the setting you want to review.

Choose the person and role

Enter the required email and optional first and last names. Choose Admin, Manager, Co-owner, Assistant or Read-only Assistant. Use Compare current access to review permissions before continuing.

Review and send the invitation

Choose Review invite, check the email and portfolio access, then select Send invite. Read the result and use Refresh Team Roles.

Have the invitee confirm joining

The invited person opens their private invitation, signs in or creates an account with that email, verifies the address, and returns to review the role. They must explicitly choose Join team to accept.

Check or revoke access

Refresh Team Roles to distinguish members from pending invitations. Check the correct person before using an offered role change, Remove, or Revoke action.

Choose the right team role

Admin: rental operations and financial access, including properties, renters, payments, accounting and reports. Team access, owner identity and bank onboarding remain owner-only.

Manager: day-to-day properties, renters, maintenance and messages, without payments or accounting access.

Co-owner: payments, accounting, reports and permitted marketing and lease tools. General renter and maintenance operations remain unavailable.

Assistant: operations for assigned properties, including editing properties and units and messaging assigned residents. Banking, accounting, team management and settings remain unavailable.

Read-only Assistant: view assigned property details, lease summaries, maintenance and documents. This role cannot edit, message, access payments or bank accounts, or change settings.

Manage invitations and existing members

Only the account owner manages team access. Use Resend invite for a pending invitation or Revoke to cancel it. For an existing member, open the actions menu to change their role, edit Assistant property access or Remove them.

Review the person's email and current access before making changes. A pending invitation does not grant access until the invited person accepts.

Accounting access for a property manager

Accept the owner’s invitation with the intended account and confirm which portfolio you are working in. A manager works with the owner’s shared portfolio records, subject to the permissions and plan available to that account.

If Accounting is unavailable, ask the owner to review your role and access. Creating a second owner account or connecting the same bank to a different portfolio does not fix missing permission and can separate records that belong together.

Check the result

  • Team Roles shows an existing member or a separate pending invitation. Access begins only after the eligible invitee explicitly accepts.
  • The send result distinguishes provider acceptance, suppression, failure and uncertainty. If a private invitation link is offered, share it only with the intended invitee.

FAQs

Why can I review an invite but not send it?

Simulation is read-only. Leave Simulation and use the account owner's account to send. Review the required email and role before opening the review step; only Send invite creates the invitation.

The invitation was created but the email failed. Should I send again?

Use Refresh Team Roles and read the recorded outcome first. A created invitation may still be pending even when email was suppressed, failed or uncertain. If the result offers a private invitation link, share it only with the invited person; do not assume another send is required.

The person opened the link. Why are they still pending?

Opening the link does not join the team. They must sign in with the invited email, verify that address, return to the invitation and explicitly choose Join. An expired, revoked, changed or ineligible invitation shows an explanation that must be resolved before access can be granted.

Can I limit the invitation to one property?

Yes. Choose Assistant or Read-only Assistant, select Selected properties only, and check the property to assign. Alternatively, choose All current and future properties. Admin, Manager and Co-owner use portfolio access.

Why can I see a rental but not its financial workspace?

Property visibility does not by itself establish financial access. Ask the owner to review the assigned role, portfolio and current plan.
