Read and reply to messages
Find a conversation, write a reply, or start an individual renter message.
On this page
Confirm the intended renter and rental before opening a conversation. Have any file you intend to share ready.
Find the conversation
Open Messages. Use Search messages and the available filters, then choose a conversation in the list to read its history.
Prepare and send a reply
Type in Message, or insert a saved quick reply. If Draft with AI is available, review and edit its suggestion before selecting Send.
Message several tenants individually
For an announcement, use Send individual messages and choose the intended tenants. Each recipient receives a separate conversation.
Follow up with an unresponsive prospect
Open the existing lead conversation and review the last message and the contact details. Send a concise follow-up about the rental or next step, then check its recorded delivery status.
A sent message or provider acceptance does not prove the prospect read it. Avoid creating duplicate conversations to force a reply. Keep decisions about the application in the applicant record; a message alone does not approve or reject an application.
Messages and sharing
| Action | Result to check |
|---|---|
| Reply | The message is visible in the correct tenant conversation. |
| Attachment | The uploaded file is the intended document before sending. |
| Selected tenants | Review recipients; this creates separate conversations. |
Check the result
- A successful send appears in the selected conversation. A draft or uploaded attachment alone is not confirmation that a message was delivered.
FAQs
Why can I not find the conversation?
Clear Search messages and review the available filters. If you need a new conversation, use New message to find the renter in the directory.
Will several selected renters see each other’s replies?
No. Send individual messages creates separate conversations. Shared group conversations are not available in that flow.
Can I tell whether a prospect has read every message?
Use the status actually shown for that channel. Sending or delivery does not establish a read receipt or guarantee a response.
A lead or tenant has not replied. What should I check?
Confirm the recipient and rental, review the recorded send outcome and check that contact details are current. An accepted or delivered message does not prove it was read. Choose an appropriate follow-up channel without repeatedly sending the same message.
